Summary ​

Someone sends you a PDF form — type your answers into it on screen and send it back, with no printer or scanner involved. This guide covers both kinds of form: a real fillable form, which Microsoft Edge completes natively, and a flat scanned form, where you place text on top of the page. Before You Start ​

  • Microsoft Edge — installed by default on Windows, no setup needed.
  • For flat scanned forms: the free Adobe Acrobat Reader, whose Fill & Sign tool places text anywhere on a page.
  • Save the PDF to your computer before you start (in Outlook, right-click the attachment and choose Save As). The attachment preview inside your email app is read-only.

Instructions ​

1. Check Whether the Form Is Fillable ​

One click tells you which method you need.

  1. In File Explorer, right-click the saved PDF, choose Open with, and select Microsoft Edge.
  2. Click inside the first box you need to complete — the Name field, say.
  3. Watch the box: a blinking text cursor means the form has real fields — continue with 2. Fill the Form in Microsoft Edge. If nothing happens, the form is a flat scan of a paper form — go to 4. Type Onto a Flat Scanned Form.

2. Fill the Form in Microsoft Edge ​

Edge completes interactive PDF forms natively — click a field and type.

  1. Click into each field and type your answer. Press Tab to jump to the next field.
  2. Click a checkbox once to tick it; click it again to clear it. Fields with a small arrow on the right are dropdowns — click the arrow and pick from the list.
  3. When every field is complete, click the Save as icon in the toolbar and give the filled copy a new name. This keeps the blank original untouched — and if you overwrite the blank with Save (Ctrl + S) by mistake, re-download the attachment or ask the sender for a fresh copy.
  4. Reopen the saved file once to confirm your answers appear. What you see now is exactly what the recipient will see.

3. Fill the Form in Adobe Acrobat Reader ​

Reader is the fallback when a form refuses to open or type correctly in Edge.

  1. Open the PDF in Adobe Acrobat Reader.
  2. Click All tools in the left sidebar, then select Fill & Sign. On a fillable form, Reader shades every field it detects so you can see what needs completing.
  3. Click into each shaded field and type. Press Tab to move through the form in order.
  4. Click File > Save As and save the filled copy under a new name, which leaves the blank original untouched.

4. Type Onto a Flat Scanned Form ​

A scanned form has no real fields, so you place your own text boxes on top of the page.

  1. Open the PDF in Adobe Acrobat Reader, click All tools in the left sidebar, then select Fill & Sign.
  2. Click the blank line where an answer belongs. A text box appears with a blinking cursor — type your answer.
  3. Use the small A and large A buttons on the floating toolbar to shrink or grow the text until it sits neatly on the form's line.
  4. Drag the box to fine-tune its position. Your text sits on a layer above the scan — the original page underneath never changes, and selecting a box and pressing Delete removes it cleanly.
  5. For checkboxes, pick the checkmark from the same toolbar and click the box on the form to place it.
  6. Click File > Save As to save the completed copy under a new name.

Current versions of Edge can do this too: look for Add text in the PDF toolbar, click the page, and type. If your Edge toolbar has no Add text button, use the Acrobat Reader steps above — they work on every version.

Troubleshooting ​

TIP

Save the form to your computer before you start. Typing into a PDF inside an email preview window is the most common reason nothing happens — the preview is read-only.
