Summary

A team in Microsoft Teams is a named group of people plus the shared files, channels, and calendar that come with them. This guide walks through creating one — from scratch or by reusing an existing team — and covers the setup decisions that are awkward to reverse later, including what to do when your organisation has switched team creation off.

Before You Start

• A Microsoft Teams account with a work or school sign-in.
• Permission to create teams. Most organisations allow it by default, but many restrict it to a named group of people — section 8 covers that case.
• A decision on who else will own the team. You need a second owner, and choosing before you start saves a round trip.
• If you are reusing an existing team or group, membership of it.

Instructions

1. Open the Team Creation Screen

Start from the main Teams window, where the control for creating a team sits above your list of conversations.

1. Select Chat or Teams in the left sidebar, depending on which view your Teams window uses.
2. Select New items above your list of chats and channels. A short menu opens.
3. Select New team. The team creation panel opens with a name field at the top.
4. If your Teams window shows no New items control, scroll to the bottom of the Teams list and look for Join or create team, then choose Create a new team. Older builds put the control there, and both routes reach the same panel.

If neither control appears anywhere, skip to section 8 — that is the signature of a creation restriction rather than a missing feature.

2. Decide Whether to Start Fresh or Reuse an Existing Team

Reusing an existing team or Microsoft 365 group carries the membership across, which saves adding twenty people by hand.

1. To start with nothing, stay on the panel that opened in the previous step and continue to the next section.
2. To reuse an existing team, select More create team options, then From another team, and pick a team you already belong to from the list.
3. Tick the boxes for what you want copied — channels, tabs, settings, apps, and members. Clear any box you would rather set up fresh; nothing is copied from an unticked box, and the original team is untouched either way.
4. To reuse a Microsoft 365 group instead — the mailing list your department already has, for example — select More create team options, then From a group, and pick the group. The new team inherits that group's privacy setting, sensitivity label, and member list.

A group that already has a team attached to it will not appear in the list, because a group can back only one team.

3. Choose the Privacy Setting by Its Consequence

The privacy setting decides who can get in without being invited, and it is the choice people regret most.

1. Select Private when the team's content belongs to a defined group of people. Nobody sees the team or its files unless an owner adds them. This is the right answer for a department, a client project, or anything involving budgets, staffing, or customer data.
2. Select Public when you want a community anyone in the organisation can join without asking. A public team appears in the team directory, and anyone in your organisation who joins gets the full channel history from the beginning.
3. Leave it on Private when you are unsure. An owner can switch a private team to public later from More options > Edit team, and the reverse also works — but switching to public exposes every existing conversation and file to the whole organisation at once, so it is the direction worth thinking about first.

You may also see Org-wide, which automatically includes every active person in the organisation and keeps that list up to date. Only global administrators can create one, and only in organisations under 10,000 people, so it will not be an option for most readers.

4. Name the Team So a Colleague Would Guess It

The team name is how people find it in search, so name it for the outsider rather than the insider.

1. Enter a Team name that describes the group or the work in plain words — Finance or Website Redesign 2026 rather than an internal code or a project nickname.
2. Avoid initials and abbreviations that only the current members decode. A person joining in six months will search for what the team does.
3. Check that the name does not already exist in the team directory. Two teams called Marketing produce a permanent low-grade confusion about which one to post in.

5. Add Members and Name a Second Owner

Adding people is the step that turns an empty shell into a team, and the owner role is the part that gets skipped.

1. When the panel prompts you, start typing a colleague's name or email address, then select them from the results. Repeat for everyone who needs access. You can also add an entire contact group in one go.
2. Select Add, then Close. The people you added appear in the team's member list and receive a notification.
3. Open the team's More options (⋯) menu and select Manage team, then the Members tab.
4. Find the colleague who will co-own the team, open the dropdown in the Role column beside their name, and select Owner. Their role updates in place.

Name at least two owners before you move on. An owner can rename or delete the team, add people to a private team, and promote others; a member can post, share files, and leave, and can add apps only where an owner has allowed it. Creating a private channel is open to team members by default, though a team owner or an organisation-wide policy can switch that off. A team whose single owner leaves the organisation is stranded — nobody left inside it can add a new person or fix its settings, and recovering it becomes an admin job. Promoting someone is reversible: set the same dropdown back to Member at any time, and nothing they created is removed.

6. Add Your First Channels

Channels split the team's conversation by topic, and the first two or three set the pattern everyone else follows.

1. Enter a name when the creation panel asks you to name your first channel. Something concrete — Budget, Announcements — beats Discussion.
2. Select Create. Teams builds the team along with its SharePoint site, shared notebook, and calendar, and the new team appears in your Teams list with its first channel underneath.
3. Add two or three more channels for the obvious topics, and stop there. Open the team's More options (⋯) menu, select Add channel, name it, and select Add.
4. Resist creating a channel per person or per week. A team with thirty channels is one nobody reads; channels are quick to add when a topic genuinely appears.

7. Write a Description and Pin the Channel That Matters

Two minutes of tidy-up here answers the questions you would otherwise field for a year.

1. Open the team's More options (⋯) menu and select Manage team, then Settings.
2. Select Team details and write a Description that says what the team is for and who belongs in it — one or two sentences. This is the text people read in the team directory before deciding whether to join or to post.
3. Select Save. The description appears under the team name.
4. Right-click the channel people will need most and select Pin. It moves to the top of your channel list. Pinning affects only your own sidebar, so it changes nothing for anyone else — tell members to do the same for the channel that matters to them.

8. Handle a Blocked or Missing Create Option

In many organisations, team creation is restricted to a named group of people, and this is the most common reason the steps above stop working.

Here is what it looks like from your side:

• The New team option is missing from the New items menu entirely.
• The option is present, but selecting Create returns a permissions error instead of building the team.
• You can create channels inside teams you already belong to, but not a new team.

This is a deliberate setting, not a fault with your account or your Teams install. Organisations turn it on to stop the sprawl of half-used teams and their orphaned SharePoint sites, and when it is active it applies to everyone outside the approved group — including people who already own other teams. Reinstalling Teams, clearing the cache, or signing out will not change it.

The route through is a ticket, and these requests get bounced back when they arrive incomplete. Ask IT to create a Microsoft Teams team on your behalf, and include all four of the following, because that is what the request form asks for:

• The team name you want, exactly as it should appear.
• What the team is for — one sentence on the work it supports and roughly how long it will run.
• Who owns it — your name, plus a second person as co-owner.
• Who the initial members are — the full list of names or email addresses.

Add the privacy setting you need (Private or Public) and whether the team should be built from an existing group, if one already holds the right people. A request with all of this in it is usually actioned the same day; one that says "please can I have a team" starts a conversation instead.

Troubleshooting

WARNING

Deleting a team removes its channels, its conversations, and the SharePoint site holding every file posted in it. Deleted teams can be restored by an administrator within 30 days; after that the content is gone permanently. If a team is no longer needed, archive it from Manage teams rather than deleting it — archiving keeps the files readable and stops new posts.
