How to Choose and Set Up the Best Laptop for a Small Business

Summary

When you run a small business, your laptop is your entire office. Buying the wrong machine slows you down, and failing to secure it puts your client data at risk. This guide explains exactly what specs to look for and the three critical things you must do the moment you turn it on.

Prerequisites

  • A budget for a new machine (do not buy cheap consumer laptops for business use).
  • Your Microsoft 365 or Google Workspace login credentials.

Instructions

1. Choose the right specifications

Ignore the marketing terms and look specifically at these three numbers. Do not buy a laptop with less than these minimums if you want it to last more than two years.

  • RAM (Memory): Minimum 16GB. This is non-negotiable. 8GB is no longer enough to run Teams, a web browser with 20 tabs, and Excel at the same time without slowing down.
  • Storage: Minimum 512GB SSD. Even if you save everything in the cloud, Windows and your apps will quickly fill a 256GB drive.
  • Processor: Intel Core i5 or i7, AMD Ryzen 5 or 7, or an Apple M2/M3. Avoid anything labeled "Celeron," "Pentium," or "Core i3."

Tip: Buy a "Business" line laptop (like a Lenovo ThinkPad, Dell Latitude, or HP EliteBook) rather than a consumer line (like Inspiron or Pavilion). Business lines have better build quality, better keyboards, and professional warranties.

2. Log in with your business account

When you turn on a Windows laptop for the first time, it will ask you to set up an account.

  1. Turn on the laptop and connect to Wi-Fi.
  2. When asked how you want to set up the device, select Set up for work or school (do not select personal use).
  3. Log in using your Microsoft 365 business email address and password.
  4. This automatically connects your computer to your company's Microsoft tenant, making it easier to log in to Office apps and OneDrive later.

(Note: If you bought a Mac, you will set up a standard local account, and then log into your Microsoft or Google apps individually).

3. Enable disk encryption

If you leave your laptop at a coffee shop, you don't want someone taking out the hard drive to read your client files.

  1. On Windows: Click the Start menu, type BitLocker, and select Manage BitLocker. Click Turn on BitLocker and follow the prompts to save your recovery key to your Microsoft account. (Note: This requires Windows Pro. If your laptop came with Windows Home, you need to upgrade it).
  2. On Mac: Open System Settings > Privacy & Security, scroll down to FileVault, and click Turn On.

4. Install your core apps

Get your essential software loaded before you start moving files over.

  1. Download your browser of choice (Edge, Chrome, or Firefox).
  2. Install your cloud storage app (OneDrive or Google Drive for Desktop) and sign in to let your files start syncing in the background.
  3. Install your communication tools (Teams, Slack, Zoom).

Troubleshooting

WARNING

Never save your BitLocker recovery key exclusively on the laptop itself. If the laptop breaks, you will need that key to rescue your files. Save it to your cloud account or print it out.
