1. What is Viva Insights?

Viva Insights is an analytics tool built into Microsoft 365. It scans your calendar, your emails, and your Teams messages to try and help you manage your time.

It does things like:

  • Notice that you have 6 hours of back-to-back meetings and suggest you block out "Focus Time."
  • Read the text of your emails to find promises you made (e.g., "I'll send you that report on Friday") and remind you to do them.
  • Track how often you answer emails after 6:00 PM and warn you about burnout.

2. Can my boss see my personal data?

No. Your personal data is private to you.

Microsoft has designed Viva Insights with strict privacy barriers. Your manager, the HR department, and even your IT administrator cannot open a dashboard and see:

  • Who you emailed.
  • How many hours you were active on your keyboard.
  • What time you logged in or logged off.
  • What documents you were reading.

The data presented to you in the Viva Insights app, in Teams or in Outlook, is visible only to you.

3. What CAN my manager see?

If your company pays for the advanced "Manager" version of Viva Insights, managers can see data, but it is anonymized and aggregated.

A manager's dashboard looks at team trends, not individuals. They will see things like:

  • "30% of your team's meetings last week were scheduled during their designated focus time."
  • "Your department averages 14 hours of meetings per week."
  • "After-hours work increased by 10% this month."

To protect your identity, Microsoft refuses to show manager insights if a team has fewer than 9 people. If a team is that small, a boss could work out who is driving the statistics, so Microsoft turns the feature off.

4. How to turn off the reminders

If you find the nudges annoying rather than helpful, you can turn them off.

  1. In Microsoft Teams, open the Viva Insights app from the left sidebar. If you do not see it, click Apps and search for Viva Insights.
  2. Click the Settings (gear) icon inside the app.
  3. Turn off the notification types you do not want — reminders, nudges, and digest content are listed separately.

If you would rather remove yourself from Viva Insights entirely, the same Settings area has an opt-out. Opting out stops your data being used to generate insights for you.

Still getting a daily email? The Briefing and Digest emails Viva used to send are paused, and all of that content moved into the Teams and web app. So a daily email landing in your inbox now is almost certainly something else — check the sender address before you go hunting for an unsubscribe link that is not there.

If you are deeply concerned about an overbearing manager tracking your keystrokes or mouse movements, they won't use Viva Insights for that. They would use third-party "bossware" or "tattleware" (like Time Doctor or ActivTrak), which IT must install directly onto your computer.
