Summary ​

If your IT department recently assigned you a Microsoft 365 Copilot license, you will see a new Copilot icon on the Home tab of Word, Excel, and PowerPoint. If it's missing, the apps likely need their licenses refreshed to recognize the new feature.

Symptoms ​

  • You have confirmed with your manager or IT that you have a Copilot license.
  • You can access Copilot on the web (copilot.microsoft.com), but the button is missing in the desktop versions of Word and Excel.
  • The "Draft with Copilot" box doesn't appear when you create a new Word document.

Before You Start ​

  • Copilot requires the newest version of the Microsoft 365 apps. It will not work on older standalone versions like Office 2019 or Office 2021.
  • This guide is about the paid Microsoft 365 Copilot add-on button. There is a second, separate button — the Copilot Chat entry point — and Microsoft moved that one out of the ribbon in Word, Excel and PowerPoint for everyone eligible for Copilot Chat, on the web, mobile and desktop. The change reached general availability in December 2025. Microsoft's support page for the replacement calls it the Copilot Dynamic Action Button and puts it in the lower-right corner of your document, workbook, or presentation. Select it to open the Word, Excel, or PowerPoint agent in a chat pane on the right, or right-click it and select Move to ribbon to put it back where it was — on Windows and Mac that choice is remembered per app. So if that is the button you are hunting for, a ribbon without it is the new arrangement rather than a fault. Instructions ​

1. Update Your License Inside Word ​

This is the most common fix. The Office app needs to check in with Microsoft's servers to see that your account now has a Copilot license.

  1. Open Microsoft Word (or Excel).
  2. Click on File in the top left corner, then click Account at the very bottom of the menu.
  3. Look for the Update License button (it is usually near the middle of the screen, next to your subscription info).
  4. Click Update License.
  5. Close Word completely and re-open it. The Copilot button should now appear on the far right side of the Home tab.
  6. If the Home tab still has no Copilot icon after Word reopens, the license refresh changed nothing this build of Office can act on. Continue to Step 2.

2. Check for App Updates ​

Copilot requires the latest version of the Office apps.

  1. In Word, go back to File > Account.
  2. Click the Update Options button next to "Office Updates".
  3. Select Update Now.
  4. Allow any pending updates to install, then restart your computer.
  5. If Word reports it is already up to date, or the icon is still absent once the update finishes, the app is current and the account it is signed in with is the next thing to check. Continue to Step 3.

3. Check Which Account is Signed In ​

If you use your computer for both work and personal use, Word might be signed into your personal Microsoft account, which doesn't have the Copilot license.

  1. Open Word and click your name or profile picture in the very top right corner of the window.
  2. Verify the email address shown is your work email.
  3. If it isn't, click Sign in with a different account and enter your work credentials.
  4. If your work email was already the account signed in, the license has not reached this machine. Give it a full day, and if the icon is still missing, raise a ticket giving the email address shown in Word, the version listed under File > Account > About Word, and the date you were told the Copilot license was assigned.

Troubleshooting ​

WARNING

In Microsoft Excel specifically, the Copilot button will only work if your spreadsheet is saved to OneDrive or SharePoint. It is grayed out for files saved locally to your hard drive. It also requires the data to be formatted as an official Excel Table.
