Summary

In a hybrid workplace, replying "Yes" to a meeting invite is no longer enough information for the organizer. They need to know if you are coming into the physical conference room (so they can order enough catering or ensure enough chairs) or if you are dialing in via Zoom/Teams. Both Microsoft and Google have added a new RSVP feature that lets you specify how you are attending.

Prerequisites

  • You need an incoming meeting invite in your inbox or on your calendar.

Instructions

Method 1: In Microsoft Outlook (New Outlook / Web)

Note: This feature is only fully supported in the "New" Outlook for Windows and Outlook on the Web.

  1. Open your Inbox and find the meeting invitation email.
  2. At the top of the email, you will see the standard RSVP options: Yes, Maybe, and No.
  3. Instead of clicking directly on the word "Yes", look for the small downward arrow v next to the word "Yes".
  4. Click that arrow to open the dropdown menu.
  5. Select either Yes, in-person or Yes, virtually.
  6. (Optional) If you are already looking at your calendar, you can right-click the meeting block on your calendar grid and select RSVP > Yes, in-person.

Method 2: In Google Calendar

Google makes this feature very prominent directly inside the calendar event.

  1. Open Google Calendar in your web browser.
  2. Single-click the meeting on your calendar grid to open the summary card.
  3. At the bottom of the card, you will see the question: "Going?"
  4. Next to the "Yes" button, look for the small downward arrow v.
  5. Click the arrow and select either Yes, in a meeting room or Yes, joining virtually.
  6. Your response will be sent to the organizer, and a small icon (a building or a video camera) will appear next to your name on the guest list.

Troubleshooting

If you change your mind later (e.g., you planned to go into the office, but your car broke down), you can go back to the calendar event, click the RSVP arrow again, and switch your response from "In-person" to "Virtually". The organizer will automatically see the update.
