  • Access to a SharePoint site with at least Contribute permissions.

Instructions

1. Upload Files to a Document Library

Add files from your computer to SharePoint.

  1. Navigate to the SharePoint document library in your browser.
  2. Click Upload > Files (or Folder to upload an entire folder).
  3. Select the files from your computer and click Open.
  4. The files upload and appear in the library.
  5. Alternatively, drag and drop files directly from File Explorer into the browser window.

Tip: If you work in this library every day, bring it into File Explorer instead of uploading through the browser each time. Click Add shortcut to My files on the command bar — How to Sync a SharePoint Library to File Explorer explains that button, how it differs from Sync, and how to remove a library later.

Note: If an uploaded file never appears for your colleagues, the library is configured to require check-out and your upload stays checked out to you until you check it in — see How to Check Out and Check In Files in SharePoint.

2. Create a New Folder

Organize files into folders within the library.

  1. Click + New > Folder.
  2. Enter a folder name.
  3. Click Create.

3. Move or Copy Files

Relocate files within or across libraries.

  1. Select the file(s) by clicking the checkbox to the left of each file name.
  2. Click Move to (or Copy to) on the toolbar.
  3. Browse to the destination folder or library.
  4. Click Move here (or Copy here).

4. Rename a File or Folder

Change the display name.

  1. Click the three-dot menu (⋯) next to the file or folder name.
  2. Click Rename.
  3. Type the new name and press Enter.

5. Edit File Metadata (Column Values)

Fill in metadata columns to categorize and filter files.

  1. Select a file.
  2. Click the information icon (ℹ️) on the toolbar to open the details pane.
  3. Edit the column values (e.g., Status, Category, Department).
  4. Changes save automatically.
  5. Alternatively, click the metadata column directly in the library view to edit inline.

Note: A Status column that people type into by hand is only as current as the last person who remembered. 6. Change the Library View

Switch between different views to see files organized differently.

  1. Click the View options dropdown at the top-right of the library (e.g., "All Documents").
  2. Select a preconfigured view, or click Create new view.
  3. To sort or filter within the current view:
    • Click a column header to sort.
    • Click the filter icon next to a column header to filter by value.

7. Delete a File or Folder

Remove items from the library.

  1. Select the item by clicking its checkbox.
  2. Click Delete on the toolbar.
  3. Click Delete to confirm.
  4. Deleted items go to the SharePoint Recycle Bin and can be recovered for 93 days.

SharePoint has a file name and path length limit of 400 characters. Very long folder structures or file names can cause upload or sync errors.

Frequently asked questions

Is dragging and dropping files into SharePoint safe?
Yes. You can drag files directly from your computer into the browser window. A dashed box will appear saying 'Drop here' to confirm the upload will start.
Why can't I delete a file in SharePoint?
You either do not have Edit permissions for that library, or someone else currently has the file open and locked for editing. Check if the file has a small red padlock icon next to it.
