Instructions
1. Stop relying on "Unread" status
The biggest mistake teams make is leaving emails "Unread" to mean "Needs Action." Because read status syncs instantly for everyone, someone casually clicking on an email will accidentally mark it as read, causing the team to ignore it.
- Rule 1: Never use Unread status as a task tracker.
2. Method A: The Color Category System (Best for Small Teams)
Outlook allows you to assign color-coded tags to emails. This is the fastest way to claim an email.
- Have a quick meeting with your team and assign a color to each person (e.g., Sarah is Blue, John is Red).
- When an email comes into the shared inbox, right-click it, select Categorize, and click your color.
- This acts as a flag saying "I've got this one." The rest of the team knows they don't need to reply.
- Once you have finished replying or resolving the issue, right-click the email again and change the category to a Green "Completed" tag, or move it out of the inbox.
3. Method B: The Subfolder System (Best for High Volume)
If you get hundreds of emails a day, colors aren't enough. You need folders.
- In the shared mailbox, right-click the Inbox and select New Folder.
- Create folders for each team member (e.g.,
Working - Sarah,Working - John). - Create a final destination folder (e.g.,
Completed / Archived). - When a new email arrives, drag it from the main Inbox into your specific "Working" folder.
- When you finish the task, drag it to the "Completed" folder.
4. Ensure replies save to the Shared Sent Items folder
By default, if you reply to a shared email, the reply saves in your personal Sent Items folder. This means your coworkers can't see what you said.
- You must ask your IT Admin to change a setting in the Microsoft 365 Admin Center.
- Tell them: "Please configure our shared mailbox to copy emails sent as this mailbox to the shared Sent Items folder."
- Once enabled, everyone can check the shared Sent Items folder to see exactly what was promised to a client.
Troubleshooting
WARNING
Do not use the "Delete" button in a shared mailbox unless it is obvious spam. If a client disputes what was said three months later, you need the historical record in the Archive folder.
