Prerequisites

  • A Microsoft 365 subscription.
  • The file must be saved to OneDrive or SharePoint (co-authoring does not work with local files).

Instructions

1. Save the File to OneDrive or SharePoint

Co-authoring requires a cloud-saved file.

  1. Open your document in Word, Excel, or PowerPoint.
  2. Click File > Save As > OneDrive (or SharePoint).
  3. Choose a folder and click Save.
  4. The AutoSave toggle in the top-left corner should turn On automatically.

2. Share the File with Collaborators

Invite others to edit the document.

  1. Click the Share button in the top-right corner of the application.
  2. Enter the names or email addresses of the people you want to collaborate with.
  3. Set the permission level:
    • Can edit — Collaborators can make changes.
    • Can view — Collaborators can read but not edit.
  4. Add an optional message and click Send.
  5. Collaborators receive an email with a link to open the document.

3. Edit Together in Real Time

Work simultaneously with your collaborators.

  1. When multiple people open the file, each person's cursor appears in a different color with their name label.
  2. Edits appear in real time — you do not need to save or refresh.
  3. A presence indicator in the top-right corner shows who is currently in the document (click it to see the list).
  4. In Excel, co-authoring works best when each person edits different cells. If two people edit the same cell, the last change is kept.

4. Resolve Editing Conflicts

Handle situations where edits overlap.

  1. If a conflict occurs, Office prompts you with a conflict resolution dialog.
  2. Choose to keep your changes, their changes, or both.
  3. To reduce conflicts:
    • Communicate with co-authors about which sections each person is editing.
    • In Word, use Track Changes (under the Review tab) so everyone can see and approve edits.

5. Use the Web Version for Guaranteed Compatibility

The web apps provide the most seamless co-authoring experience.

  1. Open OneDrive or SharePoint in your browser.
  2. Click the file to open it in Word for the Web, Excel for the Web, or PowerPoint for the Web.
  3. Edits sync instantly with all co-authors regardless of whether they use the desktop or web app.

AutoSave must be turned on for real-time co-authoring to work. If AutoSave is off, co-authors will not see each other's edits until the file is manually saved.
