How to Set Up Microsoft 365 on a Mac

Applies to: macOS, Microsoft 365, Outlook, OneDrive
Article Type: How-To
Last Updated: 2026-07-10

Summary

Historically, Microsoft products on Mac were a secondary thought. Today, the Microsoft 365 suite (Word, Excel, PowerPoint, Outlook, and OneDrive) runs natively and beautifully on macOS. However, the installation and setup process is slightly different than on a Windows PC. This guide ensures you install the correct versions and grant the necessary Apple permissions for them to work properly.

Prerequisites

  • A Mac running a supported version of macOS (usually the current version or the two previous versions).
  • Your company email address and password.

Instructions

Step 1: Download the "Mac Suite" Installer

Do not download the apps individually from the Apple Mac App Store. While they exist there, downloading the official package directly from Microsoft ensures you get the enterprise version with all company policies applied.

  1. Open Safari or Google Chrome and go to office.com.
  2. Sign in with your work email address and password.
  3. In the top right corner of the screen, click the button that says Install apps.
  4. Select Microsoft 365 apps.
  5. A large .pkg file will begin downloading to your Mac's Downloads folder.

Step 2: Run the Installer

  1. Once the download finishes, double-click the .pkg file.
  2. The installation wizard will open. Click Continue and agree to the software license.
  3. When prompted, enter your Mac's local administrator password (the one you use to unlock the computer) to authorize the installation.
  4. The process will install Word, Excel, PowerPoint, Outlook, OneNote, and OneDrive all at once.

Step 3: Activate the Software

You must log in to prove to Microsoft that you have a valid company license.

  1. Open Microsoft Word from your Applications folder (or Launchpad).
  2. A "What's New" window will appear. Click Get Started.
  3. A "Sign in to activate" prompt will appear.
  4. Click Sign In and enter your work email and password.
  5. You only need to do this once. Activating Word automatically activates Excel and PowerPoint.

Step 4: Configure OneDrive (Crucial Step)

OneDrive requires special permissions on a Mac to sync your files correctly.

  1. Open OneDrive from your Applications folder.
  2. Sign in with your work email.
  3. Choose the location for your OneDrive folder (the default location is recommended).
  4. The Important Part: A prompt will appear asking for permission to sync files. You must click OK.
  5. Another prompt may ask to allow OneDrive to display notifications. Click Allow.
  6. Finally, macOS may ask you to grant OneDrive "Full Disk Access" or "Files and Folders" access in System Settings. Follow the on-screen instructions to check the box next to OneDrive in your Mac's Privacy & Security settings.

Step 5: Set Up Outlook

  1. Open Microsoft Outlook.
  2. If this is the first time you are opening it, it will automatically detect the account you used to activate Word.
  3. Click Add [Your Email Address].
  4. Outlook will take a few minutes to download your recent emails and calendar events.
