How to Add a Gmail or Personal Account to Outlook

Summary
Outlook runs your personal Gmail next to your work mailbox, so one window covers both inboxes. This article adds a Gmail account in both new and classic Outlook, explains what syncs in each version, and shows how to remove the account again cleanly. Other personal addresses (Outlook.com, Yahoo, iCloud) go through the same Add account door — Gmail gets the walkthrough because its Google sign-in adds extra screens.
Before You Start
- Your Gmail address and password, with your phone nearby if Google 2-Step Verification is turned on.
- Outlook installed on a Windows PC — either version works; the steps below are labelled for each.

Instructions
1. Identify Which Outlook You Have
The two desktop Outlooks add accounts from different places, so confirm which one you are in first.
- Open Outlook and look at the top of the window.
- If a File menu sits at the top left, you are in classic Outlook — go to step 3.
- If there is no File menu and a Settings gear sits near the top right, you are in new Outlook — go to step 2.

2. Add the Account in New Outlook
New Outlook supports Gmail natively — you sign in with Google once and Outlook handles the rest.
- Click the Settings gear icon in the top-right corner. The Settings window opens.
- Select Accounts > Email accounts.
- Click Add account.
- Type your Gmail address and click Continue.
- A Google sign-in window opens. Confirm the address bar shows
accounts.google.com, then enter your Gmail password. If 2-Step Verification is on, approve the prompt on your phone. - Google then asks you to grant access — the screen names Microsoft apps & services. Review the list and approve it (the button reads Allow or Continue, depending on Google's current screen). This is what lets Outlook read and send your Gmail.
- The window closes and your Gmail address appears in the folder pane on the left. Give a large mailbox a few minutes to finish its first sync.
3. Add the Account in Classic Outlook
Classic Outlook adds Gmail through the File menu, with the same Google sign-in along the way.
- Click File in the top-left corner, then click Add Account on the Account Information page.
- Type your Gmail address and click Connect.
- A Google sign-in window opens. Enter your password, and approve the 2-Step Verification prompt on your phone if it appears.
- Approve the consent screen when Google asks you to grant Outlook access to your account.
- Outlook confirms the account was added. Click Done, and restart Outlook if it asks. Your Gmail folders appear in the folder pane on the left.
4. Know What Syncs — and What Does Not
The two versions sync different amounts of your Google account, and it is worth knowing before you go hunting for a missing calendar.
- New Outlook: mail, calendar, and contacts. Google Calendar events appear in Outlook's Calendar view, and Gmail contacts appear in People.
- Classic Outlook: mail only. Classic connects to Gmail over IMAP, which does not carry calendar or contacts — keep using those in the browser, or switch to new Outlook.
- With two accounts in one window, watch the From line when composing. New messages send from the account whose folder you started in, and replies default to the account that received the original message.
5. Remove the Account Cleanly
Removing the account disconnects Outlook only — every email stays in Gmail, so you can add it back any time.
New Outlook:
- Click the Settings gear, then Accounts > Email accounts.
- On the Gmail account's row, click Manage.
- Click Remove and confirm. The account and its folders leave the folder pane; nothing is deleted from Gmail itself.
Classic Outlook:
- Click File > Account Settings > Account Settings.
- On the Email tab, select the Gmail account and click Remove.
- Confirm the warning about offline content — it refers only to the downloaded copy on this PC; your mail remains on Google's servers.
Optional — tidy up on Google's side:
- In your browser, go to
myaccount.google.comand open Security. - Find the third-party connections section (search the page for
connectionsif the name differs), select Microsoft apps & services, and remove its access. Outlook loses the ability to sign in until you grant it again.
Troubleshooting

If Add account is missing or greyed out, or the error message names your organization, your company blocks personal accounts in work Outlook. That is policy working as intended, not a bug — IT manages it centrally, and no setting on your PC overrides it. Read your Gmail in the browser or on your phone instead.
