Before You Start

  • Microsoft Word (desktop version).
  • The Developer tab may need to be enabled for interactive checkboxes (instructions included below).

Instructions

1. Insert a Checkbox (Interactive)

Add a clickable checkbox for digital checklists and fillable forms.

  1. Place your cursor where you want the checkbox.
  2. Go to the Developer tab on the ribbon.
  3. Click the Check Box Content Control button (a checkbox icon with a checkmark).
  4. A clickable checkbox appears in your document. Click it to check or uncheck it.
  5. Type your checklist item text next to it.

Repeat for each checklist item.

TIP

Don't see the Developer tab? It's hidden by default. To enable it:

  1. Go to File > Options > Customize Ribbon.
  2. In the right column, check Developer and click OK. The Developer tab now appears on the ribbon.

2. Insert a Checkbox (Non-Interactive, for Printing)

Add a simple checkbox character for documents you'll print on paper.

  1. Place your cursor where you want the checkbox.
  2. Go to Insert > Symbol > More Symbols.
  3. Set the font to Wingdings. Find the empty checkbox symbol — it's character code 168.
  4. Click Insert > Close.

The checkbox character appears in your document. This is a static character — it won't toggle when clicked, but it's perfect for printed forms.

TIP

For a quicker method, type the bullet character (Unicode 2610) using Insert > Symbol > set font to Segoe UI Symbol > search for "ballot box."

3. Insert a Signature Line

Add a formal signature line with the signer's name, title, and email.

  1. Place your cursor where you want the signature.
  2. Go to Insert > Signature Line (in the Text group).
  3. Fill in the Signature Setup dialog:
    • Suggested signer — The person's name.
    • Suggested signer's title — Their job title.
    • Suggested signer's email address — Their email.
  4. Click OK.

A signature line with an X and the signer's information appears. The recipient can double-click it to add their digital signature.

Note: A Word signature line suits internal approvals — policy sign-offs, change requests, expense forms. 4. Insert a Simple Signature Underline

Create a basic underline for printed documents that need a handwritten signature.

  1. Place your cursor where you want the signature line.
  2. Type the label (for example: Signature: ).
  3. Press and hold Shift + _ (underscore) to create a line of the desired length.

Alternatively, insert a bottom border:

  1. Press Enter to create a blank line.
  2. Select the blank line.
  3. Go to Home > Borders dropdown > Bottom Border.

5. Verify the Result

Confirm checkboxes and signature lines work correctly.

  1. Click each checkbox to verify it toggles between checked and unchecked (interactive checkboxes only).
  2. Double-click the signature line to test the signing workflow.
  3. If the document is for printing, use File > Print Preview to check the layout.

Why can't I click the checkboxes in my Word document?
If they are static bullet points formatted as squares, they cannot be clicked. You must use interactive checkboxes from the Developer tab for them to be clickable.
