Instructions

1. Check Outlook on the Web First

Outlook on the web connects directly to Exchange Online, bypassing any local cache or sync issues. Use it to confirm whether the problem is server-side or local to your desktop app.

  1. Open a browser and navigate to https://outlook.office.com.
  2. Sign in with your Microsoft 365 credentials.
  3. Click Calendar in the left navigation pane.
  4. Look for the missing meeting or event:
    • If the event appears in the web calendar but not in your desktop app → the issue is local (proceed to Method 2).
    • If the event is also missing from the web calendar → the meeting may have been cancelled, declined, or removed at the server level (proceed to Method 4).

Verification: Compare the same date and time range in both web and desktop Outlook to confirm whether they match.

2. Force a Calendar Sync in Desktop Outlook

The desktop Outlook app maintains a local cache that can sometimes fall out of sync with the server.

Classic Outlook (desktop):

  1. Click the Send/Receive tab in the ribbon.
  2. Click Send/Receive All Folders (or press F9).
  3. Watch the status bar at the bottom of the Outlook window — it will show syncing progress.
  4. Wait for sync to complete, then check your calendar.

New Outlook (desktop):

  1. New Outlook syncs automatically with Exchange Online. To force a refresh, close and reopen the app.
  2. If events are still missing, click your profile picture in the top-right, then click Sign out.
  3. Sign back in. New Outlook re-syncs your full mailbox on login.

Verification: After syncing, navigate to the date of the missing event and confirm it now appears.

3. Verify Which Calendars Are Visible

Outlook can display multiple calendars simultaneously. A "missing" meeting may be on a calendar that is currently hidden.

  1. In the Calendar view, look at the left navigation pane under My calendars and Other calendars.
  2. Ensure the checkbox next to each relevant calendar is checked (enabled):
    • Calendar — Your default personal calendar.
    • Shared calendars — Calendars others have shared with you.
    • Group calendars — Calendars for Microsoft 365 Groups or Teams you belong to.
  3. If a calendar is unchecked, click the checkbox to show it.
  4. Check whether the meeting appears on a different calendar than expected. Click each event to see which calendar it belongs to — this is displayed at the top of the event detail pane.

Verification: If the meeting appears on a group or shared calendar instead of your personal calendar, it may have been created in the wrong calendar. See Method 6 to move it.

4. Search for Cancelled or Deleted Meetings

Meetings can disappear if the organizer cancelled them or if you accidentally declined or deleted the invitation.

  1. Check Deleted Items:
    • Open the Deleted Items folder in the mail navigation pane.
    • Search for the meeting title or organizer name.
    • If the meeting is found, right-click it and select Move > Calendar to restore it.
  2. Check for a cancellation notice:
    • In your Inbox, search for cancelled: followed by the meeting name, or search for the organizer's name.
    • If you find a cancellation email, the organizer intentionally cancelled the meeting. Contact them to confirm.
  3. Check the Recoverable Items folder (for permanently deleted items):
    • In Outlook on the web, open the Deleted Items folder.
    • Click Recover items deleted from this folder at the top.
    • Search for the meeting and select Recover to restore it.

5. Fix Recurring Meeting Issues

Recurring meetings are a common source of calendar confusion — individual occurrences can be modified, deleted, or duplicated.

  1. Missing single occurrence:
    • The organizer may have deleted one occurrence while keeping the series. This is intentional — contact the organizer to confirm.
    • If you deleted an occurrence by mistake, ask the organizer to re-send the invitation for that specific date.
  2. Wrong time on some occurrences:
    • This often happens after a Daylight Saving Time (DST) change. The organizer should open the recurring series (not a single occurrence), verify the time, and save. Attendees receive an updated invitation.
  3. Duplicate recurring meetings:
    • This can happen if the organizer sends multiple updates. Open each duplicate, check which one is current (compare the last modified date in the event details), and delete the outdated one.
  4. "This meeting is out of date" warning:
    • The organizer has sent an updated invitation. Check your Inbox for the latest update, accept it, and the old version will be replaced.

6. Fix Calendar Overlay and Multi-Calendar Issues

If meetings are appearing on the wrong calendar or you cannot see a colleague's calendar at all.

  1. Meeting on the wrong calendar:
    • Open the event and look at the Calendar dropdown (near the top of the event detail form).
    • Change it to the correct calendar and click Save.
  2. Cannot see a colleague's calendar:
    • In the Calendar view, click Add Calendar (or Open Shared Calendar).
    • Type the colleague's name or email address and select them.
    • If you see You don't have permission to view this calendar, the colleague needs to share their calendar with you. Direct them to Settings > Calendar > Shared calendars in Outlook on the web, or reference the Related Articles below.
  3. Shared calendar appears blank or shows limited details:
    • The calendar owner may have shared with "Can view when I'm busy" permissions (free/busy only). Ask them to upgrade your access to "Can view all details" or "Can edit".

7. Reset the Outlook Calendar Cache (Desktop — Classic Only)

If the calendar in desktop Outlook is persistently out of sync despite trying all methods above, clearing the local cache forces Outlook to re-download all calendar data from the server.

  1. Close Outlook completely.
  2. Press Windows + R to open the Run dialog.
  3. Type outlook.exe /cleanreminders and press Enter. Outlook opens and rebuilds its reminder data.
  4. If the issue persists, close Outlook again.
  5. Open Run again and type outlook.exe /resetfolders and press Enter. This resets mail folder views and can resolve calendar display issues.
  6. Allow Outlook to fully sync (watch the status bar) before checking the calendar.

Verification: Navigate to the previously problematic date and confirm the correct events are displayed. Compare with Outlook on the web to ensure both match.

8. Gather Information for IT Support

If none of the above steps resolve the issue, collect these details before contacting IT:

  1. Which calendar is affected (personal, shared, group, room)?
  2. Specific meeting details — title, organizer, original date/time, and whether it is a single event or recurring.
  3. When the problem started — did it happen after an update, a device change, or a time zone change?
  4. Which devices are affected — desktop only, mobile only, or all devices?
  5. Screenshots of the calendar view showing the problem, and any error messages you received.
  6. Submit a ticket to IT with all of the above information.

Troubleshooting

If you recently travelled or changed your time zone, Outlook may display events at the wrong time. Go to Settings > Calendar > Time zones in Outlook on the web and verify your time zone is set correctly. In desktop Outlook, check File > Options > Calendar > Time zones.
