Symptoms

  • Your status shows Away with a yellow clock badge minutes after you last used the keyboard.
  • You set yourself to Available and it reverts within seconds.
  • Your own window shows Available, but colleagues see a grey Offline dot next to your name.
  • Teams shows Out of Office or In a meeting when neither is true.
  • Your status changes every time your screen locks and you unlock it again.

Prerequisites

  • Microsoft Teams on Windows (new Teams or classic Teams), the web app, or the mobile app.
  • Your own work account. No admin rights are needed for any step in this guide.
  • Access to Outlook, if a calendar entry turns out to be setting your status (Step 5).

Instructions

Teams does not have one status setting. It works out your presence from four signals and publishes whichever one wins:

  • Your keyboard and mouse. After roughly five minutes with no input on a device, that device reports Away. Locking or sleeping the computer reports it immediately.
  • Every device you are signed in on. Teams tracks the desktop app, the browser tab, and the phone app together, and presence follows the most recently active one. A phone that woke in your pocket and then locked can report Away seconds after your desktop reported Available.
  • Your Outlook calendar and automatic replies. A live calendar event marked Busy produces In a meeting. An automatic reply produces Out of Office.
  • Anything you set by hand. A manual status outranks all three of the above until its duration runs out or you reset it.

Work through the steps in order. The first two fix most cases in under a minute.

1. Set Your Status Manually and Give It a Duration

Pin your status to a value Teams cannot overwrite, and tell it how long to hold.

  1. Click your profile picture in the top-right corner of the Teams window. A panel opens showing your name and your current status.
  2. Click your current status — the line reading Away, Available, or whatever is showing. A list of options expands.
  3. Select Available. The dot on your profile picture turns green straight away.
  4. Click your profile picture again, click your status a second time, and select Duration at the bottom of the list.
  5. In the Status duration dialog, set the Status dropdown to Available and the Reset status after dropdown to a length of time — 1 hour, 4 hours, Today, This week, or Custom for a specific date and time.
  6. Click Done. The dialog closes and a small clock badge appears beside your status in the profile panel, showing the reset time.

Note: While a duration is running, the idle timer and your calendar cannot change your status. This is the setting to use for a long call on another device, a workshop, or any stretch where you are working without touching the keyboard.

2. Reset Your Status Back to Automatic

Clear an old manual status that is still in force from days or weeks ago.

  1. Click your profile picture in the top-right corner.
  2. Click your current status to expand the list.
  3. Click Reset status at the bottom of the list.
  4. Your status returns to whatever Teams detects on its own — green Available while you are typing, or In a meeting if a calendar event is running.

Note: Appear away and Appear offline survive restarting Teams, signing out, and rebooting the computer. If you picked one months ago to get through a deadline, it is still active, and Reset status is the only thing that clears it.

3. Stop Windows Sleep and the Screen Saver from Marking You Away

Extend the lock and sleep timers that flip you to Away the moment the screen goes dark.

  1. Press Windows + I to open Settings.
  2. Click System in the left sidebar, then Power & battery. On Windows 10 this reads System > Power & sleep.
  3. Expand the Screen and sleep section. On Windows 10 the four dropdowns are already visible.
  4. Set When plugged in, put my device to sleep after to a longer value, such as 1 hour or Never. The dropdown closes and the new value is saved without a confirmation prompt.
  5. Press Windows + I again, click Personalization > Lock screen, and click Screen saver near the bottom of the page. The Screen Saver Settings dialog opens.
  6. Increase the Wait value in minutes, or clear the On resume, display logon screen checkbox so the screen saver stops locking your session.
  7. Click Apply, then OK. The dialog closes.

Note: Turning the display off on its own does not make you Away — locking or sleeping does. On many company laptops those happen together, which is why the screen going dark reads as you leaving.

If either page shows a message that your organization manages these settings, the lock timeout is enforced by policy and the dropdowns are greyed out. Raise a ticket and tell IT: "The enforced screen lock timeout is setting my Teams presence to Away during calls. Please extend the idle lock timeout for my account." In the meantime, use the Duration setting in Step 1 — it holds through a lock.

4. Sign Out of Teams on Your Phone

Remove the mobile client that reports an idle state while you are working at your desk.

This is the cause behind the most stubborn version of the problem: you set Available on the desktop, and it drops back to Away within seconds, over and over.

  1. Open the Teams app on your phone.
  2. Tap your profile picture in the top-left corner. A panel slides in from the left showing your status and settings.
  3. Scroll to the bottom of that panel and tap Sign out. On some versions the option sits one level deeper, under Settings > Sign out.
  4. Tap Sign out again in the confirmation prompt. The app returns to the sign-in screen.
  5. Back on your computer, set your status as described in Step 1 and watch it for a minute. It now holds.

Tip: If you need Teams on your phone, leave it signed in and use Duration instead (Step 1) — a manual status outranks anything the phone reports. On iPhone you can also open Settings > General > Background App Refresh and turn off the switch for Teams, which stops the app waking and reporting presence while it sits in your pocket.

5. Check Whether Outlook Is Driving Your Status

Find the calendar event or automatic reply that is forcing In a meeting or Out of Office.

Three Teams statuses come straight from Outlook, and no amount of clicking in Teams will shift them while the source is still live:

  • In a meeting — a calendar event marked Busy is running right now.
  • Out of Office — an automatic reply is switched on in Outlook.
  • Away — last seen recently — nothing in Outlook; that one is the idle timer from Step 3.

To clear a calendar-driven status:

  1. Open Outlook and click Calendar in the left app bar.
  2. Find the event covering the current time and double-click it to open it.
  3. Set the Show As dropdown — on the ribbon in classic Outlook, in the event header in new Outlook and Outlook on the web — to Free.
  4. Click Save (or Send update if you are the organizer and others are invited).
  5. Your Teams status updates within about a minute.

To clear an Out of Office status:

  1. In classic Outlook, click File > Automatic Replies (Out of Office). In new Outlook or Outlook on the web, click the Settings gear in the top-right corner, then Accounts > Automatic replies.
  2. Select Do not send automatic replies, or switch the Automatic replies on toggle off.
  3. Click OK or Save. The dialog closes.
  4. The Out of Office label disappears from your Teams profile within a minute or two.

Note: All-day events only affect your presence when they are marked Busy or Out of office. An all-day event marked Free leaves your status alone, which is the right setting for reminders and holidays you are still working through.

6. Clear the Teams Cache to Force a Presence Reset

Reset the local presence cache when your status is stuck on a value nothing else explains.

Use this when your own window shows Available but colleagues see grey, or when a status refuses to change no matter what you select. Close Teams properly first — quitting from the window title bar leaves it running.

  1. Click the X in the top-right corner of the Teams window.
  2. Find the Teams icon in the notification area at the bottom-right of the taskbar, near the clock. Click the up arrow ^ to reveal hidden icons if it is not visible.
  3. Right-click the Teams icon and select Quit. The icon disappears.

For new Teams (the current app, installed from the Microsoft Store as MSTeams):

  1. Press Windows + I, click Apps in the left sidebar, then Installed apps.
  2. Type Microsoft Teams in the search box at the top of the list.
  3. Click the three dots (...) to the right of Microsoft Teams and select Advanced options.
  4. Scroll down to the Reset section and click Reset. Click Reset again in the confirmation prompt. A tick appears beside the button when it finishes.
  5. Reopen Teams from the Start menu and sign in. The cache folder this clears is %localappdata%\Packages\MSTeams_8wekyb3d8bbwe\LocalCache.

For classic Teams (the older purple app, if your organization still runs it):

  1. Press Windows + R to open the Run dialog.
  2. Type %appdata%\Microsoft\Teams and click OK. File Explorer opens on the cache folder.
  3. Press Ctrl + A to select everything, then press Delete.
  4. If a message says a file is in use, tick Do this for all current items and click Skip — that means Teams is still running, so repeat the quit steps above.
  5. Reopen Teams from the Start menu and sign in.

Note: The two apps store their cache in completely different places, and the folders do not overlap. Running the classic path on new Teams opens an empty or missing folder — that is expected, not a fault. Clearing either cache leaves your chats, files, and teams untouched, because those live in the cloud.

7. Confirm What Your Colleagues Actually See

Check your presence from the outside, because your own client can show a status the service never published.

  1. Click the Search box at the top of the Teams window and type your own name.
  2. Select yourself from the results, then click your name in the header of the chat or click View profile. A profile card opens showing the status other people see, along with any custom status message.
  3. Compare that with the status shown beside your profile picture in the top-right corner. If the two disagree, the local client is out of step — go back to Step 6.
  4. For the definitive answer, ask a colleague to hover over your name in a chat and read out the dot colour and label. Their view is the one that matters.

Verification: Set your status to Busy in Step 1, then ask the same colleague to check again. A red dot within a minute confirms your presence is publishing correctly and the fix has held.

Presence changes are not instant. Give a change up to a minute to reach colleagues inside your organization, and a few minutes longer for external and federated contacts, whose presence syncs on a slower schedule. Judging a fix in the first ten seconds is what sends most people round the loop a second time.
