Summary
This article shows you how to customize a Microsoft Teams channel by adding tabs for quick access to files, websites, Planner boards, Lists, OneNote notebooks, and other apps. Tabs turn a channel into a centralized workspace so your team does not have to hunt for resources.
Before You Start
- A Microsoft Teams account with membership in the team that owns the channel.
- To add tabs to a channel, this requires team member access (owners and members can add tabs by default). In a private channel it works differently: that channel's own owner decides who can add tabs, and any app has to be installed for the team first.
- A shared channel follows the same pattern. Its own owner manages tabs and apps and decides whether channel members can add them, and the app has to be installed for the team first. A team owner who is not a member of the shared channel cannot manage its tabs.
- The app you want to add (e.g., Planner, Lists, OneNote) must be available in your organization's Teams app catalog.
Instructions
1. Add a Tab to a Teams Channel
Tabs appear at the top of a channel, next to Posts and Files. Each tab provides quick access to a specific resource.
- Open Microsoft Teams and navigate to the channel where you want to add a tab.
- Click the + (Add a tab) button at the top of the channel, to the right of the existing tabs.
- A dialog appears showing available apps. Common options include:
- Excel — Pin a specific spreadsheet.
- Word — Pin a specific document.
- PDF — Pin a specific PDF for quick reference.
- OneNote — Pin a notebook section for shared notes.
- Planner — Create or link a task board for the channel.
- Lists — Create or connect a Microsoft List for tracking.
- SharePoint — Pin a SharePoint page or document library.
- Website — Embed any web page as a tab.
- Power BI — Pin a dashboard or report (if licensed).
- Select the app you want, then configure it:
- For file-based tabs (Excel, Word, PDF): browse to the file in the channel's Files tab, OneDrive, or SharePoint.
- For apps (Planner, Lists): choose to create a new board/list or connect an existing one.
- For websites: paste the URL and give the tab a name.
- Optionally, check Post to the channel about this tab to notify your team.
- Click Save. The new tab appears at the top of the channel.

A shared channel supports a narrower set of apps. Microsoft publishes the list of apps approved for shared channels — Excel, Word, PowerPoint, OneNote, PDF, Lists, SharePoint, Website, and, as of August 2026, Planner are on it; Stream and Forms are not. Only the tab part of an app works in a shared channel, so bots, connectors and messaging extensions are unavailable there.
2. Pin a File as a Tab
Pinning a frequently used file (spreadsheet, document, or PDF) gives everyone one-click access without searching through the Files tab.
- Navigate to the channel's Files tab.
- Upload the file if it is not already there (drag and drop, or click Upload).
- Click the + (Add a tab) button at the top of the channel.
- Select the appropriate app type (Excel, Word, or PDF).
- Browse to the file you uploaded and select it.
- Click Save. The file is now accessible as a permanent tab.
Tip: Any file pinned as a tab is still stored in the channel's SharePoint document library. Editing the file through the tab updates the same file that appears in the Files tab.
3. Add a Planner Board to a Channel
Adding Planner creates a shared task board directly inside the channel for managing team work.

As of August 2026, Microsoft has rolled this out to private and shared channels too — you can add Planner (or Tasks by Planner and To Do) as a tab there and create and manage tasks directly within the channel. Stream and Forms still do not support tabs in a private or shared channel.
- Click the + (Add a tab) button at the top of the channel.
- Search for and select Tasks by Planner and To Do (or Planner).
- Choose one of:
- Create a new plan — Enter a name for the new task board.
- Use an existing plan — Select a plan that has already been created.
- Click Save.
- The Planner board appears as a tab. Team members can create tasks, assign owners, set due dates, and track progress directly from the channel.
4. Add a Website Tab
Embedding a website gives your team quick access to internal portals, documentation sites, or external resources without leaving Teams.
- Click the + (Add a tab) button.
- Select Website (or Webpage).
- Enter a Tab name (e.g., "IT Portal" or "Company Wiki").
- Paste the full URL of the website.
- Click Save. The website loads inside the Teams window.

Some websites block being embedded in iframes for security reasons. If the website does not load inside the tab, it will show an error or prompt you to open it in a browser. In that case, consider adding it as a bookmark in the channel's Posts tab instead.
5. Rename, Reorder, or Remove a Tab
You can manage existing tabs to keep the channel organized.
Rename a Tab
- Right-click (or click the dropdown arrow on) the tab you want to rename.
- Select Rename.
- Enter the new name and press Enter.
Reorder Tabs
- Click and drag a tab left or right to change its position in the tab bar.
Remove a Tab
- Right-click the tab and select Remove.
- Confirm removal. Removing a tab does not delete the underlying file or data — it only removes the shortcut from the channel.
6. Manage Apps for Your Team
You can browse all available apps that can be added to Teams channels, chats, or meetings.
- Click the Apps icon in the left sidebar of Teams.
- Browse or search for the app you want.
- Click the app and select Add to a team.
- Choose the team and channel, then click Set up.
Troubleshooting
TIP
The + (Add a tab) button is the key to channel customization. If you do not see an app in the list, your organization's IT admin may have restricted it — contact IT to request access to specific Teams apps.
