Before You Start ​

  • A Webex meeting invitation containing either a link or a meeting number and password.
  • Google Chrome, Microsoft Edge, Firefox, or Safari, kept up to date. Chrome and Edge give the most complete Webex web experience.
  • A microphone and speakers, or a headset. A webcam is optional — you can attend with video off.
  • No admin rights and no Webex account are needed to attend as a guest.

Instructions ​

1. Join from the Link in Your Browser ​

This is the fastest route, and it needs nothing installed on your computer.

  1. Open the calendar invite or email from your client. Look for a green Join meeting button, or a link that looks like https://acme.webex.com/acme/j.php?MTID=... where acme is the client's company name.
  2. Click the button or the link. Your browser opens a Webex launch page.
  3. Your browser shows a pop-up asking Open Webex? or Open Cisco Webex Meeting. Click Cancel to stay in the browser.
  4. On the launch page underneath, click Join from your browser. Some Webex sites label this Join from browser and place it below a Download button — the wording differs by site version, the position does not.
  5. Type your name and email address into the two boxes, then click Next. Use the name your client will recognise, because this is what everyone in the meeting sees.
  6. The pre-meeting preview window opens. You see your own camera image (or a grey tile with your initials if the camera is off), an audio selector at the bottom, and a green Join meeting button.

Note: If the launch page never offers a browser option, the client's Webex site has the web app turned off and the desktop app is genuinely required. Download it from the same page, or dial in by phone using Step 7.

When the desktop app is worth installing: you attend Webex meetings weekly, you need to pair with a Webex device in a meeting room, or you present often and want annotation and multi-screen sharing. For a one-off client call, the browser does the job.

2. Enter the Meeting Number and Password by Hand ​

Use this when the link does not work, when the invite was forwarded to you as plain text, or when you are joining from a shared conference room computer.

  1. In your browser, go to the Webex site address from the invite — it looks like https://acme.webex.com.
  2. On that page, find the Join a meeting box near the top.
  3. Type the Meeting number exactly as it appears in the invite. It is a 9- to 11-digit number, usually printed in three groups such as 2551 234 5678. Spaces are optional.
  4. Press Enter or click Join.
  5. Type the Meeting password from the invite. Webex passwords are case-sensitive, and a trailing space copied from an email will reject the password. Retype it by hand if a paste fails.
  6. Click Next. The pre-meeting preview window opens, the same one described in Step 1.

Tip: In the Webex desktop app, the equivalent is the Join a Meeting box on the home screen. Paste the meeting number or the full meeting link into it and press Enter.

3. Choose How Your Audio Connects ​

This is the step that stops first-timers. Webex does not connect your audio automatically — it asks you to pick, and if you skip the question you sit in the meeting hearing nothing.

In the pre-meeting preview window, look at the bottom left. There is a selector reading Audio: Use computer audio with a dropdown arrow. Click it and pick one:

  • Use computer audio — Webex uses your headset, laptop microphone, and speakers. This is the right choice roughly every time. Below it, two dropdowns let you pick which Speaker and which Microphone to use, which matters if you have a headset plugged in alongside built-in laptop speakers.
  • Call in — Webex shows you a phone number, an access code, and an Attendee ID. You dial in from a desk phone or mobile for the sound, while the meeting content stays on your screen. Use this when your network drops audio or your laptop microphone is broken.
  • Call me — you type a phone number and Webex rings it. When you answer, press 1 to connect. This option only appears when the host's Webex site has it enabled, so it is absent from many meetings.
  • Don't connect to audio — you see the shared screen with no sound in either direction. Pick this only when you are in a conference room where somebody else's device carries the audio, otherwise you will be the person nobody can hear.

Once you have chosen, the selector text updates to show your choice.

Note: In the browser version, Use computer audio and Call in are always available. Call me depends on the host's site settings, so its absence is not a fault on your end.

4. Test Your Speaker and Microphone Before You Join ​

Do this before you click Join meeting, not after. It takes fifteen seconds and it is the difference between a smooth start and two minutes of "we can't hear you".

  1. In the pre-meeting preview window, click Test speaker and microphone next to the audio selector.
  2. A Speaker and microphone dialog opens. Click Test beside the speaker dropdown. A short tone plays. If you hear nothing, pick a different device from the dropdown and click Test again.
  3. Look at the blue level bar beside the microphone dropdown and say a few words. The bar moves as you speak. A flat bar means Webex is listening to the wrong device — change the microphone dropdown and speak again.
  4. Click Close (or OK) to return to the preview window.
  5. Click the green Join meeting button.

Verification: The preview window closes and the meeting window opens with the participant list count in the top right. If the host has a lobby enabled, you see Waiting for the host to admit you instead — stay on this screen.

5. Mute, Turn On Video, and Open the Participants Panel ​

Everything you need lives in the control bar across the bottom of the meeting window. It fades out after a few seconds of inactivity — move your mouse over the window to bring it back.

  • Mute / Unmute — the microphone icon on the left of the control bar. Red with a line through it means you are muted. The keyboard shortcut is Ctrl + M on Windows and Command + Shift + M on a Mac. Hold the Spacebar to unmute yourself for as long as you hold it.
  • Start video / Stop video — the camera icon beside the microphone. Red with a line through it means your camera is off, and other people see your initials.
  • Participants — the people icon toward the right of the control bar, with a number beside it. Click it and a panel opens down the right side of the window listing everyone in the meeting. The host has a Host label beside their name and the current presenter has a small green screen icon.
  • Chat — the speech-bubble icon next to Participants. Opens a panel below the participant list. Use it to send the host a message if your audio fails.
  • Leave meeting — the red button at the far right. Click it, then click Leave meeting again to confirm.

Tip: Join muted. Click the Mute button in the preview window before you click Join meeting, so you never walk into somebody else's sentence.

6. Share Your Screen as a Guest ​

You can present in a Webex meeting as a guest, but only when the host has given you the presenter role — Webex allows one presenter at a time.

  1. In the control bar, click Share (the icon of an arrow pointing up out of a box). In the desktop app the button is labelled Share content.
  2. A picker window opens showing thumbnails of your open applications plus a Screen 1 tile for your whole desktop. Click the specific application window you want to show. Sharing one window rather than the whole screen keeps your email and notifications private.
  3. Before you click, tick Share your computer audio at the bottom of the picker if you are playing a video or anything with sound.
  4. Click Share. A shrinking control bar docks at the top of your screen and an orange border outlines what everyone can see.
  5. To stop, move your mouse to the top of the screen so the docked bar drops down, then click Stop sharing.

Note: If the Share button is greyed out, or clicking it shows Only the host or presenter can share content, the host has sharing locked. Ask them in the chat: "Could you make me presenter so I can share my screen?" The host opens the Participants panel, right-clicks your name, and chooses Make presenter — or uses Change role to > Presenter on some versions.

7. Join from a Phone ​

Dialling in works when your laptop cannot reach the meeting at all, when you are travelling, or when the network is dropping your audio. You get the conversation without the shared screen.

  1. Find the Join by phone section in your invitation. It lists one or more numbers and an Access code — the access code is the same digits as the meeting number.
  2. Dial the number that matches your country.
  3. When prompted, enter the access code followed by #.
  4. When asked for an attendee ID, press # to skip it. Entering it links your phone line to your name in the participant list, which is worth doing when you are also on the computer.
  5. Press *6 to mute and unmute yourself from the phone keypad.

Tip: On a phone or tablet, the mobile browser cannot run the full Webex web app. Install the free Webex app from the App Store or Google Play, open the meeting link again, and the app takes over. Dialling in stays the no-install option.

Troubleshooting ​

TIP

When Webex behaves strangely in your browser — a black shared screen, a dead microphone, a button that does nothing — open the meeting link again in a New InPrivate window in Edge or a New Incognito window in Chrome. This bypasses extensions and stale permissions, and it is faster than working out which extension broke it.
