How to Transfer Files and Settings to a New Work Computer

Summary
Move your files, browser bookmarks, email signatures, app settings, and desktop layout from your old work computer to a new one. Most of your data is already in the cloud if you've been using OneDrive — this guide helps you catch everything else.
Prerequisites
- Access to both your old computer and your new computer (even briefly).
- A USB drive or external hard drive (for files not stored in OneDrive).
- Your Microsoft 365 work credentials.
Instructions
1. Check What's Already Synced
If you've been using OneDrive and cloud-based apps, most of your data is already waiting for you on the new machine.
- Sign in to the new computer with your work credentials.
- Open OneDrive and sign in. If you had folder backup enabled on your old PC, your Desktop, Documents, and Pictures folders sync automatically.
- Open Outlook. Your email, calendar, and contacts are stored in the cloud — they appear automatically after signing in.
- Open Teams. Your chats, channels, and files are all cloud-based — nothing to transfer.
TIP
If OneDrive folder backup was already enabled on your old PC, you may have nothing to manually transfer. Check OneDrive first before copying files — your work may already be done.
2. Transfer Files Not Stored in the Cloud
Move files that were only saved locally on your old computer.
- On your old computer, check these common locations for files not in OneDrive:
C:\Users\[YourName]\DownloadsC:\Users\[YourName]\Desktop(if not backed up to OneDrive)- Any project folders on local drives (
D:\orE:\) - USB drives you may have used
- Copy these files to a USB drive, external hard drive, or upload them to OneDrive manually (drag and drop into your OneDrive folder or upload at onedrive.com).
- On your new computer, download the files from OneDrive or copy them from the USB drive.
3. Transfer Browser Bookmarks and Settings
Sync your bookmarks, saved passwords, and extensions to the new computer.
- Microsoft Edge: Sign in to Edge with your work account — bookmarks and settings sync automatically via your Microsoft profile.
- Google Chrome: Sign in to Chrome with your Google account. Bookmarks, extensions, and passwords sync automatically.
- If browser sync is disabled by your organization, export bookmarks manually:
- In Edge or Chrome: Bookmarks > Bookmark manager > three-dot menu > Export bookmarks.

4. Set Up Your Desktop and Preferences
Restore your personalized workspace.
- Pin your most-used apps to the taskbar: right-click each app and select Pin to taskbar.
- Set your default browser if needed. See How to Manage Default Apps on Windows.

5. Transfer Email Signatures
Copy your Outlook email signature to the new computer.
- On your old computer, press Windows + R, type
%appdata%\Microsoft\Signatures, and press Enter. - Copy all files in this folder to a USB drive or OneDrive.
- On the new computer, open the same folder (
%appdata%\Microsoft\Signatures) and paste the files. - Open Outlook and verify your signature appears under File > Options > Mail > Signatures.
TIP
If you use the new Outlook, your signature is stored in the cloud and transfers automatically. This step is only needed for classic Outlook.
6. Verify Everything Transferred
Confirm all your files and settings are on the new computer.
- Check OneDrive is syncing your Desktop, Documents, and Pictures.
- Open your most-used files to verify they're accessible.
- Send a test email to verify your signature is intact.
- Join a Teams meeting to verify audio and video work with your peripherals.
Troubleshooting
WARNING
If your old computer is already returned to IT, contact them — they may be able to pull files from the old drive or restore from backup. Act quickly; most organizations wipe returned devices within days.
