Summary
Slack moves incredibly fast. If you are looking for a link someone sent you three weeks ago, scrolling up through a busy channel will take hours. Slack has a powerful search engine built in, and if you know how to use its search "modifiers," you can find any message in seconds.
Before You Start
- You must be signed in to your company's Slack workspace
- You can only search for messages in public channels, or private channels/DMs that you are a member of
Instructions
1. The Basic Search
The search bar is located at the very top, center of your Slack window.
- Click into the search bar.
- Type a keyword (e.g.,
budgetorQ3 report). - Press Enter.
- The search results will appear on the right side of the screen. You can toggle between Messages, Files, and Channels at the top of the results panel to narrow down what you are looking for.
2. Using Search Modifiers (The Pro Method)
If you search for a common word like "budget," you will get thousands of results. To find exactly what you need, use modifiers. Type these directly into the search bar:
- from: Find messages from a specific person.
- Example:
budget from:@Sarah
- Example:
- in: Find messages in a specific channel or direct message.
- Example:
budget in:#marketing-team
- Example:
- has: Find messages carrying a pin or an emoji reaction.
- Example:
budget has:pinorbudget has:reaction
- Example:
- before: / after: / during: Find messages sent in a specific timeframe.
- Example:
budget during:julyorbudget after:2023-01-01
- Example:
- has⭐ Find messages you previously "Starred" (saved) for later.
Putting it all together: If you want to find a PDF that Sarah sent in the marketing channel last month, type this and then click the Files tab in the results: from:@Sarah in:#marketing-team during:last month
3. How to Save a Message for Later (Starring / Saving)
If you read a message and know you will need to find it again next week, don't rely on searching for it—Save it!
- Hover your mouse over the important message.
- Click the Bookmark icon (Save for later).
- The message is now saved to your personal list.
- To view all your saved messages, look at the left sidebar and click Later (or Saved items).
4. How to Find a Specific File
If you only remember the file type (like a PDF or Excel sheet), you don't even need a keyword.
- Click the search bar.
- Type
from:@their_nameto narrow it to one person, or press Enter with the box empty to search everything. - In the search results panel on the right, click the Files tab.
- You can now use the "File type" filter drop-down to only show PDFs, Spreadsheets, or Images.
Troubleshooting
| Symptom / Error | Potential Cause | Solution |

| "No results found" for a message you know exists | It was in a private channel | You cannot search private channels you were not invited to. Ask the owner to invite you |
| Search results only go back 90 days | Free Slack tier | If your company is on the free version of Slack, messages older than 90 days are hidden/deleted |
| Can't find a Google Drive file shared in Slack | The file wasn't uploaded | If they pasted a Google Drive link, it won't show up under "Files" — it is a message. Search the Messages tab for the file name or for drive.google.com |
