Instructions ​

1. Check the Outlook Connection Status ​

Outlook displays its connection state in the bottom-right corner of the window. If Outlook is not connected to the mail server, no new emails can arrive.

  1. Look at the status bar at the very bottom of the Outlook window.
  2. You will see Connected to: Microsoft Exchange (or Microsoft 365).
  3. If you see Disconnected or Trying to connect, check your internet connection first — open a web page to confirm your network is working.
  4. If your internet works but Outlook still says Disconnected, proceed to Step 5 to check offline mode.

2. Check Focused Inbox (Emails May Be Hidden) ​

Focused Inbox automatically sorts emails into two tabs: Focused and Other. Emails from new or infrequent senders often land in the Other tab, making it look like they never arrived.

  1. At the top of your inbox, look for two tabs: Focused and Other.
  2. Click the Other tab.
  3. If your missing emails are here, right-click one and select Move to Focused → Always move messages from this sender to Focused.
  4. If you prefer to turn off Focused Inbox entirely: go to View > View Settings > toggle Focused Inbox off (New Outlook), or View tab > Show Focused Inbox (Classic Outlook).

3. Check Your Junk Email Folder ​

Outlook's junk filter can occasionally catch legitimate emails.

  1. In the left folder pane, click Junk Email (or Spam).
  2. Scan for any emails that should not be there.
  3. If you find a legitimate email, right-click it and select Not junk (Classic Outlook) or Report > Not junk (New Outlook).
  4. To prevent future false positives from a specific sender: right-click the email → Junk → Never Block Sender.

4. Check Email Rules That May Redirect or Delete Messages ​

Outlook rules can automatically move, delete, or forward incoming emails before you ever see them in your inbox.

  1. Classic Outlook: Go to File > Manage Rules & Alerts.
  2. New Outlook: Go to Settings (gear icon) > Mail > Rules.
  3. Review each rule carefully. Look for rules that:
    • Move messages to a specific folder (check that folder).
    • Delete messages matching certain criteria.
    • Forward messages to another address (you may still receive them, but check).
  4. Disable or delete any rule that is incorrectly filtering your incoming email.
  5. Click OK or Save to apply changes.

5. Turn Off "Work Offline" Mode ​

If Outlook is in offline mode, it stops communicating with the mail server entirely. The toggle sits one click away on the ribbon, so it gets switched on by accident.

  1. Click the Send / Receive tab at the top of the Outlook window.
  2. Look at the Work Offline button on the right side of the ribbon.
  3. If the button appears shaded or highlighted, offline mode is active — click it once to turn it off.

  5. Click Send / Receive All Folders (or press F9) to force an immediate sync.

6. Force a Manual Send/Receive ​

Sometimes Outlook's automatic sync schedule gets stuck. Forcing a manual sync can kick it back into action.

  1. Click the Send / Receive tab.
  2. Click Send / Receive All Folders (or press F9).
  3. Watch the progress bar in the bottom-left corner. If it completes without errors, check your inbox for new messages.
  4. If you see an error during the send/receive, note the exact error message — it will help with further troubleshooting.

7. Check Your Mailbox Storage ​

If your mailbox is full, the server stops delivering new messages. Microsoft 365 mailboxes have a default limit of 50 GB (or 100 GB with archive enabled).

  1. Classic Outlook: Go to File > Info. Your mailbox size is shown under Mailbox Settings with a storage bar.
  2. New Outlook: Click Settings (gear icon) > General > Storage.
  3. Outlook on the web: Go to https://outlook.office.com > Settings (gear icon) > General > Storage.

  5. Empty the Deleted Items folder afterward — deleted emails still count toward your quota until the folder is emptied.

8. Clear the Outlook Cache (Recreate Your Profile) ​

If none of the steps above resolve the issue, your local Outlook data file (OST) may be corrupted. Recreating the profile forces Outlook to download a fresh copy of your mailbox from the server.

  1. Close Outlook completely.
  2. Press Win + R, type control, and press Enter to open Control Panel.
  3. Search for Mail and open Mail (Microsoft Outlook).
  4. Click Show Profiles.
  5. Click Add and name the new profile (e.g., NewProfile).
  6. Follow the prompts to sign in with your work email address.
  7. Select Always use this profile and choose your new profile from the drop-down.
  8. Click OK and open Outlook. It will create a new local data file and re-download your mailbox.

9. When to Contact IT ​

Mail that never reaches the server is invisible from your desk — IT has to trace it, and they need something to trace it with. Raise a ticket with the sender's address, the date and time one of the missing messages was sent, whether it is also absent from Outlook on the web, and the full text of any bounce-back you received.

Contact your IT helpdesk if:

  • You have tried all steps above and emails still do not arrive in the desktop app or Outlook on the web.
  • Your mailbox is full and you do not have permission to enable an archive mailbox.
  • You receive a delivery failure notification (bounce-back) from a sender, indicating your mailbox is rejecting messages.
  • Emails from all senders are missing — not only specific ones — which may indicate a mail flow rule set by your administrator.
