Article Type: How-To
Last Updated: 2026-03-09
Summary
If you try to open a SharePoint site, library, or file and receive an "Access Denied" or "You need permission" message, you can request access directly from the error page. The site owner receives your request and can approve or deny it. This article explains how to submit an access request and what to expect.
Prerequisites
- A Microsoft 365 account in the same organisation (or an external account if guest access is enabled).
- No admin rights required.
Instructions
1. Request Access from the Error Page
Submit a request when you encounter a permissions error.
- Navigate to the SharePoint site, library, or file that you cannot access.
- The page displays an Access Denied or You need permission to access this site/item message.
- Click the Request access button (if available).
- In the request form, type a reason for your request (e.g., "I need access to review the Q1 budget spreadsheet for the finance meeting").
- Click Send Request.
- The site owner or administrator receives an email with your request.
2. Request Access via the Sharing Link
Request access when a shared link does not work.
- Click the sharing link that was sent to you.
- If you do not have access, SharePoint displays a Request access option.
- Click Request access.
- Optionally, add a message explaining why you need access.
- Click Send.
- Wait for the site owner to approve your request.
3. What Happens After You Submit a Request
Understand the approval process.
- The site owner or designated approver receives an email notification with your request.
- They can:
- Approve — You receive an email confirming access. You can now open the site or file.
- Deny — You receive an email indicating the request was denied. Contact the site owner directly if you still need access.
- Approval times vary depending on the site owner's availability.
- You will receive an email notification once the decision is made.
4. Contact the Site Owner Directly (If Request Button Is Missing)
Alternative route when the request button is not available.
- If the Access Denied page does not show a Request access button, the feature may be disabled for that site.
- Check with your colleagues to identify who owns the SharePoint site.
- Send the site owner a direct email or Teams message requesting access.
- Include the full URL of the site or file and your reason for needing access.
Troubleshooting
INFO
Some SharePoint sites disable the access request feature. If you cannot request access and do not know the site owner, contact your IT help desk for assistance.
| Symptom / Error | Potential Cause | Solution |
|---|---|---|
| "Request access" button is not visible | Access requests disabled for the site | Contact the site owner directly, or ask your IT department to identify the owner and request access on your behalf. |
| Request was sent but no response received | Site owner has not reviewed the request | Follow up with the site owner directly via email or Teams. |
| Access granted but content still shows "Access Denied" | Browser cache or session issue | Clear your browser cache, sign out, and sign back in. Try opening the link in an InPrivate/Incognito window. |
