Summary
Microsoft Teams notifications can be overwhelming if left at their defaults. This article explains how to customize global notification settings, mute specific channels, and schedule quiet hours so you only get alerted when it matters.
Prerequisites
- A Microsoft Teams account.
Instructions
1. Customize Global Notification Settings
Control what triggers notifications across all of Teams.
- Open Teams and click the three-dot menu (⋯) next to your profile picture in the top-right corner.
- Select Settings > Notifications and activity.
- Adjust the settings for each notification type:
- Chat — Choose between Banner and feed, Only show in feed, or Off for new messages, mentions, and reactions.
- Meetings — Control reminders and live meeting notifications.
- People — Get notified when contacts come online.
- Under Appearance and sound, toggle Play sounds for notifications on or off.
- Close the settings panel — changes save automatically.
2. Mute a Specific Channel
Silence a noisy channel without leaving it.
- In the Teams sidebar, find the channel you want to mute.
- Right-click the channel name (or click the three-dot menu (⋯) next to it).
- Select Channel notifications.
- Set All new posts to Off or Only show in feed.
- Set Channel mentions to your preference.
- Click Save. The channel is muted — you will still see it in your list, but it will not generate banner alerts.
3. Set Up Quiet Hours (Mobile)
Block notifications during off-hours on your phone.
- Open the Teams mobile app.
- Tap your profile picture in the top-left corner.
- Tap Notifications > Quiet hours.
- Toggle Quiet hours on.
- Set the Start time and End time (e.g., 6:00 PM to 8:00 AM).
- Set Quiet days to mute notifications on entire days (e.g., Saturday and Sunday).
- During quiet hours, notifications are silenced but still appear in your activity feed when you open the app.
4. Set Your Status to Do Not Disturb (Desktop)
Block all notifications temporarily on desktop.
- Click your profile picture in the top-right corner of Teams.
- Click your current status and select Do not disturb.
- All incoming notifications are silenced. Only messages from priority contacts will break through. Incoming phone calls are silenced as well — they go straight to voicemail without ringing. See How to Make and Answer Phone Calls in Teams for the call answering rules that control this.
- To set priority contacts, go to Settings > Privacy > Manage priority access and add contacts.
- To return to normal, click your profile picture and change your status back to Available.
Troubleshooting
TIP
If you are in a meeting and notifications are distracting, your status automatically changes to In a meeting which reduces notifications. For complete silence, manually switch to Do not disturb before the meeting.
| Symptom / Error | Potential Cause | Solution |
|---|---|---|
| Not receiving any notifications | Status set to Do Not Disturb | Click your profile picture and change your status to Available or Busy. |
| Getting notifications from a muted channel | Channel mentions still enabled | Right-click the channel > Channel notifications > Set Channel mentions to Off. |
| Quiet hours not working | Feature only available on mobile | Quiet hours are a mobile-only feature. On desktop, use Do not disturb status or Focus Assist in Windows Settings. |
