  • The drive appeared yesterday on the same computer and does not today.
  • The drive works on a colleague's machine or a Mac but not on yours.
  • The drive makes a repeating click, tick, or beep and never mounts.

Prerequisites

  • Windows 11 or Windows 10.
  • The external drive and the cable that shipped with it.
  • No admin rights are required for Steps 1 through 6. Installing third-party file-system drivers (mentioned in Step 4) does require admin rights.

Instructions

1. Rule Out the Port, the Cable, and the Hub

Do this before anything else. Roughly half of "dead" external drives are a cable problem, and this takes under a minute.

  1. Unplug the drive, count to ten, and plug it into a different port directly on the computer — not a hub, not a docking station, not a monitor's built-in USB ports.
  2. Swap the cable for the one that came with the drive. A charge-only cable is the single most common cause. Cables bundled with phone chargers and power banks often have only the power wires connected, so the drive powers up and spins while Windows receives no data at all.
  3. Plug the drive into a second computer if one is nearby. If it mounts there, the drive is fine and the fault is on your machine — continue to Step 2.

How to tell a charge-only cable: There is no marking to look for. Test it instead — plug your phone into the computer with the same cable. If the phone charges but never appears in File Explorer, that cable carries power only. Set it aside and use the drive's own cable.

2. Check Whether Windows Sees the Drive at All

This is the step that decides everything that follows. Disk Management shows every disk attached to the computer, including ones File Explorer refuses to display.

  1. Right-click the Start button on the taskbar (or press Windows + X) and click Disk Management in the menu that opens.
  2. Wait for the Disk Management window to finish loading. The top pane lists volumes in a table; the bottom pane shows each physical disk as a labelled row — Disk 0, Disk 1, and so on — with coloured bars for its partitions.
  3. Find your external drive in the bottom pane. It is the disk whose size matches the drive, and it is normally the last row.
  4. Read what the bar says. This tells you which step to go to next:
    • A named volume with no letter (for example Backup with Healthy (Primary Partition) underneath) — go to Step 3.
    • Healthy (Primary Partition) with no file system named, or RAW — go to Step 4.
    • A solid black bar reading Unallocated — the partition table is gone. Go to Step 7 before doing anything else.
    • The disk row appears and disappears while you watch, or shows Not Initialized — go to Step 5.
    • No extra disk row at all — go to Step 7.

Verification: If the drive is listed anywhere in the bottom pane, Windows has detected the hardware. The data is almost certainly intact and this is a mounting problem, not a dead drive.

Stop: If Windows shows an Initialize Disk dialog when you open Disk Management, click Cancel. Initializing writes a fresh, empty partition table and makes every file on the drive unreachable by normal means. That dialog is for brand-new blank disks only.

3. Assign a Missing Drive Letter

File Explorer only lists volumes that have a drive letter. A perfectly healthy drive with no letter is invisible in This PC — this is the most common cause of the whole problem.

  1. In the bottom pane of Disk Management, right-click the coloured bar for your external drive's volume.
  2. Click Change Drive Letter and Paths in the context menu. A dialog opens with an empty list.
  3. Click Add. The Add Drive Letter or Path dialog opens with Assign the following drive letter already selected.
  4. Pick a letter from the dropdown. Choose something high like X or Z — letters near D and E get reassigned to network drives and card readers and the conflict can recur.
  5. Click OK, then OK again to close the first dialog.

Verification: Open File Explorer and click This PC in the left navigation pane. The drive appears under Devices and drives with the letter you chose, and its used-space bar fills in within a few seconds.

Tip: If the letter you want is missing from the dropdown, another device already holds it. Pick a different letter — the assignment sticks to this drive on this computer from now on.

4. Check for a Drive Formatted on a Mac

Macs format external drives as APFS or Mac OS Extended (HFS+). Windows cannot read either one. The drive is not broken and the files are not gone — Windows has no way to interpret the file system.

  1. In Disk Management, look at the volume's row in the top pane. The File System column is blank, or the bar in the bottom pane reads Healthy (Primary Partition) with no file system named.
  2. Confirm it on a Mac if you have access to one. If the drive mounts and shows your files there, this is the answer.
  3. Choose one of these routes:
    • Copy the files using a Mac. Connect the drive to any Mac, copy the folders to OneDrive or a network location, and collect them from Windows. This is the fastest route and needs no software.
    • Reformat the drive for both systems. Once your files are safely copied elsewhere, right-click the volume in Disk Management, click Format, and choose exFAT as the file system. Both Windows and macOS read and write exFAT.
    • Ask IT for a licensed reader. Tell IT: "I have a Mac-formatted external drive (APFS) that Windows cannot read. Can you install a licensed APFS for Windows driver, or copy the contents to a network share for me?" Free versions of these tools are read-only and unsupported on managed machines, so IT installs the licensed build.

Stop: Windows offers to format a Mac-formatted drive the moment you double-click it: You need to format the disk in drive X: before you can use it. Click Cancel. Formatting erases every file on the drive, and it is the single most common way people lose a Mac backup on a Windows machine.

5. Check Power — Bus-Powered Drives, Hubs, and Docks

Portable drives with a spinning platter draw more current at spin-up than at rest. A laptop port, an unpowered hub, or a busy USB-C dock can deliver enough to light the drive and not enough to keep it mounted.

  1. Identify what the drive needs. A pocket-sized 2.5-inch drive is bus-powered — it takes all its power from the USB port. A brick-sized 3.5-inch desktop drive has its own mains adapter and does nothing useful without it plugged into a wall socket.
  2. Plug the drive directly into the computer, bypassing every hub, dock, and monitor USB port. Unpowered hubs split one port's power budget across everything connected to them.
  3. Unplug other high-draw devices — a second external drive, a bus-powered SSD, a webcam — from the same side of the laptop and retry.
  4. On a laptop, connect the charger. Some laptops reduce USB port power on battery to extend runtime, and a spinning drive is the first thing to notice.
  5. If the drive shipped with a Y-cable (one connector at the drive end, two USB plugs at the computer end), plug in both. The second plug exists to supply power, not data.

Note: A drive that mounts, works for a minute, then vanishes with the Windows disconnect chime is a power symptom, not a data symptom. 6. Clear a Stuck Safely Remove Hardware State

If you clicked Eject earlier and left the drive plugged in, Windows parked it. It stays parked until the cable is physically pulled, and no amount of clicking in File Explorer brings it back.

  1. Click the up arrow (^) at the left end of the system tray, near the clock, to show hidden icons.
  2. Hover over the small USB plug icon. Its tooltip reads Safely Remove Hardware and Eject Media.
  3. Click it and read the list. If your drive is no longer listed there, it has already been ejected in software.
  4. Unplug the drive physically, wait ten seconds, and plug it back in.
  5. Watch for the connect chime and check This PC in File Explorer.

Tip: To avoid this in future, eject and unplug in one motion. Ejecting flushes anything still queued to be written — pulling a drive mid-write is how folders come back half-copied.

7. Stop If the Drive Clicks or Is Not Detected at All

This is the case that needs a different response. If the drive makes a repeating click, tick, or beep, or if it never appears in Disk Management on any port, cable, or computer, the hardware is failing.

Do this now:

  1. Unplug the drive and leave it unplugged. A failing drive degrades further every minute it stays powered, and a head that is skipping across the platter is physically damaging the surface it needs to read.
  2. Do not run recovery software against it. Consumer recovery tools read the whole surface repeatedly, which is the worst possible workload for failing mechanics, and some write their results back to the same drive.
  3. Do not open it, freeze it, or hit it. Those suggestions circulate widely and reliably turn a recoverable drive into an unrecoverable one.
  4. Label the drive with the date and what is on it so nobody plugs it in "to check".
  5. Raise a ticket with the facts. Tell IT: "An external drive holding work files is clicking and is not detected in Disk Management on two computers. I have stopped using it. Please advise on the approved data recovery vendor and whether the cost is covered."

Note: A drive that is detected but shows Unallocated is a different problem from a clicking drive — the mechanics are fine and the partition table is damaged. Recovery odds are good, but they drop every time something writes to the drive. Stop using it and raise the same ticket.

Never accept Format or Initialize Disk on a drive that holds files you want. Windows offers both when it cannot read a file system, and neither prompt distinguishes an empty new disk from a full Mac-formatted one. Both wipe the drive. Click Cancel and work through Step 2 first.
