How to Set Up Work Email on Your Personal iPhone

Applies to: iPhone (iOS 16+), Microsoft 365 and Google Workspace accounts
Article Type: How-To
Last Updated: 2026-07-09

Summary

This guide walks you through adding your work email to your personal iPhone using two methods: the Outlook app (recommended by most IT departments) or the built-in Apple Mail app. If your company uses device management (Intune / Company Portal), this guide covers that enrollment step too.

Prerequisites

  • Your work email address and password
  • Access to your Microsoft Authenticator or authentication app for MFA
  • An active internet connection on your iPhone

Instructions

The Outlook app is the preferred method because it keeps your work data separated from personal data and works reliably with Microsoft 365 policies.

  1. Open the App Store on your iPhone.
  2. Search for Microsoft Outlook and tap Get to install it.
  3. Open Outlook once installed.
  4. Tap Add Account.
  5. Enter your work email address and tap Add Account.
  6. Enter your password when prompted.
  7. Complete the MFA verification (approve the notification in Microsoft Authenticator, enter a code, etc.).
  8. Once signed in, Outlook will sync your email, calendar, and contacts.

TIP

The Outlook app keeps work email in its own sandbox — your IT department can manage work data inside the app without accessing your personal photos, messages, or browsing history.

Method B: Apple Mail App

Some employees prefer using the built-in Mail app. This works, but your IT department may have restrictions — and the two apps are not equivalent once your mailbox grows. Before you commit to this method, read Understanding iPhone Mail vs. the Outlook App, which compares them on search, shared mailboxes, meeting scheduling, and the security policies that decide the question for many organizations.

  1. Open Settings on your iPhone.
  2. Scroll down and tap Mail.
  3. Tap Accounts.
  4. Tap Add Account.
  5. Select Microsoft Exchange (for Microsoft 365) or Google (for Google Workspace).
  6. Enter your work email address and tap Next.
  7. Enter your password and complete MFA verification.
  8. Choose which items to sync: Mail, Contacts, Calendars, Reminders. Toggle on what you need.
  9. Tap Save.

WARNING

Some organizations block the native Mail app and require the Outlook app instead. If you see an error like Account could not be verified or Your administrator has blocked this app, switch to Method A.

3. Enroll in Company Portal (If Required)

Some companies require you to install Microsoft Company Portal or Intune before work email will function. If prompted:

  1. Open the App Store and search for Intune Company Portal.
  2. Install and open the app.
  3. Sign in with your work account.
  4. Follow the on-screen steps to enroll your device. This typically involves:
    • Installing a management profile (allows your company to enforce security policies like a lock screen passcode).
    • Agreeing to your company's terms of use.
  5. Once enrollment completes, return to the Outlook app or Mail app — your email should now sync.

INFO

What Company Portal can and can't see on your personal phone:

  • Can see: Device model, OS version, whether a passcode is set, app inventory (work apps only).
  • Cannot see: Personal emails, photos, texts, browsing history, location, or personal app data.
  • See Understanding Company Portal and Your Privacy for the full breakdown.

4. Verify Success

  1. Open the Outlook app (or Mail app) and confirm you see your work inbox.
  2. Send a test email to a coworker to verify sending works.
  3. Check that your work calendar events appear.
  4. If applicable, verify that contacts from your work directory are searchable.

Troubleshooting

WARNING

If your email stops syncing after a password change, open the Outlook app (or go to Settings > Mail > Accounts for the Mail app) and re-enter your new password when prompted.
