Prerequisites

  • A Microsoft 365 work or school account (your email address and password).
  • The device must be connected to the internet.
  • No admin rights are required for most steps. If your organization uses Company Portal or Intune, you may need to enroll the device first — see Understanding Company Portal, Device Management, and Your Privacy.

Instructions

1. Install Microsoft 365 Apps

Download and install Word, Excel, PowerPoint, Outlook, and Teams from the Microsoft 365 portal.

  1. Open your web browser and go to portal.office.com.
  2. Sign in with your work or school email address and password.
  3. Complete any multi-factor authentication (MFA) prompt. If you have not set up MFA yet, see How to Use the Microsoft Authenticator App.
  4. On the Microsoft 365 home page, click Install apps in the top-right corner, then select Microsoft 365 apps.
  5. A setup file downloads (typically OfficeSetup.exe). Click the file to run it.
  6. The installer runs in the background. A progress bar appears near the system tray. This may take 10–20 minutes depending on your internet speed.
  7. When installation completes, you will see a notification saying "You're all set!". The apps now appear in your Start menu.

Verification: Open the Start menu and search for Word. Open it. If prompted to sign in, use your work email. Confirm the app opens and shows your account name in the top-right corner.

2. Set Up OneDrive Sync and Folder Backup

OneDrive syncs your work files to the cloud so they are backed up and accessible from any device.

  1. Click the OneDrive cloud icon in the system tray (bottom-right corner, near the clock). If you do not see it, search for OneDrive in the Start menu and open it.
  2. If prompted to sign in, enter your work email address and click Sign in.
  3. Complete any MFA prompt.
  4. OneDrive suggests a default folder location. Click Next to accept the default or click Change location if needed.
  5. OneDrive offers to set up folder backup for your Desktop, Documents, and Pictures folders. Toggle on the folders you want to protect, then click Start backup.
  6. Click through the remaining introduction screens and click Open my OneDrive folder.
  7. OneDrive begins syncing. A blue cloud icon with spinning arrows indicates sync is in progress.

Verification: Open File Explorer and look for OneDrive – [Your Organization] in the left navigation panel. Files should show a green checkmark (✅) or blue cloud (☁️) icon confirming they are synced.

3. Add Your Email Account in Outlook

Set up your work email, calendar, and contacts in the Outlook desktop app.

  1. Open Outlook from the Start menu.
  2. If this is the first time opening Outlook, the setup wizard launches automatically. Enter your work email address and click Connect.
  3. Outlook detects your account settings automatically (Microsoft 365 uses Exchange Online).
  4. Enter your password if prompted and complete any MFA challenge.
  5. Click Done when setup completes.
  6. Outlook opens and begins downloading your email. The status bar at the bottom should show Connected to: Microsoft Exchange.

Verification: Send a test email to a colleague and confirm it arrives. Check that your Calendar and Contacts are visible in the left navigation panel.

If Outlook Was Already Installed (Adding a Second Account)

  1. Open Outlook and click File > Add Account.
  2. Enter your work email address and click Connect.
  3. Complete authentication and click Done.
  4. Restart Outlook when prompted.

4. Sign In to Microsoft Teams

Connect to your organization's Teams environment for chat, meetings, and collaboration.

  1. Open Microsoft Teams from the Start menu. On Windows 11, Teams may already be pinned to the taskbar.
  2. If prompted, enter your work email address and click Sign in.
  3. Complete any MFA challenge.
  4. Teams opens and loads your chats, teams, and channels.
  5. If you use Teams on another device, your chat history and files appear automatically — nothing to transfer.

Verification: Send a test chat message to a colleague. Click Calendar in the left panel and confirm your upcoming meetings are visible.

5. Secure Your Sign-In with Windows Hello

Set up a PIN or biometric sign-in so you can log in quickly and securely without typing your full password.

  1. Press Windows + I to open Settings.
  2. Click Accounts > Sign-in options.
  3. Choose your preferred method:

Verification: Lock your computer (Windows + L) and sign back in using your new PIN, fingerprint, or face scan.

6. Set Up Self-Service Password Reset (If Available)

Register backup methods so you can reset your own password without calling IT.

  1. Open your browser and go to aka.ms/setupsecurityinfo.
  2. Sign in with your work account.
  3. Review your registered authentication methods. If none exist, click Add sign-in method.
  4. Add at least two methods (e.g., Microsoft Authenticator app + a phone number).
  5. Follow the on-screen prompts to verify each method.
