Before You Start

  • A Microsoft 365 account with Teams and Outlook.
  • You must be the meeting organizer to modify the event.

Instructions

1. Add a Teams Meeting to an Existing Outlook Invite

Convert an in-person or phone meeting into a Teams meeting.

  1. Open Outlook and go to Calendar.
  2. Double-click the existing calendar event to open it in edit mode.
  3. New Outlook: Click the Teams meeting toggle in the toolbar to turn it on.
  4. Classic Outlook: Click the Teams Meeting button in the ribbon (Meeting tab).
  5. A Teams meeting link and dial-in information are automatically added to the event body.
  6. Click Send Update to notify all attendees.

Attendees now see a Join button in their calendar.

2. Remove a Teams Meeting from an Outlook Invite

Remove the Teams link from a calendar event so it becomes an in-person or phone-only meeting.

  1. Open the calendar event in edit mode (double-click it).
  2. New Outlook: Click the Teams meeting toggle to turn it off.
  3. Classic Outlook: Click the Teams Meeting button in the ribbon to deactivate it. Then manually delete the Teams join info from the event body.
  4. Click Send Update to notify attendees.

The Teams join link is removed and attendees no longer see the Join button.

TIP

In classic Outlook, the Teams meeting button is a toggle — click it once to add, click it again to remove. In new Outlook, it's a switch that shows its on/off state at a glance.

3. Create a New Invite with Teams from the Start

Start with the Teams link already included.

  1. In Outlook Calendar, click New Event (or New Meeting).
  2. Toggle the Teams meeting switch on before filling in any details.
  3. Fill in the title, attendees, date, time, and description.
  4. Click Send.

The invite includes a Teams link from the start.

4. Verify the Change

Confirm the Teams link is correctly added or removed.

  1. Open the calendar event and check the event body.
  2. If you added Teams: You will see the "Join Microsoft Teams Meeting" link and phone dial-in numbers.
  3. If you removed Teams: The join link and dial-in info should be gone.

Troubleshooting

WARNING

Only the meeting organizer can add or remove the Teams link. If someone else created the meeting, ask them to make the change or forward the update.

No. Only the original meeting organizer has the permission to edit the invite and add or remove a Teams link.
