Before You Start ​

  • A working internet connection (verify by opening a web page in your browser).
  • OneDrive desktop app installed and signed in — look for the cloud icon in the system tray (bottom-right corner of the taskbar).

Instructions ​

1. Check the OneDrive Sync Status ​

Before troubleshooting, check what OneDrive is telling you. The sync status icon and activity center give you specific information about what is wrong.

  1. Click the OneDrive cloud icon in the system tray (bottom-right corner of the taskbar). If you do not see it, click the ^ (up arrow) to show hidden icons.
  2. Look at the icon color and shape:
    • White cloud = Signed in and syncing normally.
    • Blue cloud = First-time setup in progress.
    • Grey cloud = Not signed in or OneDrive is not running.
    • Cloud with red circle (X) = Sync is blocked — there is an error that needs attention.
    • Cloud with yellow triangle (!) = Warning — sync is partially working but some files have issues.
    • Cloud with pause icon = Sync is paused (manually or by Battery Saver).
    • Cloud with arrows = Sync is actively uploading or downloading.
  3. Click the cloud icon to open the OneDrive activity center. It shows which files are syncing, which are stuck, and any error messages.
  4. Read the specific error message — it often tells you exactly what is wrong (e.g., File name not allowed, Not enough space, or Upload blocked).

2. Resume Syncing if Paused ​

OneDrive automatically pauses sync when your laptop enters Battery Saver mode, when you are on a metered connection, or when you manually pause it. A paused sync is the simplest fix.

  1. Click the OneDrive cloud icon in the system tray.
  2. If the activity center shows Syncing is paused, click Resume syncing.
  3. If you see a Pause button with a time shown (e.g., "Paused for 2 hours"), click it and select Resume syncing.
  4. Wait 1–2 minutes and check if the pending files start uploading. The cloud icon should show arrows while syncing and return to a white cloud when complete.
  5. If OneDrive was not paused, or resuming did not help, continue to Step 3.

3. Close Files That Are Blocking Sync ​

OneDrive cannot upload a file that is currently open and locked by another application. This is the most common cause of a single file stuck on "Sync Pending."

  1. In the OneDrive activity center, look for specific file names with sync errors.
  2. If a specific file is stuck, check if it is open in Word, Excel, PowerPoint, or another application.
  3. Save and close the file in the application that has it open.
  4. Wait 30 seconds. OneDrive should detect the file is no longer locked and begin syncing.
  5. If the file is not open anywhere but still shows "Sync Pending," right-click the file in File Explorer and check if you see Free up space or Always keep on this device — click Always keep on this device to force a full sync.

Note: If sync resolves the block by creating a second file with your computer name attached — Q3 Report-DESKTOP-A1B2C3.xlsx beside Q3 Report.xlsx — OneDrive could not merge two versions and kept both. 4. Fix File Name and Path Issues ​

OneDrive cannot sync files that contain characters not allowed in SharePoint, or files whose full path exceeds 400 characters. Windows allows these characters and paths, but OneDrive rejects them.

  1. In the OneDrive activity center, look for error messages mentioning file name or path too long.
  2. Check the stuck files for these prohibited characters in the file name: " * : < > ? / \ |
  3. Check for file names that start or end with a space or a period (.).
  4. Check for files named with reserved Windows names: CON, PRN, AUX, NUL, COM1–COM9, LPT1–LPT9.
  5. If the file name contains any of these issues, rename the file to remove the problematic character.
  6. If the error mentions path too long, shorten the folder names or move the file to a location closer to the root of your OneDrive folder. The full path (starting from the root of your OneDrive) must be under 400 characters — and the local copy on your PC hits the tighter 260-character Windows limit first.   7. After renaming, OneDrive should sync the file within 1–2 minutes.

5. Check Your Storage Quota ​

OneDrive stops uploading when your cloud storage is full. Files will show "Sync Pending" indefinitely because there is no space on the server to receive them.

  1. Click the OneDrive cloud icon > gear icon > Settings.
  2. Go to the Account tab. Your storage usage is shown as a bar chart (e.g., "12.3 GB of 1 TB used").
  3. If your storage is nearly full:
    • Open your browser and go to https://onedrive.com.
    • Sort files by Size (largest first) to find space-hogging files.
    • Delete files you no longer need, especially large videos, old backups, and duplicates.
    • Empty the Recycle Bin in OneDrive (deleted files still count against your quota for 93 days).
  4. After freeing space, wait 1–2 minutes for OneDrive to detect the available storage and resume uploading.

6. Restart the OneDrive App ​

A quick restart clears most temporary sync hangs — it forces OneDrive to re-scan all files and retry failed uploads.

  1. Click the OneDrive cloud icon in the system tray.
  2. Click the gear icon > Pause syncing > Quit OneDrive.
  3. Confirm if prompted.
  4. Wait 10 seconds.
  5. Press the Start key, type OneDrive, and launch it from the search results.
  6. OneDrive will start, re-scan your files, and retry any failed syncs.
  7. Wait 2–3 minutes and check the activity center for progress.

7. Unlink and Relink Your OneDrive Account ​

If restarting did not help, unlinking your account forces OneDrive to re-authenticate and re-establish the sync relationship. No files are deleted — they remain on the server and in your local OneDrive folder.

  1. Click the OneDrive cloud icon > gear icon > Settings.
  2. Go to the Account tab.
  3. Click Unlink this PC.
  4. Confirm when prompted. OneDrive will show the setup screen.
  5. Sign in with your work email address.
  6. When prompted for the OneDrive folder location, choose the same location as before (usually C:\Users\[YourUsername]\OneDrive - [CompanyName]). This avoids duplicating files.
  7. OneDrive will scan the existing folder and match files with the server. No files are re-downloaded if they already exist locally.

8. Reset OneDrive ​

If the sync engine itself is stuck, a reset forces OneDrive to rebuild its internal database. No files are deleted — OneDrive re-scans everything and rebuilds the sync state from scratch.

  1. Close OneDrive (use Step 6 to quit).
  2. Press Win + R to open the Run dialog.
  3. Paste the following command and press Enter:
    %localappdata%\Microsoft\OneDrive\onedrive.exe /reset
  4. The OneDrive icon will disappear from the system tray. Wait 2–3 minutes for it to reappear.
  5. If the icon does not reappear after 3 minutes, open the Start menu, type OneDrive, and launch it manually.
  6. OneDrive will re-scan all files in your OneDrive folder. This may take several minutes depending on how many files you have. Let it finish without closing it.
  7. If the /reset command fails with an error, try this alternative path:
    C:\Program Files\Microsoft OneDrive\onedrive.exe /reset

9. Verify Your Files Are Safe on the Web ​

While troubleshooting sync issues on your computer, your files are still accessible on the web. Use this to confirm nothing is lost and to continue working if the sync issue takes time to resolve.

  1. Open your browser and go to https://onedrive.com.
  2. Sign in with your work email address.
  3. Browse to the folder where the stuck files should be.
  4. If the files are there: Your files are safe on the server. The issue is only with the desktop sync client — your work is not lost.
  5. If the files are not there: The files may not have uploaded yet. Check your local OneDrive folder on your computer — the files are still on your hard drive. Once sync resumes, they will upload.
  6. You can upload files directly through the browser as a temporary workaround: click Upload > Files or Folder and select the files from your computer.

10. When to Contact IT ​

Most of these bottom out at one of two things an admin controls: your OneDrive storage quota, or the list of file types your organization blocks from syncing. Say which one you have hit in the ticket, and include the exact error text OneDrive shows plus the full path of one file that will not sync.

Contact your IT helpdesk if:

  • OneDrive still shows sync errors after a full reset (Step 8) and unlink/relink (Step 7).
  • You see errors mentioning policies, compliance, or DLP — your organization may have data protection rules that block certain files from syncing.
  • Sync errors mention SharePoint or site permissions — you may need access granted to a specific library.
  • Your storage quota is full and you cannot delete files because they are managed by a retention policy.
  • OneDrive shows We can't sync this library for a SharePoint site — the library may require admin reconfiguration.
  • Multiple colleagues report the same sync issue simultaneously — this may indicate a service outage.
  • You see Your IT admin has restricted some types from syncing — organization policies are blocking specific file types.

OneDrive never deletes files during a sync problem. Your files are safe — they exist either on the server (accessible at onedrive.com), on your local hard drive, or both. A sync error means the two copies are not being kept in sync, not that files are being lost.
