Summary

When you create a new calendar event in Outlook for Mac, there is usually a button or a toggle switch to automatically add a Microsoft Teams link to the invite. If that button suddenly vanishes, you cannot create Teams meetings directly from your calendar. This guide explains how to bring it back.

Symptoms

  • You click New Event in your Outlook calendar, but the "Teams Meeting" toggle switch is completely missing.
  • The "Teams Meeting" button on the top ribbon is grayed out or gone.
  • You are forced to open the actual Teams app to schedule a meeting.

Before You Start

  • You must have both the Microsoft Outlook app and the Microsoft Teams app installed on your Mac.
  • Both apps must be logged into the same Microsoft 365 work account.

Instructions

1. Verify the "Online Meeting" Default Setting (New Outlook)

If you are using the "New Outlook" interface, the button isn't a plugin anymore—it's a built-in calendar setting.

  1. Open Outlook.
  2. Click Outlook in the top menu bar (next to the Apple logo) and select Settings (or Preferences).
  3. Click on Calendar.
  4. Look for the Calendar Options section.
  5. Check the box for Add online meeting to all meetings.
  6. Ensure that Microsoft Teams is selected in the dropdown menu next to it.
  7. Close the settings window and try creating a new event.

If your Settings window has no Calendar Options section, you are on Legacy Outlook rather than New Outlook, and the button comes from a plugin instead of a setting. Go to Step 2. If the toggle is still missing with the setting switched on, the event is being created on the wrong calendar. Go to Step 3.

2. Force the Teams Add-in to Reload (Legacy Outlook)

If you are using the older "Legacy" version of Outlook, the button relies on a background plugin that can crash.

  1. Completely close Outlook (Command + Q).
  2. Open the Microsoft Teams app.
  3. Click your profile picture at the top right, and click Sign out.
  4. Once signed out, completely close Microsoft Teams (Command + Q).
  5. Open Teams again and sign back in with your work email.
  6. Open Outlook again. The background sync will trigger, and the button should reappear within a minute.

3. Check for Account Mismatches

The button follows the calendar you are scheduling into.

The Teams button will disappear if Outlook thinks you are trying to schedule a meeting on a personal calendar (like an iCloud or Gmail account) instead of your work calendar.

  1. In Outlook, go to your Calendar view.
  2. Look at the left sidebar where your different calendars are listed.
  3. Ensure that your Microsoft 365 Work Account calendar is the one checked/highlighted.
  4. If you have an "On My Computer" calendar selected, the Teams button will not appear.

Troubleshooting

TIP

Microsoft recently updated Teams to a new "V2" architecture. Ensure both your Outlook app and Teams app are fully up to date. Open any Office app, click Help > Check for Updates in the top menu bar to run the Microsoft AutoUpdate tool.

Frequently asked questions

Why did the Teams toggle disappear from my calendar invite?
This happens if the Microsoft Teams add-in for Outlook fails to load in the background, or if Outlook briefly loses connection to the Exchange server while you are drafting the invite.
Can I just copy a Teams link from a different meeting?
Yes. In an emergency, you can copy the 'Join Meeting' link from any Teams meeting you organize and paste it into the body of the new calendar invite.
