How to Set Up a Wireless Headset with Your Work Laptop
Applies to: Windows 11, Bluetooth and USB dongle wireless headsets
Article Type: How-To
Last Updated: 2026-07-09
Summary
This guide covers both ways to connect a wireless headset to your work laptop: Bluetooth pairing (built into most headsets) and USB dongle (the small adapter that often comes in the box). The dongle method is simpler and often provides better call quality.
Prerequisites
- A wireless headset (Jabra, Poly, Plantronics, Sony, Bose, etc.)
- Your headset fully charged or with enough battery to complete setup
- Windows 11 with Bluetooth enabled (for Bluetooth pairing)
Instructions
Method A: USB Dongle (Easiest)
Many work headsets — especially Jabra Evolve, Poly Voyager, and Plantronics models — come with a small USB adapter (dongle).
- Locate the USB dongle that came with your headset. It's usually a small black or silver USB-A or USB-C adapter.
- Plug the dongle into a USB port on your laptop (or docking station).
- Turn on your headset.
- Wait 5–10 seconds. The headset and dongle are pre-paired at the factory — Windows will detect it automatically.
- Confirm the connection: click the Speaker icon in the bottom-right corner of your taskbar. Your headset should appear as an audio output device.
TIP
The USB dongle method typically provides lower latency and better microphone quality than Bluetooth — especially for Teams and Zoom calls. If your headset includes a dongle, use it.
Method B: Bluetooth Pairing
If your headset didn't come with a dongle, or you prefer wireless:
Put the headset in pairing mode:
- Turn off the headset first.
- Press and hold the power button (or the Bluetooth button, depending on the model) for 5–8 seconds until the LED starts flashing blue or alternating colors.
- Your headset's manual will specify the exact button and light pattern.
Open Bluetooth settings on Windows:
- Open Settings (press
Win + I). - Select Bluetooth & devices from the left sidebar.
- Make sure the Bluetooth toggle is On.
- Click Add device.
- Select Bluetooth.
- Open Settings (press
Pair the headset:
- Wait for your headset's name to appear in the list (e.g., "Jabra Evolve2 75" or "Poly Voyager Focus 2").
- Click the headset name.
- Wait for the status to change to Connected.
- Click Done.
INFO
Some newer headsets support Swift Pair — a Windows notification pops up automatically when you turn on the headset near your laptop. If you see this notification, click Connect to pair instantly without going through Settings.
3. Set the Headset as Your Default Audio Device
After connecting (via either method):
- Click the Speaker icon in the bottom-right corner of your taskbar.
- Click the arrow (>) next to the volume slider.
- Select your headset from the list of audio output devices.
- Open Settings > System > Sound.
- Under Input, select your headset's microphone as the default recording device.
4. Configure Your Headset in Teams or Zoom
Meeting apps have their own audio settings that can override Windows defaults:
- Microsoft Teams: Click the three dots (...) near your profile picture > Settings > Devices. Select your headset under Speaker and Microphone.
- Zoom: Click your profile picture > Settings > Audio. Select your headset under Speaker and Microphone.
5. Verify Success
- In Settings > System > Sound, click the arrow next to your headset under Input and select Start test. Speak into the microphone — you will see the input level bar move.
- Make a test call in Teams or Zoom to confirm both audio output and microphone input work.
Troubleshooting
WARNING
If your headset connects but audio quality is poor (robotic, choppy), the headset may be connected using the Hands-Free Bluetooth profile instead of Stereo. Disconnect and re-pair using Method A (dongle) for best results, or check your headset's companion app for audio profile settings.
| Symptom / Error | Potential Cause | Solution |
|---|---|---|
| Headset doesn't appear in Bluetooth list | Not in pairing mode | Turn off, then hold the Bluetooth/power button for 5–8 seconds until LED flashes |
| "Connected" but no sound | Wrong output device selected | Click the Speaker icon in taskbar > select your headset |
| Microphone not working in Teams/Zoom | App using built-in mic | Change the mic setting inside the app's audio/device settings |
| Audio cuts out or stutters | Bluetooth interference | Move closer to your laptop; remove USB 3.0 devices near the Bluetooth antenna |
| Dongle not recognized | USB port issue | Try a different USB port; avoid using a USB hub |
| Headset keeps connecting to phone instead | Phone has priority | Disconnect the headset from your phone's Bluetooth first |
