How to Fix Common Printer Issues (No Admin Required)

Before You Start

  • A printer that has already been installed on your computer (driver installation typically requires admin rights and is handled by IT). If the printer is not on your computer yet, see How to Add a Network Printer on Windows (No Admin Required).
  • For network printers: a connection to the same network as the printer (Wi-Fi or Ethernet).
  • For USB printers: the USB cable must be physically connected.

Instructions

1. Check the Physical Connection

Before troubleshooting in software, rule out hardware issues.

  1. Verify the printer is powered on — check for indicator lights or a display screen.
  2. For USB printers: ensure the cable is firmly connected at both ends. Try a different USB port on your computer.
  3. For network printers: confirm your computer is connected to the network (check the Wi-Fi or Ethernet icon in the taskbar).
  4. Check for any error lights or messages on the printer's display panel (paper jam, low ink, open cover).
  5. If the printer has a touchscreen, look for error messages and follow the on-screen guidance.
  6. If the printer is powered on, connected, and showing no error lights or jams, the hardware is fine and the fault is on the computer side. Continue to Step 2.

2. Set the Correct Default Printer

If your documents are printing to the wrong printer, you may need to change your default.

  1. Click Start and open Settings (or press Win + I).
  2. Navigate to Bluetooth & devices > Printers & scanners.
  3. Find your printer in the list and click on it.
  4. Click Set as default.
  5. If you see the option Let Windows manage my default printer at the top of the page, toggle it Off to prevent Windows from changing it automatically.
  6. If the right printer is already set as default and pages still do not come out, a job at the front of the queue is holding up everything behind it. Continue to Step 3.

3. Clear a Stuck Print Queue

Stuck jobs block everything behind them. Clearing the queue often resolves the issue.

  1. Click Start and open Settings (or press Win + I).
  2. Navigate to Bluetooth & devices > Printers & scanners.
  3. Click on the printer that has stuck jobs.
  4. Click Open print queue.
  5. In the print queue window, right-click on the stuck document and select Cancel.
  6. If multiple jobs are stuck, click Printer in the menu bar and select Cancel All Documents.
  7. Wait 10 seconds, then try printing again.
  8. If the queue is empty and the printer is marked Offline in Printers & scanners, Windows has lost contact with the printer rather than choked on one job. Continue to Step 4.

4. Fix "Printer Offline" Status

A printer showing as offline can usually be brought back online in a few clicks.

  1. Click Start and open Settings > Bluetooth & devices > Printers & scanners.
  2. Click on the offline printer.
  3. Click Open print queue.
  4. In the print queue window, click Printer in the menu bar.
  5. If Use Printer Offline has a checkmark next to it, click it to uncheck it. This forces the printer back online.
  6. If the printer remains offline, try turning the printer off, waiting 30 seconds, and turning it back on.
  7. If the status flips back to Offline after the power cycle, let Windows check the connection and the print service for you. Continue to Step 5.

5. Run the Built-In Printer Troubleshooter

Windows includes an automated troubleshooter that can detect and fix many common printer issues.

  1. Click Start and open Settings (or press Win + I).
  2. Navigate to System > Troubleshoot > Other troubleshooters.
  3. Find Printer in the list and click Run.
  4. Follow the on-screen prompts. The troubleshooter will check for:
    • Connectivity issues
    • Print spooler problems
    • Default printer configuration
    • Pending print jobs
  5. Apply any suggested fixes and try printing again.
  6. If the troubleshooter reports no problems found, or its fix stops working within a few minutes, the print spooler is stalled underneath it. Continue to Step 6.

6. Restart the Print Spooler Service (Via Settings)

The print spooler manages print jobs. Restarting it can resolve many issues without requiring admin rights.

  1. Click Start and type Services — if you can open the Services app, proceed. If access is blocked, skip to Method 7.
  2. Scroll down and find Print Spooler.
  3. Right-click on Print Spooler and select Restart.
  4. Wait for the service to restart (a few seconds).
  5. Try printing again.

If the Services app requires admin permission, use the alternative: open Settings > Bluetooth & devices > Printers & scanners, remove the printer, restart your computer, and re-add it.

If your document still does not print after the spooler restarts, find out whether the printer responds to anything at all before you escalate. Continue to Step 7.

7. Print a Test Page

After troubleshooting, verify the printer is working.

  1. Go to Settings > Bluetooth & devices > Printers & scanners.
  2. Click on your printer.
  3. Click Print a test page.
  4. If the test page prints successfully, the issue is resolved.
  5. If it fails, try printing from a different application (e.g., Notepad) to rule out application-specific problems.
  6. If the test page fails from Notepad as well, the fault sits with the printer or its driver, not with the document you were printing. Raise a ticket giving the model number printed on the front of the printer and the exact wording shown against the failed job in the print queue.

8. When to Contact IT

Some printer issues require administrator access. Include three things in the ticket and you will usually get one reply instead of three: the printer's exact name as it appears in Printers & scanners, the full error text, and which steps below you already tried. Contact your IT helpdesk if:

  • The printer does not appear in your Printers & scanners list (driver installation required).
  • You receive a "Driver is unavailable" error.
  • The printer requires a new driver after a Windows update.
  • You need access to a printer on a different network or floor.
  • None of the steps above resolved the issue.

Troubleshooting

Most user-level printer fixes involve clearing the queue and checking the connection. A Driver is unavailable or Access denied error is the exception — those need administrator privileges. Ask IT to install the printer driver on your machine, and give them the printer name and the exact error text.
