Summary ​

When you copy text from a website, an old PDF, or another document, it often carries over hidden, broken formatting. Instead of manually retyping the text or fighting with margins and fonts, you can use Word's built-in "Clear All Formatting" tool to instantly reset the text to your default style.

Symptoms ​

  • You pasted text into Word and the font size, color, or background is completely wrong.
  • Bullet points or numbered lists will not align correctly no matter what you do.
  • There is a large, un-deletable blank space between paragraphs.

Instructions ​

1. Use the "Clear All Formatting" Button (The Best Way) ​

This is the fastest way to strip away all bolding, italics, weird fonts, colors, and broken spacing.

  1. Highlight the text that looks wrong. (Press Ctrl + A if you want to highlight the entire document).
  2. Look at the Home tab at the top of the Word window.
  3. In the "Font" group (where you choose bold, italic, and underline), look for an icon of an A with a pink eraser (Clear All Formatting).
  4. Click the eraser icon.
  5. The highlighted text will instantly revert to the default, clean Word font (usually Calibri or Aptos).

Note: If a large gap between paragraphs survives the reset, it is not leftover formatting — it is the Space After value built into Word's Normal style, and clearing formatting restores it rather than removing it. See How to Change Line Spacing in Word to close it for good.

2. Paste Without Formatting (The Preventative Way) ​

To prevent the issue from happening in the first place when copying text from the internet:

  1. Copy the text you need.
  2. Go to your Word document and right-click where you want to paste it.
  3. Under "Paste Options", look for the icon that has a clipboard with a giant letter A (Keep Text Only).
  4. Click that icon to paste the words while stripping away the website's styling.
  5. Shortcut: Press Ctrl + Shift + V instead of regular Paste.

3. Use the Format Painter (To Copy Good Formatting) ​

If you have a paragraph that looks perfect, and a paragraph that looks wrong, you can "paint" the good formatting onto the bad text.

  1. Highlight a few words of the text that looks correct.
  2. On the Home tab, click the Format Painter icon (it looks like a small yellow paintbrush).
  3. Your mouse cursor will turn into a paintbrush.
  4. Highlight the text that looks wrong. As soon as you let go of the mouse button, the bad text will instantly copy the style of the good text.

Troubleshooting ​

TIP

If you clear the formatting but there is still a weird background color behind the text, it might be a "Highlight". Select the text, click the Text Highlight Color button (the marker icon with an ab next to the font color), and choose No Color.
