How to Set Up Google Calendar Appointment Slots

Summary
The "When are you free to chat?" email dance is a massive waste of time. Instead of trading five emails to find a 15-minute window, you can use Google Calendar's built-in "Appointment Scheduling" feature. It generates a professional webpage where clients can look at your availability and book a slot directly onto your calendar.
Prerequisites
- You must have a paid Google Workspace business account, or a premium Google One subscription. (This feature is limited on free
@gmail.comaccounts).
Instructions
1. Create the Schedule
- Open Google Calendar on your computer.
- Click the large Create (+) button in the top left corner.
- Click Appointment schedule. (Note: If you only see "Appointment slots", you are using the older legacy version. Click the gear icon > Settings > Appointment schedules to turn on the modern version).
- A side panel will open on the left. Give your schedule a title (e.g.,
30-Minute Consultation).
2. Define Your Availability
You need to tell Google exactly when you are willing to take these types of meetings.
- Duration: Select how long the meetings will last (e.g., 30 minutes).
- General availability: Under the days of the week, set your hours. If you only want to take client calls on Tuesdays and Thursdays from 1 PM to 4 PM, change the times accordingly and click the "Copy time to all" icon or remove the other days.
- Scheduling window: This prevents surprises. Set it so clients cannot book less than 12 hours in advance.
- Buffer time: Highly recommended. Turn this on and set it to 15 minutes so you never have back-to-back calls without a break.
- Click Next.
3. Customize the Booking Page
This is what the client will see when they click your link.
- Location and conferencing: Choose "Google Meet video conferencing" or "Phone call". If you choose Google Meet, it will automatically generate a video link when someone books.
- Description: Add a brief welcome message (e.g., "Looking forward to our chat. Please ensure you are in a quiet room.").
- Booking form: By default, Google asks for their First Name, Last Name, and Email. Click Add an item to require them to answer a custom question, like "What is the primary goal of this meeting?"
- Click Save.
4. Share Your Link
Your booking page is now live.
- Click on the new colored block that appeared on your calendar representing your schedule.
- Click the Share button.
- Click Copy link.
- You can now paste this link into your email signature, put it on your website, or send it directly to clients.
- When a client books a time, it will automatically appear on your calendar, and you will both receive an email confirmation. Google automatically hides any times where you already have another meeting scheduled.
Troubleshooting
WARNING
If you manually add a "Doctor's Appointment" or "Lunch" to your calendar during your normal availability window, Google's Appointment Scheduler is smart enough to see it and will hide that time block from your clients. You do not need to manually turn off the scheduler when you are busy.
