1. Choose Between OneDrive and SharePoint

Before creating your folder, choose the right location based on how long your team needs it:

2. Set Up a Quick Shared Folder in OneDrive (2–5 People)

If you need to collaborate quickly with a few teammates on a short-term project:

  1. Open your browser, go to office.com, and select OneDrive.
  2. Click + Add new > Folder.
  3. Name your folder (for example, Q3 Project Notes) and click Create.
  4. Hover over the new folder and click the Share icon (the square with an arrow pointing out).
  5. In the Send link dialog, type the email addresses of your team members.
  6. Click the pencil icon next to the recipient box to ensure permissions are set to Can edit.
  7. Click Send (or click Copy link to paste it into a Teams chat or email).

3. Set Up a Permanent Team Drive in SharePoint or Teams

For departmental files, recurring projects, or permanent team documentation:

  1. Open Microsoft Teams or go to SharePoint in your web browser.
  2. Select your team channel or SharePoint site.
  3. Click the Files tab at the top of the channel, then click + New > Folder.
  4. Name your folder (for example, Marketing Assets 2026) and click Create.
  5. Because the folder lives inside a Team site, everyone who is a member of that Team automatically gets access without needing individual invitations.
  6. To grant access to someone outside the Team without adding them to the whole team, select the folder, click Share, and enter their email address.

4. Sync the Shared Folder to Your Computer (Optional)

To access shared files directly from your Windows File Explorer:

  1. Open the shared folder in OneDrive or SharePoint in your web browser.
  2. Click the Sync button in the top toolbar.
  3. When prompted by your browser, click Open Microsoft OneDrive.
  4. The folder will now appear in Windows File Explorer under your company's name in the left navigation pane.

5. Verify Access and Permissions

  1. Ask one teammate to open the link or navigate to the shared folder.
  2. Have them create a test document to confirm they have Can edit permissions.
  3. Check that the test file appears on your screen within a few seconds.

If your company has strict data protection policies, external sharing may be restricted by your IT department. If you see a warning saying "Your organization's policy prevents sharing with these users," external sharing is disabled for your tenant.
