How to Fix "Access Denied" and Permission Errors in Microsoft 365

Instructions
1. Request Access Automatically
Many Microsoft 365 apps have a built-in way to request access when you hit a block.
- If you see a "You need permission to access this item" screen in SharePoint or OneDrive, look for a text box.
- Type a brief reason (e.g., "I need to review the Q3 report for the marketing meeting").
- Click Request Access.
- The owner of the file or site receives an email with your request. You'll get an email when they approve it.
2. Ask the Owner to Share It Directly
If there is no "Request Access" button, or you're trying to access a shared mailbox or calendar, you'll need to ask the owner to grant you access.
For a file or folder (OneDrive/SharePoint):
- Contact the person who sent you the link.
- Ask them to share the file explicitly with your email address, rather than sending the link.

For a Shared Mailbox or Calendar:
- Determine who manages the mailbox or calendar (usually a manager or department head).
- Contact them and ask to be added to the access list.
- If they don't know how, or if IT manages the access list, submit an IT ticket requesting access and mention the mailbox name.
3. Check for the "Wrong Account" Issue
Sometimes, your browser tries to use a different Microsoft account (like a personal outlook.com account or a previous employer's account) to open the link.
- Look at the top right corner of the "Access Denied" screen.
- Check the email address listed there. Is it your current work email?
- If it's the wrong email, click the profile picture and select Sign out, or click Sign in with a different account.
- Sign in with your current work email and try the link again.
TIP

4. Wait for Permissions to Sync
If someone granted you access or IT added you to a new group, it can take time for Microsoft 365 to update across all servers.
- SharePoint / OneDrive files: Usually immediate, but can take up to 15 minutes.
- Teams channels: Can take 1–2 hours to appear after being added.
- Shared Mailboxes / Calendars: Can take up to 24 hours to automatically appear in Outlook. You can try restarting Outlook to speed it up.
Troubleshooting

If you are supposed to have access to a department-wide site or drive (e.g., the HR intranet or the Finance shared folder) and you don't, contact IT with the full URL of the site or folder, the exact error text, and the name of a colleague in your role who can open it — that lets them copy a working set of permissions instead of guessing. You may have been missed when you were hired or transferred.
