Summary
Use Microsoft Copilot in PowerPoint to generate slide decks, turn documents into presentations, add and modify individual slides, and redesign your presentation with AI assistance. Copilot creates the first draft — you refine it.
Prerequisites
- Microsoft PowerPoint (desktop app, Microsoft 365).
- A Microsoft 365 Copilot license (check with your IT team if you're unsure).
- Files you want to reference should be saved in OneDrive or SharePoint (Copilot can't access local-only files).
Instructions
1. Open Copilot in PowerPoint
Access the Copilot panel to start creating with AI.
- Open PowerPoint and create a new blank presentation or open an existing one.
- Click the Copilot button in the ribbon (Home tab).
- The Copilot panel opens on the right side.
2. Create a Presentation from a Prompt
Tell Copilot what you need and it builds the slides for you.
- In the Copilot panel, type a description of the presentation you need. Be specific:
- ✅
"Create a presentation about Q3 sales results for the team meeting. Include highlights, challenges, and next steps. 8 slides." - ❌
"Make a presentation"(too vague — Copilot needs context)
- ✅
- Press Enter or click Send.
- Copilot generates a multi-slide presentation with titles, bullet points, speaker notes, and placeholder images.
- Review each slide and edit the content as needed. Copilot gives you a strong starting point — refine the details.
TIP
Better prompts = better results. Include the audience, purpose, number of slides, and key points you want covered. The more specific your prompt, the less editing you'll need to do afterward.
3. Create a Presentation from a File
Turn an existing Word document, PDF, or outline into a slide deck.
- In the Copilot panel, type
"Create a presentation from"followed by a / (slash) to browse your OneDrive or SharePoint files. - Select the Word document, PDF, or other file.
- Copilot reads the document and generates a slide deck based on its content, using the document's headings and sections as slide dividers.
TIP
This works best with well-structured documents that use headings (H1, H2, H3). If your document is a wall of text, Copilot may produce better results if you add a few headings first.
4. Add or Modify Individual Slides
Ask Copilot to add, change, or improve specific slides after the initial generation.
In the Copilot panel, type requests like:
"Add a slide about our competitive advantages""Summarize slide 3 into three bullet points""Add an image of a team collaboration to slide 5""Create a comparison table of Plan A vs Plan B""Add a timeline slide showing project milestones"
Copilot adds or modifies the slides while keeping the design consistent with the rest of the deck.
5. Redesign and Organize Slides
Use Copilot to improve the visual design and structure.
- Type
"Organize this presentation"to have Copilot suggest a better slide order and structure. - Type
"Make this slide more visual"to convert text-heavy slides into charts, SmartArt, or image layouts. - Use the Designer panel (click Design > Design Ideas) to further refine visual layouts with professional templates.
6. Verify and Finalize
Always review AI-generated content before presenting.
- Read through every slide. Copilot may include inaccurate details or generic filler text — always verify facts and numbers.
- Check speaker notes for accuracy — they're useful starting points but may need your personal touch.
- Save the final version (Ctrl + S).
WARNING
Copilot is a drafting tool, not a fact-checker. It generates plausible content based on patterns — it does not verify data accuracy. Always double-check statistics, dates, names, and claims before presenting to your team or clients.
Troubleshooting
TIP
If Copilot's first attempt isn't what you wanted, don't start over. Use follow-up prompts to refine: "Make slide 2 shorter", "Change the tone to be more formal", or "Replace the image on slide 4 with something about finance." Iterating is faster than regenerating.
| Symptom / Error | Potential Cause | Solution |
|---|---|---|
| Copilot button doesn't appear in the ribbon | No Copilot license or feature not enabled | Check with IT to confirm you have a Microsoft 365 Copilot license assigned. |
| "I can't access that file" | File is saved locally, not in OneDrive/SharePoint | Move the file to OneDrive or SharePoint first, then reference it. |
| Generated slides are generic or off-topic | Prompt was too vague | Rewrite your prompt with more detail: audience, purpose, key points, and desired number of slides. |
| Copilot won't modify a specific slide | Slide was created outside Copilot | You can always edit slides manually. Copilot works best with content it generated. |
| Images don't match the topic | Copilot uses stock/AI-generated images | Replace images manually: right-click the image > Change Picture > choose from stock images or upload your own. |
