1. Restore Microsoft Authenticator on Your New Phone

Set up your Multi-Factor Authentication (MFA) codes before you configure email, and do it while the old phone still works.

Cloud Backup does not carry a work account across on its own. For a work or school account, Microsoft's backup stores only the account name — you have to sign in again to restore it, and that sign-in still needs a verification method you can reach. Keep the old phone working until the new one is approving sign-ins, or add a second method first: How to Transfer MFA to a New Phone covers both routes. Third-party account codes do restore from the backup, and so do personal Microsoft account codes — unless that account uses passwordless sign-in, which backs up the name only.

  1. Download Microsoft Authenticator from the Apple App Store or Google Play Store on your new phone.
  2. Open the app. On the initial welcome screen, tap Restore from backup (do not tap Add account first).
  3. Sign in with the personal Microsoft or iCloud account you used for backup on your old phone.
  4. Your personal and third-party account codes come back. A work or school account comes back as a name only — tap it and sign in to re-register it on this phone, which is the step that needs your old phone or a second method.
  5. If you no longer have the old phone and no other method is registered, this is the lockout case, and it needs IT to reset your methods. Raise a ticket: "I have a new phone and can no longer complete MFA for my work account. Please reset my multi-factor authentication methods so I can register this device."

2. Set Up Outlook Mobile on iPhone or Android

For the best security and feature compatibility, use the official Outlook app rather than native phone mail apps:

  1. Download Microsoft Outlook from the App Store (iOS) or Play Store (Android).
  2. Open Outlook.
  3. If Outlook detects your work account automatically, tap Add Account. Otherwise, type your full work email address (for example, [email protected]) and tap Add Account.
  4. Enter your work password when prompted.
  5. Approve the sign-in notification in Microsoft Authenticator (or enter the SMS verification code).
  6. Tap Maybe Later if prompted to add another account.
  7. Allow notification permissions when prompted so you receive alerts for new emails and calendar invites.

3. Enroll Your Phone in Company Portal (If Required)

If your organization enforces mobile device management (MDM) security policies:

  1. If Outlook displays a message saying "Device Management Required" or "Device Not Compliant", tap Get Started.
  2. Install the Intune Company Portal app from your app store.
  3. Open Company Portal, sign in with your work credentials, and tap Begin.
  4. Follow the on-screen prompts to download and install the work management profile.
  5. Return to Outlook and tap Continue.

4. Verify Work App Functionality

  1. Open Outlook Mobile and tap the Calendar icon to verify your schedule syncs.
  2. Send a quick test email to confirm outbound messaging is working.
  3. Verify that new email push notifications appear on your lock screen.

Troubleshooting

WARNING

If you replaced a lost or broken phone and cannot approve MFA prompts, you cannot complete phone setup yourself. Call your IT helpdesk and ask them to reset your MFA method or issue you a Temporary Access Pass (TAP) — a TAP is a short-lived code that signs you in once, long enough to register the new phone.
