Summary

1. What Is a Microsoft 365 Group?

A Microsoft 365 Group is the identity and membership layer that powers several Microsoft 365 services. Think of it as a container that holds a set of people and automatically provisions shared resources for them.

When a Microsoft 365 Group is created, the following resources are provisioned automatically:

• Group mailbox — a shared email address (e.g., [email protected]) visible in Outlook.
• Shared calendar — accessible by all group members.
• SharePoint team site — with a document library for file storage.
• OneNote notebook — shared with all members.
• Planner board — for task management.

A Microsoft 365 Group can exist on its own (created from Outlook or the Admin Center), or it can be "Teams-enabled" — meaning a Microsoft Teams workspace is layered on top of it.

2. What Creating a Team Actually Creates

When you (or IT) create a new Team in Microsoft Teams, the following happens behind the scenes:

1. A Microsoft 365 Group is created with the Team's name.
2. A SharePoint team site is provisioned with a default document library.
3. A shared mailbox and calendar are created (accessible in Outlook).
4. A Planner board is created (accessible via the Tasks app in Teams or planner.microsoft.com).
5. A OneNote notebook is created (accessible via the OneNote tab in Teams).
6. A General channel is created in Teams as the default conversation space.

Key fact: The Team, the SharePoint site, the shared mailbox, and the Planner board all share the same membership. Adding someone to the Team adds them to all connected resources. Removing them revokes access to everything. 4. "I Created a Team — Where Is the SharePoint Site?"

Every Team has a SharePoint site. Here is how to find it:

1. Open the Team in Microsoft Teams.
2. Click the Files tab in any channel.
3. Click Open in SharePoint (in the toolbar above the file list).
4. The SharePoint team site opens in your browser. Files you save here belong to the Team, not to you — for how that differs from OneDrive and from a private Teams chat, see Understanding Where Your Files Live.

Going the other direction — "I have a SharePoint site, where is the Team?"

1. Open the SharePoint site in your browser.
2. In the bottom-left corner, look for a Microsoft Teams icon or link.
3. If the site is connected to a Team, clicking it opens the Team in Teams.
4. If there is no Teams link, the site exists as a standalone SharePoint site without a Team.

5. Public vs. Private Groups and Teams

The privacy setting controls who can discover and join the group or team.

Changing privacy after creation:

1. In Teams, click the three-dot menu (⋯) next to the team name > Edit team.
2. Change Privacy to Public or Private.
3. Click Update. The change takes effect immediately.

6. Guest Access — What External Users Can and Cannot Do

Microsoft 365 Groups and Teams support guest access, allowing people outside your organization (clients, vendors, partners) to participate.

What guests CAN do:

• Participate in channel conversations and chats.
• Access files in the Teams Files tab (SharePoint).
• Attend Teams meetings.
• Use Planner boards.
• View and edit shared OneNote notebooks.

What guests CANNOT do:

• See the org chart, directory, or other teams they are not part of.
• Create new teams or channels.
• Access other SharePoint sites, OneDrive, or resources outside the specific team.
• Use some features that require a full license (e.g., scheduled channel posts, certain apps).

How to add a guest:

1. In Teams, click the three-dot menu (⋯) next to the team name > Add member.
2. Type the guest's external email address.
3. Click Add. The guest receives an email invitation to join.

Note: Guest access must be enabled by your IT administrator. If you cannot add external guests, ask IT to enable guest access for this specific team — give them the team name and the guest's email domain.

7. Owners vs. Members — Why Roles Matter

Every Microsoft 365 Group (and Team) has two roles: Owner and Member. The distinction matters.

Best practices for ownership:

• Every team should have at least two owners in case one leaves the organization.
• Owners should review membership quarterly and remove people who no longer need access.
• If all owners leave, IT must intervene to assign a new owner.

Troubleshooting

Most issues with finding teams, groups, or sites stem from not understanding that they are connected. A Team, its SharePoint site, and its Group mailbox all share the same name and membership. Changes to one affect the others.

Symptom / Error	Potential Cause	Solution
"I can't find my Team"	The team is private and you are not a member, or it was deleted	Search for the team name in Teams. If it does not appear, ask the team owner to add you. If it was deleted, an owner or IT can restore it within 30 days.
"I was removed from a group and lost access to everything"	Removing you from the M365 Group revokes access to the Team, SharePoint site, and shared mailbox simultaneously	Contact the group owner to be re-added. All resources are restored upon rejoining.
"Emails to the group are not arriving"	Group mailbox is not followed, or mail delivery is misconfigured	In Outlook, right-click the group > Follow in Inbox (or Subscribe). If mail is not being delivered at all, contact IT to verify the group's mail settings.
"I created a Team but cannot find the SharePoint site"	The SharePoint site exists but you have not navigated to it	Open the Team > Files tab > Open in SharePoint. See Section 4 above.
"I deleted a Team and the SharePoint site is gone"	Deleting a Team deletes the associated M365 Group and SharePoint site	IT can restore a deleted group (and all connected resources) within 30 days. After 30 days, the data is permanently deleted.
"A team shows as having no owner"	All previous owners left the organization	Contact IT to assign a new owner. Until an owner is assigned, no one can manage the team settings or membership.
