How to Create a Wiki or Notes Page in Teams

Summary

Teams channels can host collaborative notes pages (formerly called Wiki tabs) where team members document processes, meeting notes, project information, and other reference material. Microsoft has transitioned from the legacy Wiki to Collaborative Notes powered by OneNote. This article covers both methods so you can create in-channel documentation regardless of your Teams version.

Before You Start

  • Microsoft Teams desktop or web app.
  • Membership in the Team/Channel where you want to add the page.
  • No admin rights required.

Instructions

1. Add a Collaborative Notes Tab (New Teams)

Create a shared notes page in your channel using OneNote.

  1. Open the channel where you want to add notes.
  2. Click the + (Add a tab) button at the top of the channel.
  3. Select OneNote from the app list.
  4. Choose one of the following:
    • Create a new notebook — Starts a fresh notebook for this channel.
    • Use an existing notebook — Links to a OneNote notebook already in your team's SharePoint.
  5. Name the tab (e.g., Team Wiki, Project Notes, Runbooks).
  6. Click Save.
  7. The OneNote tab appears at the top of the channel — all members can view and edit.

2. Structure Your Notes Page

Organise the content so team members can find information quickly.

  1. Open the notes tab you created.
  2. Create sections (shown as tabs at the top of the notebook) for major categories:
    • Example sections: Onboarding, Processes, Meeting Notes, FAQs.
  3. Within each section, add pages for individual topics:
    • Click + Add page in the pages panel on the left.
    • Give each page a clear, descriptive title.
  4. Use formatting features to structure content:
    • Headings for section titles.
    • Bullet points and numbered lists for step-by-step instructions.
    • Tables for reference data.
    • Tags (To Do, Important, Question) to highlight key items.

3. Edit Notes Collaboratively

Multiple team members can work on the same page simultaneously.

  1. Open the notes tab in the channel.
  2. Click anywhere on the page and start typing.
  3. Other team members editing the same page see changes in real time.
  4. Each person's edits are colour-coded with their name shown next to changes.
  5. Changes are saved automatically — no manual save is required.

Share a direct link to a specific notes page in a Teams conversation.

  1. Open the notes tab and navigate to the page you want to share.
  2. Copy the URL from your browser's address bar (if using Teams web) or right-click the page title and select Copy link to page.
  3. Paste the link into a Teams chat or channel message.
  4. Team members can click the link to go directly to that page.

Wiki is retired — what replaced it

Microsoft retired the Wiki in stages, and the last one landed in February 2024: from that point neither the Wiki tab nor the Wiki app is reachable in Teams. Government cloud tenants followed in April 2024. OneNote is the replacement, which is why every step above adds a OneNote tab and there is no Wiki option left to choose.

Where the old content sits now depends on whether anyone exported it while the tab still existed:

  • Exported wikis are already OneNote. Open the channel's Notes tab. Each tab of the old wiki became a section in the notebook, and each wiki page became a page inside that section.
  • Wikis nobody exported cannot be opened from Teams. Ask IT whether the team's SharePoint site still holds the old wiki files, and give them the team and channel name so they know where to look.
  • Private channel wikis were never given a migration path at all, so anything from one has to be copied into OneNote by hand.
