Summary ​

When you are working on a massive project with a team, you often end up pasting a dozen different website links into a Teams chat: "Here is the research, here is the competitor's site, here is our internal dashboard." Microsoft Edge Workspaces solves this by letting you share a single browser window where all the tabs sync live across your team.

Prerequisites ​

  • You must be using the Microsoft Edge browser.
  • You must be signed into Edge with your Microsoft 365 work account.

Instructions ​

1. Create a Workspace ​

A Workspace is essentially a dedicated browser window that lives in the cloud.

  1. Open Microsoft Edge.
  2. Look at the very top left corner of the window, immediately to the left of your first tab. Click the Workspaces icon (it looks like a small square overlapping another square).
  3. Click Create new.
  4. Give the Workspace a name (e.g., Q3 Marketing Launch) and pick a color.
  5. Click Done.
  6. A new Edge window will open, distinguished by a colored border matching the color you chose.

2. Invite your team ​

Now you need to bring your coworkers into the Workspace.

  1. In the new Workspace window, look at the top right corner (next to your profile picture).
  2. Click the Invite button.
  3. Click Copy link.
  4. Paste that link into a Teams chat or email and send it to your team.
  5. When they click it, Edge will open on their computer and join your Workspace. You will see their profile pictures appear at the top of the browser.

3. How to use it ​

Once everyone is in the Workspace, it acts like a multiplayer browser.

  • Opening tabs: If you open a new tab and go to a website, that tab will instantly appear on your coworkers' screens.
  • Closing tabs: If you close a tab, it closes for everyone.
  • Knowing who is where: If a coworker is looking at a specific tab, you will see their profile picture icon on that tab.
  • Saving for later: You can close the Workspace window at the end of the day. Tomorrow, click the Workspaces menu and open it again. All your tabs will be exactly where you left them.

Troubleshooting ​

WARNING

Workspaces only share the web address (URL). They do not bypass security. If you open an internal company site that requires a login, your coworker will also have to log in to see it. If they don't have permission to view the site, they will see an Access Denied page.
