2. PIN vs. Password — The #1 Confusion Point
This is the most common question from users: "How is a 4-digit PIN more secure than my complex password?"
The answer is where the credential lives:

Key takeaway: A PIN is more secure than a password because it is device-bound. Even a simple 4-digit PIN cannot be used without physical access to your specific computer. A complex password, by contrast, can be used from anywhere if stolen, phished, or leaked in a data breach.

3. Windows Hello Biometrics — Fingerprint and Face
Biometric sign-in methods use your physical characteristics to verify your identity. They are the fastest and most convenient sign-in methods.
How they work:
- Your biometric data (fingerprint pattern or face map) is captured during setup and stored locally on the device's TPM chip — it is never sent to Microsoft, your organization, or any cloud service.
- When you sign in, the biometric reader compares the live scan to the stored template. If it matches, the TPM releases the credential.

4. Picture Password
Picture password lets you sign in by drawing three gestures (taps, lines, and circles) on a photo of your choice. It is a visual alternative to typing and works well on touchscreen devices.

- Available on Windows 10 and Windows 11, but not widely used in enterprise environments.
- The gestures must match the exact position, size, and direction each time.
- Not part of Windows Hello — it does not use the TPM chip.
- Some organizations disable picture passwords via Group Policy because they are considered less secure than biometrics or PIN.
5. Security Keys (FIDO2 / Passkeys)
Security keys are physical devices (USB or NFC) that provide passwordless authentication. They are the most secure sign-in method available.
How they work:
- You plug in your security key (USB) or tap it (NFC) during sign-in.
- The key performs a cryptographic handshake with the identity provider (Azure AD).
- You may need to touch the key or enter a key-specific PIN to confirm.
- Sign-in completes without a password ever being used.

- Immune to phishing — the key verifies the website's identity before responding, so fake login pages cannot intercept the credential.
- No biometric data or password is transmitted.
- If you lose the key, you use a backup method (password + MFA) until IT issues a replacement.
- Your organization must enable FIDO2 security key support — not all organizations have adopted this yet. Check with IT if you are interested.
Passkeys are the next evolution of security keys. They work similarly but can be stored on your phone or in a password manager instead of a physical key. Passkey support in Windows and Microsoft 365 is expanding — ask IT to confirm whether passkeys are enabled for your account yet, and which sign-in method they want you to use until they are.

7. Where to Set Up or Change Your Sign-In Methods
All sign-in methods are managed from the same place in Windows Settings.
- Press Windows + I to open Settings.
- Navigate to Accounts > Sign-in options.
- Each available method is listed:
- Facial recognition (Windows Hello) — requires IR camera.
- Fingerprint recognition (Windows Hello) — requires fingerprint reader.
- PIN (Windows Hello) — always available.
- Security key — requires FIDO2 hardware.
- Password — always available.
- Picture password — may be disabled by policy.

8. What Happens If Your Biometric or PIN Fails
Every Windows Hello method requires a fallback. Here is the priority order Windows uses when your primary method fails:
- Try another Windows Hello method — if you have both fingerprint and face enrolled, try the other.
- Use your PIN — always available as a fallback for Windows Hello biometrics.
- Use your password — click Sign-in options on the lock screen and select the key icon.
- "I forgot my PIN" — resets your PIN using your account password and MFA verification.

If a sign-in method is missing from Settings > Accounts > Sign-in options, it is either not supported by your hardware (biometrics, security keys) or has been disabled by your organization's IT policy. Contact IT if you believe the method should be available to you — name the method and say whether your device has the hardware it needs, so they can tell you which of the two is blocking it.
