Fix Screen Sharing Not Working in Microsoft Teams

Summary
A share that fails mid-meeting is one of five problems: a greyed-out button, a black screen on the attendees' side, a frozen or lagging picture, a missing macOS permission, or a video playing in silence. This article works through each one, starting with the fixes you can make without leaving the meeting.
Symptoms
- The Share button in the meeting toolbar is greyed out.
- Attendees report a black rectangle where your screen or window is meant to be.
- The shared screen freezes, or lags several seconds behind what you are doing.
- On a Mac, sharing does nothing, or a message about screen recording permission appears.
- Attendees can see the video you are sharing but cannot hear it.
Before You Start
- An active Teams meeting or call — sharing only exists inside one.
- None of these fixes needs admin rights. Where a cause sits with IT — a locked meeting policy or a managed Mac — the step gives you the exact wording for the ticket.
Instructions
1. Check Your Meeting Role When the Share Button Is Greyed Out
A Share button that is greyed out in one particular meeting is a permissions setting, not a fault.
- In the meeting toolbar, click People. The Participants pane opens on the right, listing everyone under Organizers, Presenters, and Attendees.
- Find your own name. If it sits under Attendees, you cannot share — the organizer limited who can present when the meeting was scheduled.
- Ask the organizer, in the meeting chat, to promote you: they hover over your name in the Participants pane, click More options (⋯), and select Make a presenter.
- The Share button becomes active the moment your role changes. You do not need to rejoin.
If the button is greyed out in every meeting — including ones you organize — your organization's meeting policy has screen sharing switched off for your account. Raise a ticket and tell IT: "Please enable screen sharing in the Teams meeting policy assigned to my account — the Share button is greyed out in every meeting, including meetings I organize."
2. Join from the Desktop App When the Browser Cannot Share
Screen sharing in Teams on the web works in Google Chrome and Microsoft Edge; Safari and Firefox can join the meeting but cannot share a screen.
- Click the meeting link in your invitation, and on the page that opens choose the option to join in the Teams app rather than Continue on this browser. The desktop app opens straight to the pre-join screen.
- If the desktop app is not installed and you cannot install it, copy the meeting link and paste it into Google Chrome or Microsoft Edge — both support sharing.
- In the meeting, click Share. In a browser, this opens the browser's own Choose what to share dialog with Entire Screen, Window, and tab options. Pick one and click Share.
- The first time, the browser asks for screen sharing permission — click Allow. A bar appears at the top of the browser confirming the share is running.
3. Turn Off Hardware Acceleration When Attendees See a Black Screen
A solid black rectangle on the attendees' side, with your voice coming through fine, is the classic sign of a hardware acceleration problem.

- Restart Teams completely: right-click the Teams icon in the notification area at the right-hand end of the taskbar, select Quit, and reopen it. The setting only applies to shares started after the restart.
- Rejoin the meeting and share again, then ask one named attendee to confirm they can see your content.

4. Check the Monitor, the Window, and HDR When the Black Screen Continues
Three display setups produce a black or empty share even with hardware acceleration off: the wrong monitor, a minimized window, or an HDR screen.
- With more than one monitor, the share tray shows each one as a numbered thumbnail — Screen #1, Screen #2. Pick the screen your content is actually on. If attendees see your wallpaper or an empty desktop, you shared the other one: click Stop sharing and pick again.
- When you share a Window, keep that window open on screen. Minimizing it freezes or blanks the share for everyone; restore it from the taskbar and the picture returns.
- If the screen you present from has HDR switched on, attendees can see washed-out or black content. Go to Settings > System > Display > HDR, select that monitor, and turn Use HDR off for the length of the meeting — the same toggle switches it back on afterwards, and nothing else about your display changes. 5. Reduce the Load When Your Share Freezes or Lags
A frozen or stuttering share means your computer or connection cannot keep up with encoding everything you are sending — so send less.
- Share a Window instead of a Screen: click Share and pick the one application you are presenting. Teams then encodes that window alone rather than the whole desktop.
- Close the applications you are not sharing — especially anything playing video or syncing large files. Save your work in them first; they reopen exactly as normal after the meeting.
- Turn off your own camera while you share. Sending camera video and a screen share at the same time doubles your upload, and the camera is the half attendees can spare.
- For a slide deck, use PowerPoint Live from the share tray instead of sharing your screen. It sends the file rather than a video stream of it, so slides stay sharp on a struggling connection.
6. Allow Screen Recording When Sharing Fails on a Mac
macOS blocks apps from capturing the screen until you grant the Screen Recording permission — until then, the share fails or attendees see black.
- Open the Apple menu and select System Settings, then click Privacy & Security in the sidebar.
- Click Screen & System Audio Recording — named Screen Recording on macOS 14 and earlier.
- Turn on the switch beside Microsoft Teams. macOS asks for your Mac login password to confirm. You can switch this permission off again on the same screen at any time.
- Quit Teams fully and reopen it — the permission is read when the app starts, so the share keeps failing until you do.
- Rejoin the meeting and share. A border appears around the shared screen when it is working.
If Microsoft Teams is missing from the list, start a share once so macOS registers the request, then return here. If the switch will not stay on, your Mac is managed. Raise a ticket and tell IT: "Please allow Microsoft Teams the Screen Recording permission on my managed Mac — the switch under System Settings > Privacy & Security is locked and I cannot share my screen in meetings." Include your device name.
7. Turn On Include Computer Sound When Your Shared Video Is Silent
Attendees watching your video in silence is a sharing toggle, not a broken file.
- Move your mouse to the top of the screen so the presenter toolbar slides down, and click the speaker icon to switch computer sound on mid-share. Attendees hear audio from that moment, so restart the clip from the beginning.
- For your next share, switch on Include computer sound at the top of the share tray before you pick what to share, and share your Screen rather than a Window — window sharing often cannot carry sound.

Presenting right now and out of time? Post the file in the meeting chat so everyone can follow along on their own screen, or ask a colleague in the meeting to share it from their computer. The meeting does not have to wait while you fix the share.
