1. Switch to "Viewing" Mode

Editing view and the printed page are not the same thing.

Word Online has two main modes. "Editing" mode lets you type, but "Viewing" mode shows you exactly what the document will look like when printed or opened on a desktop.

  1. Open your document in Word for the Web.
  2. Look at the top right corner of the ribbon menu (near your profile picture).
  3. You will see a button that says Editing with a pencil icon. Click it.
  4. From the dropdown menu, select Viewing (the eye icon).
  5. The page will reload and display your document with its true formatting, headers, footers, and margins intact. If there is no Editing button in that corner, or the drop-down does not offer Viewing, the same mode is reachable from the ribbon. Continue to Step 2.

2. Switch to the "Reading View" Tab

If the button in the top right is missing, you can use the ribbon tab instead.

  1. Click on the View tab at the top of the screen.
  2. Click the Reading View button on the far left.
  3. This is the exact same mode as above, providing an accurate representation of the file. If Reading View still shows tables spilling off the page or headers missing, the document uses formatting the web version cannot render at all. Continue to Step 3.

3. Edit in the Desktop App

If you need to change the complex formatting (like adjusting column widths or fixing table borders), you cannot do it accurately in the web browser. The web version doesn't have the tools.

  1. While the document is open in Word for the Web, look at the top ribbon menu.
  2. Click the button that says Editing.
  3. Select Open in Desktop App from the dropdown menu.
  4. Your computer's full version of Microsoft Word will launch, download the file, and allow you to edit the formatting with 100% accuracy. Every time you hit save, it syncs back to the cloud.

If Open in Desktop App is grayed out, or clicking it does nothing, the full version of Word is not installed on this computer. Raise a ticket asking for the Microsoft Word desktop app, naming the document you need to edit and the layout that will not display correctly in the browser.

Never try to "fix" a broken layout while in the web browser's "Editing" view by pressing the Enter key repeatedly or adding spaces. You will permanently ruin the layout for anyone who opens the file in the desktop app.
