Summary

One morning your Desktop shortcuts still work, but the address bar in File Explorer reads OneDrive - Contoso > Desktop instead of This PC > Desktop, and a cloud icon has appeared next to every file. This article explains the feature behind that change, what it means for your files and your disk space, what to expect on a second computer and when you leave the company, and how to switch it off if you need to.

Before You Start

• A work or school Microsoft 365 account with OneDrive.
• The OneDrive sync client signed in on your PC. It is pre-installed on Windows 11 and Windows 10, and shows as a cloud icon in the notification area at the bottom right of your screen.
• No admin rights required to check or change any setting described here.

Instructions

1. What Known Folder Move Actually Did

The feature is called Known Folder Move. In current OneDrive settings it appears under the plainer heading Backup of folders on this PC, or Manage folder backup on older builds.

Windows treats Desktop, Documents, and Pictures as known folders — special folders that apps look for by role rather than by path. Known Folder Move changes where those roles point:

• Before: your Desktop lived at C:\Users\yourname\Desktop.
• After: your Desktop lives at C:\Users\yourname\OneDrive - Contoso\Desktop, where Contoso is your organisation's name.

What actually happened on the day it switched on:

• Windows repointed the Desktop, Documents, and Pictures roles at the new location.
• The OneDrive client moved the existing contents across, then uploaded them.
• Every app that saves to "Documents" started saving to the new location without being reconfigured, because they ask Windows for the role and Windows now answers with the OneDrive path.

Nothing was deleted, and nothing was taken from you. The files are the same files, with the same names, in the same order, opened by the same double-click. One folder in the path changed, and a copy now exists in the cloud.

2. Why IT Turned It On

This is close to the most common change an IT department makes to a fleet of laptops, and the reasoning is not mysterious.

Reason	What it prevents
Laptop theft, loss, or failure	A dead hard drive used to mean every Desktop file was gone. Now a replacement laptop pulls the same Desktop down within minutes of signing in.
Ransomware and accidental deletion	OneDrive keeps version history and a Recycle Bin, so an encrypted or overwritten file can be rolled back rather than restored from a nightly tape.
Device refreshes	Handing you a new machine no longer needs a manual file migration.
Backups nobody ran	The old advice was "save important work to the network drive". Most people saved to the Desktop instead. This makes the Desktop the backed-up location.
Working from anywhere	The same files open on a desk PC, a laptop, and a phone with no copying.

You cannot turn this on or off for the whole company yourself, and in many organisations the setting is enforced by policy — Section 7 explains how to tell whether yours is.

3. Check Which Folders Are Backed Up

Three folders can be redirected independently, so it is normal for Documents to be in OneDrive while Pictures is not.

1. Click the OneDrive cloud icon in the notification area at the bottom right of your screen. If you cannot see it, click the upward arrow to expand the hidden icons.
2. Click the gear icon at the top right of the OneDrive panel, then select Settings. The OneDrive Settings window opens.
3. Select Sync and backup in the left sidebar.
4. Click Manage backup near the top of the page. A window titled Manage folder backup opens listing Desktop, Documents, Pictures, and on newer builds Music and Videos.
5. Read each row. A folder with its toggle switched on and the words Files backed up underneath is redirected into OneDrive. A folder with its toggle off is still stored only on your PC.

On older OneDrive builds this sits under a Backup tab with a Manage backup button, and the folders appear as tiles marked Backed up or with a Start backup button rather than toggles.

A second way to check takes five seconds: open File Explorer, click Desktop in the left sidebar, and read the address bar. If it shows a path beginning **OneDrive - ** followed by your company name, that folder is redirected.

4. Read the Status Icons — Cloud, Green Check, Blue Arrows

Once a folder is in OneDrive, every file in it carries a small badge in File Explorer. These badges are the single biggest source of "where is my file" confusion, and they mean specific things.

Icon	Name	What it means
Blue cloud outline	Online-only	The file is in OneDrive but not on your disk. It takes no space. Double-click it and it downloads first, which needs a connection.
White circle with a green outline and a green tick	Available on this device	You opened or downloaded it, so a local copy exists. It takes disk space, and Windows can remove that copy later to reclaim space.
Solid green circle with a white tick	Always available	You marked it Always keep on this device. It stays downloaded and opens with no connection.
Blue circular arrows	Syncing	The file is uploading or downloading right now. Leave it alone until the arrows stop.
Red circle with a white cross	Sync error	The file cannot sync. Common causes are a name with illegal characters, a file over the size limit, or full storage.
Grey people icon	Shared	Somebody else has access to this file or folder.
Padlock	Blocked	A company policy or a file property prevents this file from syncing.

An online-only file with a blue cloud is not missing and has not been moved to an archive. It is one double-click away, provided you have a connection.

5. Disk Space and Files On-Demand

People often notice free disk space increasing after this change, which feels backwards. The explanation is Files On-Demand, which is on by default.

• Files On-Demand stores the file's name, size, and thumbnail on your PC while leaving the contents in the cloud until you open something.
• A 40 GB Documents folder can therefore occupy a few hundred megabytes locally.
• Opening a file downloads it and it becomes Available on this device. Over weeks, the files you actually use accumulate locally and free space falls again.
• Windows Storage Sense can return unused files to online-only automatically after a period you choose.

Two practical consequences:

• Before a flight or a site visit with no connection, right-click the folders you will need and select Always keep on this device. Wait for the solid green circles before you disconnect.
• When disk space runs low, right-click a large folder you have finished with and select Free up space. The files stay in OneDrive and the badges revert to blue cloud outlines.

6. What Happens on a Second Computer, and When You Leave

Signing in to a second computer. OneDrive is tied to your account, not your device. Sign in to a second work PC with the same account and turn backup on there, and that machine's Desktop and Documents point at the same OneDrive folders. The result surprises people:

• Both computers show identical Desktop icons, because there is one Desktop folder now.
• Files the second PC already had on its Desktop are merged into the same folder rather than kept separate.
• Shortcuts follow you across, so a shortcut to an app installed on only one machine appears on both and fails on the one without it.
• Deleting a Desktop file on one computer deletes it on the other, because there is only one copy. It lands in the OneDrive Recycle Bin, where it is recoverable for up to 93 days — see How to Recover Deleted Files.

When you leave the company. Your OneDrive belongs to the company's Microsoft 365 tenant, not to you:

• On your last day your account is disabled and your access to OneDrive ends with it, including on any personal device where you had signed in.
• Organisations typically retain the contents for 30 to 93 days so a manager can be granted access to work files, then delete it permanently.
• Local copies sitting on a company laptop go back with the laptop.
• Anything genuinely personal needs to move out well before your last day, and only where your company's policy allows it. Work files stay — they belong to the business.

If you need a colleague to inherit specific work files, the reliable route is to move them into a SharePoint or Teams library before you go, because those belong to the team rather than to you. 7. How to Stop Backing Up a Folder, and the Trap to Avoid

You can switch a folder's backup off, and there are legitimate reasons to — a Documents folder full of large design files that eats your OneDrive storage, for example. Understand what actually happens first, because this is where people conclude their files were deleted.

What stopping does:

• Every file already backed up stays in OneDrive. Nothing is deleted from the cloud.
• Windows creates a brand new, empty Desktop or Documents folder on your PC and points the role back at it.
• Your files are therefore still in the old location — inside the OneDrive folder — while the folder you now see is empty.
• Apps and shortcuts pointing at the old path may fail until you move things back.
• Files stored online-only at that moment stay online-only. They are not downloaded for you.

How to stop backup cleanly:

1. Open Manage folder backup using Steps 1 to 4 of Section 3.
2. Switch the toggle for the folder Off. A confirmation dialog appears explaining that files will remain in OneDrive.
3. Click Stop backup in that dialog. The toggle turns off and the local folder is recreated empty.
4. Open File Explorer and navigate to OneDrive - <your company name> in the left sidebar, then into the Desktop or Documents folder there. Your files are all present.
5. Select the files you want stored locally and drag them into the new empty folder on your PC. Do this before you disconnect from the network, so online-only files download as they move.

If the toggle is greyed out or the folder cannot be switched off, your organisation enforces this by policy. Send IT this message: "Known Folder Move is enforced on my device and I need Documents excluded" — then give the business reason, such as a local database file that a sync client cannot handle. They can scope the policy per user.

Troubleshooting

WARNING

Turning off folder backup does not move your files back. It leaves them in OneDrive and gives you a new empty local folder, which looks exactly like data loss and is not. Always open the OneDrive - <your company name> folder and move files across yourself, as described in Section 7.
