When you only have a few clients, throwing all your files into a single Google Drive folder works fine. But as your business grows, this becomes a chaotic mess that makes finding old deliverables impossible. Setting up a strict folder hierarchy now will save you hours of searching later.

Instructions

1. Create the Master Structure

Google Drive sorts folders alphabetically by default. If you want your most important folders at the top, you should use a numbering system.

  1. Open Google Drive.
  2. Under My Drive, click New > New folder.
  3. Name it 01 - Clients and click Create.
  4. (Optional) Create other master folders like 02 - Admin & Finance and 03 - Marketing.

2. Set Up the Standard Client Template

Every time you sign a new client, you should use the exact same folder structure. This builds muscle memory so you always know where things are.

  1. Inside your 01 - Clients folder, create a new folder with the client's name (e.g., Acme Corp).
  2. Inside Acme Corp, create these three standard subfolders:
    • 1 - Internal: For contracts, rough drafts, and messy brainstorming docs that the client should never see.
    • 2 - Assets: For logos, brand guidelines, and files the client provided to you.
    • 3 - Deliverables (Shared): This is the only folder the client will ever have access to.

3. Share the Deliverables Folder Securely

Instead of sharing 50 individual files with your client over the course of a project, share the "Deliverables" folder once instead.

  1. Right-click the 3 - Deliverables (Shared) folder.
  2. Click Share.
  3. In the "Add people and groups" box, type the client's email address.
  4. Click the dropdown next to their name and select Viewer (so they can't delete your files) or Commenter (so they can leave feedback). Do not select Editor unless they need to directly modify the files.
  5. Click Send.

Rule of thumb: Anything you drag into this specific subfolder will instantly inherit those sharing permissions, so the client can see it immediately without you needing to click "Share" again.

4. Archive Old Clients

When a project ends, don't leave the folder cluttering up your active workspace.

  1. Create a folder inside 01 - Clients called Z - Archived Clients. (Using "Z" forces it to the bottom of the list).
  2. Drag the Acme Corp folder into the Archive.
  3. The client's sharing links will still work, but it won't clutter your daily view.

Troubleshooting

WARNING

Never share the main Acme Corp parent folder with the client. If you do, they will automatically get access to everything inside it, including your Internal folder with your private notes and profitability spreadsheets.
