Summary

Recording a Teams meeting captures audio, video, and screen sharing for anyone who could not attend or needs to review the discussion later. This article explains how to start, stop, and find meeting recordings.

Before You Start

  • A Microsoft Teams account with a Microsoft 365 license.
  • Your organization must allow meeting recording (controlled by IT admin policy).
  • Recording is available on the Teams desktop app and web app (not mobile for starting recordings).

Instructions

1. Start a Recording

Begin capturing the meeting.

  1. Join or start a Teams meeting.
  2. Click the three-dot menu (⋯) in the meeting toolbar (labeled More actions).
  3. Select Start recording.
  4. A banner notification appears for all participants: "Recording has started." This ensures everyone is aware they are being recorded.
  5. A red recording indicator appears in the top-left corner of the meeting window.

Tip: If Start recording also starts live transcription, you can toggle transcription on or off independently from the same More actions menu.

2. Stop a Recording

End the recording at any time.

  1. Click the three-dot menu (⋯) in the meeting toolbar.
  2. Select Stop recording.
  3. Click Stop in the confirmation dialog.
  4. A notification appears: "Recording has stopped." The recording is processed and uploaded automatically.
  5. If you do not stop the recording manually, it stops automatically when all participants leave the meeting.

3. Find Your Recording

Locate the recording after the meeting ends.

For channel meetings:

  1. Go to the channel where the meeting was held.
  2. The recording appears as a post in the channel conversation.
  3. Click the recording to play it in the browser.

For non-channel meetings (private or ad hoc):

  1. The recording is saved to the OneDrive of the person who organized the meeting, even when somebody else started the recording and even when the organizer did not attend.
  2. If you organized the meeting, open OneDrive and go to the Recordings folder.
  3. If somebody else organized it, open OneDrive, click Shared, and look under Shared with you — everyone invited gets view access once the recording finishes saving.
  4. The recording is also linked in the meeting chat in Teams.

For 1:1 and group calls:

  1. The recording goes to the OneDrive of the person who selected Record, in the Recordings folder. Calls are the one case that follows the recorder rather than an organizer.

4. Share a Recording

Give others access to the recording.

  1. Find the recording in OneDrive or the meeting chat.
  2. Click the Share button on the recording file.
  3. Enter names or email addresses of the people you want to share with.
  4. Set permissions to Can view (recommended) or Can edit.
  5. Click Send.

5. Download a Recording

Save a local copy of the recording.

  1. Open the recording in OneDrive or from the meeting chat.
  2. Click the Download button (or click the three-dot menu (⋯) > Download).
  3. The file downloads as an .mp4 video file.

Troubleshooting

DANGER

Meeting recordings are automatically deleted after a retention period set by your IT department (default is 120 days). Download important recordings before they expire if you need to keep them permanently.

Where does the recording go after the meeting ends?
If it was a Channel meeting, it saves to the channel's Files tab. If it was a standard calendar meeting, it saves to the OneDrive of the person who organized the meeting, even when somebody else started the recording. Only a 1:1 or group call saves to the OneDrive of the person who selected Record.
Can anyone start a recording?
Usually, only the meeting organizer or someone from the same organization can start a recording. External guests cannot record.
