Summary

A missing Calendar in Teams has two completely different causes that look identical: the icon has been pushed out of the app bar, or your account has nothing for Teams to show. This article separates the two in under a minute and fixes each one, including the exact wording to send IT when the cause sits on their side.

Symptoms

  • The Calendar icon is missing from the app bar down the left side of the Teams window.
  • Meeting invitations arrive in Outlook, but there is nowhere in Teams to see them.
  • Calendar appears in Teams in a browser but not in the desktop app.
  • Calendar was there yesterday and has gone today, often straight after an update.
  • Clicking Calendar shows We couldn't load your calendar or a spinner that never resolves.
  • The Meet now and New meeting buttons disappeared along with the calendar.

Prerequisites

  • Microsoft Teams (new Teams or classic Teams) on Windows or macOS, the web app, or the mobile app.
  • Your work or school account. Steps 1 to 4 and Step 6 need no admin rights.
  • A browser, so you can test Teams and your mailbox on the web.

Instructions

Two very different problems produce the same empty app bar, and the fix depends on which one you have:

  • Calendar used to be there and has gone. The app bar was reordered, the icon slid into the overflow menu, or the local cache is stale. Steps 1, 3, and 6.
  • Calendar has never been there on any device. Your account has no mailbox for Teams to read, or an app policy is hiding it. Steps 2, 4, and 5.

Work through them in order. Step 1 resolves the majority in about twenty seconds.

1. Look Under the More Menu and Pin Calendar Back

The app bar holds a limited number of icons. Anything beyond that number moves into an overflow menu, and dragging icons around is enough to push Calendar into it.

  1. Look at the app bar down the left edge of the Teams window — the vertical strip holding Activity, Chat, Teams, and Calls.
  2. Click the button at the bottom of that strip, labelled More when you hover over it. A flyout list opens showing every app that is not currently pinned.
  3. Find Calendar in the list. Type calendar into the Find an app search box at the top of the flyout if the list runs long.
  4. Right-click Calendar and select Pin. The icon moves into the app bar and stays there between restarts.
  5. Drag the icon up or down the app bar to place it where you want it. The other icons shift to make room.

On the Teams mobile app, the same thing happens in the bottom navigation bar:

  1. Tap More (⋯) at the bottom-right of the screen.
  2. Tap Reorder at the top of the panel that slides up.
  3. Drag Calendar into the bottom bar and tap Done. It now sits alongside Chat and Activity.

Note: In older classic Teams builds the icon is labelled Meetings rather than Calendar. It is the same app.

Verification: Click the pinned Calendar icon. Your working week appears, with a New meeting button in the top-right corner and Meet now beside it.

2. Confirm You Are Signed In to Your Work Account

Teams shows a different set of apps for personal Microsoft accounts, and your work calendar is not among them.

  1. Click your profile picture in the top-right corner of the Teams window. A panel opens showing your name and email address.
  2. Read the address under your name. A work or school account ends in your company's own domain. A personal account ends in outlook.com, hotmail.com, or live.com.
  3. If the wrong account is active, click the account name to expand the list and select your work account. Teams reloads and rebuilds the app bar.
  4. If your work account is not listed, click Add another account, sign in with your work email and password, and complete the sign-in verification prompt.

Note: New Teams runs both account types in a single window and reopens on whichever one you used last. A new computer, or a password reset, is the usual point at which it lands on the personal account and stays there.

3. Check Whether You Are Running New Teams or Classic Teams

The two versions build the app bar from different settings, and switching versions often restores Calendar on its own.

  1. Click the button (Settings and more) beside your profile picture in the top-right corner.
  2. Select Settings, then click About in the left column of the settings window. The version number is listed there.
  3. If a toggle reading Try the new Teams sits in the top-left corner of the main window, you are on classic Teams. Switch it on. The app restarts as new Teams and rebuilds the app bar from your organisation's current policy, which brings Calendar back in most cases.
  4. If you are already on new Teams, go back to Step 1 and check the overflow list. New Teams stores pins per device, so a replacement laptop starts from the default layout rather than the one you set up on the old machine.

4. Confirm Your Account Has a Mailbox Teams Can Read

This is the real cause when Calendar has never appeared. The Teams calendar is a view onto your Exchange Online mailbox — with no mailbox, Teams hides the app rather than showing an empty one.

  1. Open a browser and go to https://outlook.office.com.
  2. Sign in with the same work account you use for Teams.
  3. Read what loads:
    • Your mailbox opens with your email and calendar. You have an Exchange Online mailbox, so the cause is the app bar or a policy. Go back to Step 1, then on to Step 5.
    • A sign-up page, a licence error, or a message saying your account has no mailbox. You have no Exchange Online mailbox. Use the ticket wording below.
    • Your mailbox opens but behaves oddly and the calendar is slow or empty. Your mailbox is hosted on your company's own Exchange servers rather than in Microsoft 365. Teams hides Calendar for on-premises mailboxes unless hybrid modern authentication is configured for them.
  4. Check your licence as well: go to https://portal.office.com, click your profile picture, then View account > Subscriptions. Any plan that includes Exchange Online is listed there. Frontline plans such as Microsoft 365 F1 and standalone Teams licences do not include a mailbox.

Raise a ticket and tell IT: "Microsoft Teams shows no Calendar app for my account. Please confirm my account has an Exchange Online mailbox and a licence that includes Exchange Online. If my mailbox is on-premises, please confirm hybrid modern authentication is configured so Teams can read the calendar."

5. Check Whether an App Policy Is Hiding Calendar

Your organisation controls which apps are pinned into the Teams app bar, and whether you are allowed to pin apps yourself.

  1. Open the overflow menu from Step 1 and search for calendar.
  2. If Calendar does not appear in that list at all and Step 4 confirmed you do have a mailbox, an app setup policy is hiding it.
  3. If Calendar appears in the list but right-clicking it offers no Pin option, the policy has user pinning switched off.

Raise a ticket and tell IT: "The Teams app setup policy assigned to my account does not pin Calendar, and I cannot pin it myself. Please add Calendar to the pinned apps in my app setup policy, or enable user pinning for my account."

Note: Policy changes take a few hours to reach your Teams client. Sign out and back in the following morning rather than checking every ten minutes.

6. Clear the Teams Cache If Calendar Vanished After Working

A stale local cache leaves the app bar showing the layout Teams downloaded days ago. Clearing it forces a fresh copy of your app list.

  1. Test the browser version first. Go to https://teams.microsoft.com and sign in. If Calendar appears there but not in the desktop app, the desktop cache is the problem and this step fixes it.
  2. Close the Teams window, then right-click the Teams icon in the notification area at the bottom-right of the taskbar and select Quit. The icon disappears. Click the up arrow ^ first if the icon is hidden.
  3. Reopen Teams from the Start menu, sign in, and check the app bar.
  4. If Calendar is still absent, clear the cache in full. The folders differ completely between new Teams and classic Teams — see How to Clear the Microsoft Teams Cache for the steps that match your version.
  5. Sign in again afterwards. Teams rebuilds the app bar from your organisation's policy, which restores Calendar whenever a stale cache was the cause.

Verification: Click Calendar and confirm a meeting you know about appears at the right time. An icon that opens an empty week points back at Step 4 rather than the cache.

Answer one question before you start: has Calendar ever worked on this account, on any device? If it has, the cause is local — the app bar, the app version, or the cache — and Steps 1, 3, and 6 cover it. If it has never appeared anywhere, the cause is your mailbox or an app policy, and no amount of cache clearing will change that. Steps 4 and 5 are where that ends.
