Summary

Whether you are switching phones, decluttering, or leaving a job, this guide takes your work account off a personal phone — from removing a single app account to unenrolling the whole device — without touching anything personal. Nothing you do here deletes work data from the server: your phone only ever held a copy.

Before You Start

• These steps are for a personal phone. If the phone is company-owned, hand it back to IT instead — they reset it.
• If your work account stays active after this (new phone, decluttering), read step 1 before removing anything. It is the one place you can lock yourself out.
• Your work sign-in details, in case an app asks you to confirm before removing the account.

Instructions

1. Check Authenticator before you remove anything

One removal on this list can genuinely lock you out — deleting a work account from Authenticator while it is still your sign-in method.

1. If the account stays active — you are switching phones or clearing out apps — set up MFA on another device first, following How to Transfer MFA to a New Phone (Microsoft 365). Removing the entry before then leaves your next sign-in prompt with nowhere to go, and only IT can reset that.
2. If you are leaving the job, leave the Authenticator entry alone until after your last day — you still need it for sign-ins until then, and IT disables the account on their end afterward.
3. When MFA lives somewhere else (or the account is disabled), open Authenticator, tap the work account, and tap Remove account — on some versions it sits behind the gear icon on the account's screen. Confirm, and the entry disappears from the list. Personal accounts in the same app are unaffected.

2. Remove the work account from Outlook

Deleting the account from Outlook takes work mail and calendar off the phone; everything on the server stays exactly as it is.

1. Open Outlook and tap your profile picture in the top-left corner. A panel opens listing your accounts.
2. Tap the gear icon at the bottom of that panel. The Settings screen opens.
3. Under Mail accounts, tap your work account.
4. Tap Delete Account. If Outlook asks for a scope, choose to remove it from this device. The account vanishes from the list, and its mail and calendar leave the app. Nothing on the server is touched — adding the account back later restores everything to the phone.

3. Sign out of Teams

Signing out removes work chat from the phone; your chats and teams live on the server and are untouched.

1. Open Teams and tap your profile picture in the top-left corner.
2. Tap Sign out at the bottom of the menu and confirm. Teams returns to its sign-in screen. Signing out changes nothing in any conversation — signing back in picks up where you left off.
3. If work was the only account in Outlook or Teams, uninstall the apps too if you want them gone. Uninstalling an app removes only the app.

4. Remove the Android work profile

On Android, the work profile is a sealed container — removing it deletes every work app inside it in one move and touches nothing personal.

1. Save anything you need first: a file stored only inside a work-badged app (a download in the work copy of a browser, for example) is deleted with the profile.
2. Open Settings and search for work profile — manufacturers file it under different menus (Accounts, Users & accounts), and search lands on the right screen on all of them.
3. Tap Remove work profile and confirm. The apps with the briefcase badge disappear from your app drawer, along with the Work tab. Your personal apps, photos, and data are untouched — and if the account is still active, enrolling again through Company Portal rebuilds the profile.

5. Remove the management profile from an iPhone

On an iPhone, work access is tied to a management profile installed through Company Portal — removing that profile disconnects the phone from work.

1. Open the Company Portal app, tap Devices, and tap the phone you are holding.
2. Tap Remove Device and confirm. This ends the company's management of the phone; your personal apps, photos, and Apple account are untouched, and re-enrolling through Company Portal restores work access while your account is active.
3. If Company Portal is not installed anymore, use Settings instead: open Settings > General > VPN & Device Management — on older iPhones the entry is named Profiles & Device Management. Tap your company's management profile, tap Remove Management, and enter your phone passcode to confirm.
4. Check the result: the profile is gone from the list, apps the company installed are removed, and work email added by the profile leaves the built-in Mail app.

6. Confirm the phone is off the company device list

The final check is the company's own device inventory, which matters most when you are leaving a job.

1. In a browser, go to portal.manage.microsoft.com and sign in with your work account. This works while the account is active — if you have already left and the account is disabled, skip this step; the removal in step 4 or 5 already cut the connection, and IT clears device records for disabled accounts.
2. Open Devices and check the list. The phone you removed no longer appears. If it still shows, select it and choose Remove — on a personal phone this removes company data and the management link, never your personal data.
3. An empty list is the clean break you want when leaving: the company's inventory no longer ties your personal phone to their systems. Troubleshooting

WARNING

These steps are for a personal phone. On a company-owned phone, management is part of how the device is issued — removing it yourself can cut off your access and flag the device as non-compliant. Hand a company phone back to IT instead.

Symptom / Error	Potential Cause	Solution
No "Remove work profile" option anywhere in Settings	The phone never had a work profile	Work apps were installed normally. Remove the account inside each app (steps 2 and 3), then uninstall the apps you no longer want.
MFA prompt fails after removing the Authenticator entry	The account still used that entry for sign-in	Sign in with another registered method, such as a text message code. If none exists, ask IT to reset the MFA methods on your account so you can re-register, and include your account name and a phone number where they can verify you.
Work email keeps arriving in the iPhone Mail app	The account was added manually in Settings, not by the profile	Open Settings, search for accounts, tap the work account under your mail accounts, and tap Delete Account. This removes the phone's copy only — the mailbox on the server is untouched.
Phone still listed on the portal days after removal	A stale inventory record	On portal.manage.microsoft.com, select the device and choose Remove. If the entry persists, ask IT to delete the stale device record, and include the device name exactly as the list shows it.
