Summary

You sent a document that looked right and got back a screenshot where the headings wrap, the table has fallen onto a new page and the type is not the type you chose. Nothing was corrupted in transit. This article explains the four reasons a file renders differently on a machine that did not create it — the font it names but does not carry, the app version, the printer driver, and the screen — and closes with the rule that decides how to send anything: PDF to be read, a shared link to be edited together, embedded fonts only when both are true.

1. A Document Stores the Name of a Font, Not the Font Itself

This one fact explains most of what you are looking at.

A .docx or .pptx file records an instruction: set this paragraph in Gill Sans MT. It does not contain Gill Sans MT. The typeface itself is a separate file installed in Windows on your computer, and it stays there when you email the document.

Open that file on a machine where the font is not installed, and Word or PowerPoint picks the closest typeface it does have and carries on. There is no warning dialog and no red text. The document opens looking plausible — differently proportioned, but plausible — so the recipient assumes you designed it that way and never mentions it.

Which fonts are safe depends entirely on what ships with Windows and Microsoft 365. Aptos, Calibri, Arial, Times New Roman, Verdana, Georgia, Tahoma, Trebuchet MS and Segoe UI are on every machine running current Office. A typeface you downloaded, bought, or that arrived with a design tool is on yours alone.

2. Why a Small Substitution Moves Page Breaks and Pushes Tables Onto New Pages

The replacement font is not the visible problem. The width of its letters is.

Every character in a typeface has a width, and no two typefaces agree on those widths. Swap one for another and the same sentence occupies a different number of pixels. That is a small change on one line and an enormous one by the end of a document, because it compounds:

• A line that was 2% too long wraps a word onto the next line.
• That paragraph is now one line taller.
• Every paragraph after it moves down by one line.
• Twenty paragraphs later, the page break lands in a different place.
• A table that sat at the foot of page 2 no longer fits, so Word moves the whole table to page 3 and leaves white space behind it.
• A heading set to stay with the text below it drags that text along too.

A two-page memo survives this. A 60-page report does not — the drift accumulates, and by the final section the page numbers in your table of contents point at the wrong pages.

PowerPoint runs the same arithmetic and produces a different-looking failure. A slide is a fixed rectangle, so text has nowhere to reflow to. Instead it overflows its box: over the top of an image, past the bottom of the slide, or into the space you left for a logo. Anything sized by eye to fit exactly is what breaks first. 3. Three More Things That Change Layout Between Machines

Fonts get the blame, and about a quarter of the time the cause is one of these instead.

Different versions of Word or PowerPoint. A file built in current Microsoft 365 and opened in Office 2016 loses access to formatting features that did not exist yet, and the older app renders the nearest thing it can. The reverse is visible in the title bar: a file still saved in the pre-2007 .doc or .ppt format opens in Compatibility Mode, where a set of modern features is switched off. That label beside the filename is a real signal, not decoration.

The printer driver. Word asks the computer's default printer how wide a page is and how close to the edge it can print, then lays out the document inside those limits. Change the default printer and those numbers change. This is why an identical file with identical fonts paginates as 42 pages on your machine and 45 on someone else's, and why a document's page count can shift after IT swaps the office printer. A machine with no printer at all falls back to a virtual one, which reports its own set of numbers.

Screen size and display scaling. These change nothing inside the file and everything about what the recipient sees. Windows display scaling set to 125% or 150%, a smaller laptop screen, a window dragged narrow, or Word left in Web Layout instead of Print Layout all alter how much fits on screen and where the lines appear to break. Somebody reporting that "the layout is wrong" on a 13-inch laptop at 150% scaling may be describing their monitor rather than your document.

4. Why It Looks Right in Word on the Web and Wrong on a Colleague's Desktop

The browser version is not a preview of the desktop version, and treating it as one is how a document ships broken.

Word and PowerPoint on the web run on Microsoft's servers and draw on the font set Microsoft supplies there, rather than on whatever is installed on the computer in front of you. Two things follow from that.

First, everyone who opens the file in a browser sees roughly the same thing. That consistency feels reassuring and proves nothing — checking the file in your browser tells you how it looks in browsers, not how it looks on your colleague's desktop Word.

Second, the direction of the error can flip. A font you installed yourself is on your desktop and not in Microsoft's server-side set, so the file can render correctly in the desktop app and substituted in the browser. The web apps also support a narrower range of formatting features than the desktop apps, which is a second, independent reason for a complex layout to arrive simplified in the browser and intact on the desktop.

The only check worth trusting is opening the file on a machine that did not create it, in the app the recipient will actually use.

5. The Decision Rule: Read It, Edit It, or Both

Almost every version of this problem disappears once you match the format to what the recipient has to do with the file.

If it has to be read exactly as designed, send a PDF. A PDF carries the fonts inside it and fixes the position of every element on the page. Nobody's printer driver, screen size, Office version or font collection changes it. Contracts, proposals, anything going to a client, anything with a page count that matters, anything being printed at the other end — all PDF. The cost is that they cannot edit it, which for these documents is usually the point. If it has to be edited together, put it in OneDrive or SharePoint and send a link. There is then one file, in one place, and nobody is emailing versions around. Everyone co-authoring opens the same document in the same app, so a substitution on one person's machine is visible to everyone rather than hidden in a copy. Co-authoring runs on AutoSave, which writes each person's changes into the stored file continuously — worth understanding before you invite anyone in, because it also removes the option of closing without saving (Understanding AutoSave and AutoRecover in Office). The cost is that the recipient needs access to the location, which for anyone outside your organisation takes a deliberate share.

If they must edit it and keep your typeface, embed the fonts — and only then. Embedding is the expensive option: it grows the file, it works only for typefaces whose licence permits it, and it is a per-file setting you have to remember on every document. It earns its cost in exactly one situation, which is a colleague editing your branded deck or report in the brand typeface. The option that is never right is the one everybody uses by default: attaching the .docx or .pptx to an email and hoping. That is the case that produces every symptom in this article.

Troubleshooting

Before a document goes anywhere that matters, open it on a machine that did not create it — a colleague's screen, a second computer, or a shared meeting-room laptop. A substitution shows itself in ten seconds that way, and no amount of checking on the machine that built the file will ever reveal it.
