Summary

Your files live in OneDrive. Your client's files live in Dropbox, and they are not moving. This guide gets you working across both without paying for a second subscription: how to open what they send, the one distinction that explains most Dropbox confusion (a shared folder is not a shared link), how to collect files back from them, and where your company's data policy draws the line.

Before You Start

• A link or folder invitation from your client, sent by email or pasted into a message.
• A web browser. Nothing needs installing to open a shared link.
• For shared folders: a Dropbox account. The free Dropbox Basic plan is enough to start.
• For work data: your organization's policy on third-party cloud storage. Step 1 covers how to find out.

Instructions

1. Check Your Organization's Policy Before You Upload Anything

This is the step people skip, and it is the one that generates the awkward conversation later. Downloading a client's file and uploading your company's data are two different risk levels.

1. Check your intranet or IT knowledge base for an acceptable use policy, data handling policy, or approved software list. Search it for "cloud storage" or "third party".
2. If you find nothing, send IT a short question rather than a request: "A client wants to exchange project files through their Dropbox. Am I allowed to download from and upload to a third-party Dropbox account for work files, and are there any file types I should keep out of it?" That gives them a yes or no they can answer in one line.
3. If your work involves personal data — customer records, staff details, health or financial information — say so in that message. Handling rules for personal data are stricter than for a design mock-up, and IT needs to know which one you mean.

Note: A common middle ground is allowed: download client files from Dropbox, but keep your own working copies in OneDrive or SharePoint and send finished work back as a link from there. You stay inside your company's controls and the client still gets their files.

2. Open a Shared Link Without a Dropbox Account

A shared link is the lightest way a client can send you something, and it needs no account at all.

1. Click the link in the email or message. It looks like https://www.dropbox.com/scl/fi/... or the older https://www.dropbox.com/s/....
2. The Dropbox preview page opens in your browser. You see the file name across the top, a preview of the document or image in the middle, and a blue Download button in the top-right corner.
3. Ignore the Sign up and Sign in buttons in the top-right corner and any pop-up inviting you to create an account. Close the pop-up with the X in its corner — the download works without it.
4. Click Download. For a single file, your browser saves it to your Downloads folder. For a folder, Dropbox offers Direct download (a .zip file) and Save to Dropbox (which requires an account) — choose Direct download.
5. Open your Downloads folder in File Explorer to confirm the file arrived, then move it to wherever your work files live.

Tip: Move the file out of Downloads straight away. Files left there get swept up by disk cleanup tools, and a client deliverable sitting in Downloads is not backed up by OneDrive.

3. Understand Shared Folders vs. Shared Links

Almost every Dropbox misunderstanding traces back to this distinction. Read this once and the rest of the article makes sense.

The line that matters: a shared folder consumes your storage quota, a shared link does not. If a client invites you to a 40 GB video folder and you have a free 2 GB account, the invitation cannot be accepted. That is not a bug — the fix is to ask them for shared links to individual files instead, or a file request going the other way.

4. Accept a Shared Folder Invitation with a Free Account

Use this when you and the client are both adding files over the life of a project.

1. Open the invitation email. The subject line names the client and the folder — "Sam invited you to the folder Acme Rebrand" — and the message carries a blue Go to folder button. Click it.
2. If you have no Dropbox account, the sign-up page opens. Enter your name, your work email, and a password, then click Create an account. Choose Dropbox Basic — on the plan comparison screen, look for the Continue with 2 GB Dropbox Basic plan link below the paid options. It is deliberately understated; it is there.
3. Confirm your email address from the verification message Dropbox sends, otherwise sharing features stay limited.
4. Back in the Dropbox web app, click Shared in the left sidebar. The invitation appears at the top of the list with Add to Dropbox and Decline buttons.
5. Click Add to Dropbox. The folder now appears under All files alongside anything of your own, marked with a small people icon.

Verification: Click All files in the left sidebar. The client's folder is listed with a shared-folder icon, and hovering over it shows the member avatars. Open it and confirm you can see their files.

What Dropbox Basic gives you: 2 GB of storage, three linked devices, and 30 days of version history. What it does not give you: password-protected or expiring links, online-only file placeholders, or a deadline on a file request. Those are paid features, and Step 7 explains the workaround when you need one.

5. Choose Between the Desktop App and the Browser

Stay in the browser unless you have a reason not to. Here is the honest trade-off.

Stay in the browser when:

• You are receiving files rather than co-editing them.
• Your laptop already runs the OneDrive sync client and disk space is tight.
• Your work laptop blocks software installation.

Install the desktop app when:

• You edit files in the client's folder every day and want them in File Explorer.
• You work with large files where dragging into a browser upload box is painful.

To install it, download the installer from dropbox.com/install, run it, and sign in. It creates a Dropbox folder at C:\Users\<your name>\Dropbox on Windows, adds a Dropbox entry to the File Explorer sidebar, and puts a blue box icon in the notification area beside the clock.

Note: Running two sync clients has a real cost. OneDrive and Dropbox each keep their own local copies, so a 5 GB client folder is 5 GB of actual disk space — the free plan has no online-only placeholder option, which is what OneDrive's Files On-Demand gives you. You also end up with two sync icons, two sets of green checkmarks, and two places a file might be. Before you install, decide which folder is the source of truth for each project and write it down somewhere your future self will look.

To sync only part of the client's folder, click the Dropbox icon in the notification area, click your avatar in the top-right of the panel, choose Preferences, open the Sync tab, and click Select folders. Untick anything you do not need locally.

6. Request Files from a Client with File Requests

When you need files from someone, a file request beats an email chain. The uploader needs no Dropbox account, and they cannot see anything already in the destination folder.

1. Sign in at dropbox.com and click File requests in the left sidebar. On narrower windows it sits under More at the bottom of the sidebar.
2. Click Create a file request (labelled New request on some versions).
3. In the What are you requesting? box, type a description the client will see, such as Signed contract and logo files.
4. Under Where should these files go?, keep the default folder Dropbox suggests or click Change folder to pick another one.
5. Click Next, then Create.
6. Click Copy link and paste it into your email, or type addresses into the Send to box and let Dropbox email them for you.

Uploaders open the link, drag files in, and type their name and email. Everything they send lands in your chosen folder, prefixed with their name, and you get an email each time something arrives.

Tip: File requests are the answer when a client's folder is too large for your free quota to accept. They send you the files instead, so nothing of theirs counts against your storage.

7. Set Permissions, Expiry, and a Password on a Link You Share

When you send a link back to a client, control what it allows before you send it.

1. In the Dropbox web app, hover over the file or folder and click Share.
2. In the sharing dialog, find the Settings or gear icon beside the link.
3. Set Who has access:
   • Anyone with this link — the client opens it with no account. Use this for external people.
   • Only people invited — each named person signs in to open it. Use this for anything confidential.
4. Set the permission level to Can edit or Can view. Can view is the safe default for a deliverable.
5. Set Expiration to the date the link stops working, and Password to a phrase the client must type. Both are paid-plan features and appear greyed out with an Upgrade label on Dropbox Basic.
6. Click Save, then Copy link.

Note: On a free account with no password or expiry available, send confidential files from your own OneDrive or SharePoint instead — that side gives you a password, an expiry date, and a download block at no extra cost, and it keeps company data inside your organization's controls. Send the client a link from there and let them pull it into Dropbox on their end.

8. Recover an Earlier Version of a File

Dropbox keeps previous versions of every file, which saves you when a collaborator overwrites your work.

1. In the Dropbox web app, hover over the file, click the ... button at the right of the row, and choose Version history.
2. A panel opens listing every saved version with a date, a time, and the name of whoever saved it.
3. Click a version to preview it. Confirm it is the one you want before restoring.
4. Click Restore. The older version becomes the current one, and the version you replaced stays in the history — nothing is lost.
5. For a file somebody deleted, click Deleted files in the left sidebar, tick the file, and click Restore.

Dropbox Basic and Plus keep 30 days of history and deleted files. Professional and Business plans keep 180 days. After that window, the versions are gone, so a genuinely important file wants a copy in your own storage as well.

Troubleshooting

WARNING

Never place your Dropbox folder inside a folder that OneDrive backs up — Desktop, Documents, or Pictures when OneDrive folder backup is switched on. Both sync engines then claim the same files and fight over every save, producing files named report (Your Name's conflicted copy 2026-07-29).docx and a version history you cannot trust. Keep the Dropbox folder at C:\Users\<your name>\Dropbox, where its installer puts it.

Give them the exact email address you want the invitation sent to — a link tied to a personal address will not open under your work sign-in.
Can't add folder — you're out of space	Folder exceeds your 2 GB free quota	Ask the client for shared links to the specific files you need, or set up a file request (Step 6) so they upload to you instead. Neither option touches your quota.
Dropbox installer asks for an admin password	Managed work laptop blocks installs	Keep working in the browser — everything except local sync is available there. If you need the app, send IT a ticket: "Please approve and install the Dropbox desktop app on my laptop for a client project."
Files show on dropbox.com but not in File Explorer	Selective sync is excluding the folder	Click the Dropbox icon in the notification area > your avatar > Preferences > Sync tab > Select folders, then tick the missing folder and click Update.
Files named (conflicted copy) keep appearing	Same file edited in two places at once	Open both versions, merge the changes you want into one, and delete the other. Agree with the client that one person edits at a time, or move that file to a co-authoring tool.
