• A working internet connection (verify by opening a web page in your browser).
• Microsoft Outlook desktop app — Classic or New Outlook for Windows.

Instructions

1. Check How Much of Your Mailbox Outlook Is Caching

Outlook downloads a local copy of your mailbox to your hard drive. If it is caching years of email, the local data file can grow to several gigabytes, which slows everything down.

1. Open Outlook and go to File > Account Settings > Account Settings.
2. On the Email tab, select your account and click Change.
3. Look for the slider labeled Mail to keep offline (Classic Outlook) or Download email for the past setting.
4. Note the current value. If it is set to All, that is likely a major contributor to the slowness.
5. Change it to 6 months or 12 months. This is sufficient for daily work — older emails remain accessible on the server and in Outlook on the web.
6. Click Next > Done.
7. Outlook will remove older items from the local cache. This may take 10–20 minutes. During this time, performance may briefly worsen before improving significantly.

2. Check Your Mailbox Size

A mailbox that is near its storage limit forces Outlook to work harder to sync and index every item.

1. Go to File > Info and look at the Mailbox Settings section. A storage bar shows your current usage.
2. If your mailbox is above 80% capacity, focus on cleanup:
   • Empty the Deleted Items folder — right-click it and select Empty Folder. Deleted emails still count toward your quota until this folder is emptied.
   • Empty the Junk Email folder the same way.
   • Find large emails: in your inbox, click the Filter icon and sort by Size (largest first), or type size:>5MB in the search bar.
   • Delete old emails with large attachments. Save important attachments to OneDrive before deleting the email.
3. After cleanup, give Outlook a few minutes to re-sync.

3. Disable Hardware Acceleration

Outlook uses your graphics card to render its interface. On some systems — especially those with older drivers or integrated graphics — this causes sluggish scrolling and delayed UI updates.

1. In Classic Outlook: go to File > Options > Advanced.
2. Scroll to the Display section.
3. Check the box for Disable hardware graphics acceleration.
4. Click OK and restart Outlook.
5. In New Outlook: this setting is managed by the Edge WebView2 engine and cannot be toggled manually. If New Outlook is sluggish, try the other steps in this article.
6. Test Outlook for 10–15 minutes. If scrolling and folder switching feel faster, leave this setting enabled.

4. Audit and Disable Slow Add-Ins

Add-ins run background processes inside Outlook. A single slow add-in can cause typing delays, slow folder loads, and sluggish search — without triggering a full freeze.

1. Go to File > Options > Add-ins.
2. At the bottom, next to Manage, select COM Add-ins and click Go.
3. Review the list. Common resource-heavy add-ins include CRM connectors, PDF tools, antivirus email scanners, and third-party signature generators.
4. Uncheck all add-ins and click OK.
5. Restart Outlook and use it for 15 minutes.
6. If performance improves noticeably, re-enable add-ins one at a time, restarting Outlook after each, until the slowness returns — that add-in is the cause.
7. Leave the problem add-in disabled. If it is a required business tool, ask IT to check for an updated version — name the add-in exactly as it appears in COM Add-ins, and tell them it causes typing delay and slow folder switching while it is enabled.

5. Reduce the Number of Connected Shared Mailboxes

Every shared mailbox you have open in Outlook creates an additional sync connection. Having three or more shared mailboxes open simultaneously can significantly slow Outlook, especially on limited hardware.

1. In Outlook, look at the left folder pane. Count how many mailboxes are listed below your primary mailbox.
2. If you have shared mailboxes you rarely use, remove them:
   • Go to File > Account Settings > Account Settings.
   • On the Email tab, select your account and click Change > More Settings.
   • Go to the Advanced tab and remove any shared mailboxes you do not need open at all times.
3. You can still access removed shared mailboxes through Outlook on the web when needed — they do not need to be permanently loaded in your desktop app.

6. Compact Your Outlook Data File

Over time, Outlook's local data file (OST) can become fragmented and bloated, even after deleting emails. Compacting it reclaims wasted space.

1. Go to File > Account Settings > Account Settings.
2. Click the Data Files tab.
3. Select your data file (usually the one marked as the default) and click Settings.
4. Click Compact Now.
5. This process may take a few minutes depending on the file size. Do not close Outlook during the compaction.
6. Restart Outlook after completion.

7. Disable RSS Feeds and Unnecessary Background Features

Background features consume resources and network bandwidth even when you are not actively using them.

1. Go to File > Options > Advanced.
2. Scroll to the RSS Feeds section and uncheck Synchronize RSS Feeds to the Common Feed List (CFL) in Windows.
3. In the Other section, uncheck Enable logging (troubleshooting) if it is checked — diagnostic logging adds disk I/O overhead.
4. In the Send and receive section, click Send/Receive and verify the schedule is set to 30 minutes rather than every 1–5 minutes. Very frequent sync intervals keep Outlook constantly busy.
5. Click OK and restart Outlook.

8. Run a Quick Repair on Office

If the slowness persists after addressing the above, the Outlook installation files themselves may have become corrupted.

1. Close Outlook completely.
2. Press the Start key, type Installed Apps, and press Enter.
3. Find Microsoft 365 (or Office) in the list.
4. Click the … (three dots) next to it and select Modify.
5. Select Quick Repair and click Repair. This takes 5–10 minutes and does not require internet.
6. Open Outlook and test for 15 minutes. If it is still slow, repeat the process and select Online Repair instead (15–30 minutes, requires internet, more thorough).

9. Check for New Outlook as an Alternative

If Classic Outlook continues to perform poorly and you have access to New Outlook for Windows, consider switching. New Outlook uses a lighter architecture and does not create large local data files.

1. In Classic Outlook, look for the Try the New Outlook toggle in the top-right corner.
2. Toggle it on to switch to New Outlook. Your email, calendar, and contacts transfer automatically.
3. Test New Outlook for a day. If performance is better, you can keep using it. The toggle allows you to switch back at any time.

10. When to Contact IT

Slowness that follows you to the web is on the server side.

Whether the slowness is on your machine or on the server is the one thing IT cannot see from their side, so answer it for them in the ticket: say whether Outlook on the web is slow too, give the size of your data file from File > Account Settings > Data Files, and name the cache window you set in Step 1.

Contact your IT helpdesk if:

• Outlook is still slow after completing all steps above — the issue may be server-side (Exchange throttling, mailbox database contention, or network latency).
• The slowness started immediately after a specific Windows or Office update — IT may need to roll back a problematic patch.
• Multiple colleagues on the same network are experiencing the same Outlook slowness simultaneously — this suggests a network or server issue, not a local one.
• You see errors about Exchange connectivity, certificate warnings, or disconnected status in the bottom-right corner of Outlook.

Troubleshooting

TIP

The single biggest performance improvement for most users is reducing the cached mailbox window (Step 1). If your slider was set to "All," changing it to 6–12 months can reduce your local data file by 50–80% and dramatically speed up Outlook.
