Prerequisites

Instructions

1. Start a PowerPoint Live Presentation in a Teams Meeting

PowerPoint Live is built into the Teams sharing menu. It lets you present slides without sharing your entire screen, so the audience never sees your desktop, notifications, or other apps.

  1. Join or start a Teams meeting.
  2. Click the Share button in the meeting toolbar (the upward arrow icon near the top-right of the meeting window).
  3. In the share tray that appears, look for the PowerPoint Live section. You will see:
    • Recently opened files — PowerPoint files you have worked on recently.
    • Browse OneDrive — files saved to your OneDrive or SharePoint.
    • Browse my computer — files saved locally on your device.
  4. Select the file you want to present. Teams uploads it and displays the first slide to the audience immediately.
  5. You now see the presenter view — your audience sees only the slides.

2. Use the Presenter View

The presenter view is visible only to you. It gives you tools to manage your presentation without the audience seeing anything extra.

  1. Slide notes appear in a panel below or beside the current slide. These are the notes from your PowerPoint file — use them as your script or talking points.
  2. Slide thumbnails appear in a strip at the bottom of your screen. Click any thumbnail to jump directly to that slide.
  3. Slide number and total are shown at the bottom (e.g., "3 of 12") so you always know where you are.
  4. Use the left and right arrow buttons (or press the Left Arrow and Right Arrow keys on your keyboard) to move between slides.
  5. Click the Grid view icon (four squares) to see all slides at once and jump to any slide quickly.

3. Use Drawing and Pointer Tools

PowerPoint Live includes annotation tools that help you emphasize specific content on a slide during your presentation.

  1. Click the Laser pointer icon in the presenter toolbar to activate a red dot that follows your mouse — the audience sees this in real time.
  2. Click the Pen icon to draw directly on the slide. Choose a color from the palette.
  3. Click the Highlighter icon to highlight text or areas with a semi-transparent marker.
  4. Click the Eraser to remove annotations, or click Clear all to remove everything.
  5. Annotations are temporary — they disappear when you move to the next slide and do not modify the original PowerPoint file.

4. Control Audience Navigation

By default, audience members can browse slides at their own pace — they can look ahead or go back. You can lock this so everyone sees only the slide you are currently presenting.

  1. Look at the eye icon in the presenter toolbar at the top of the meeting window.
  2. If the eye icon shows a tooltip like Prevent audience from navigating, click it to lock navigation. The audience will now see only your current slide.
  3. To unlock navigation and let the audience browse freely again, click the eye icon a second time.
  4. When audience navigation is unlocked, attendees see a Go to presenter's slide button that lets them snap back to whichever slide you are currently showing.

TIP

Lock audience navigation at the start of your presentation if you are walking through a structured story. Unlock it during Q&A or review sessions so attendees can revisit specific slides.

5. Use Interactive Features During Your Presentation

PowerPoint Live supports real-time audience interaction features that are not available with standard screen sharing.

  1. Live reactions: Attendees can send reactions (thumbs up, heart, applause) that appear on the slide without interrupting the presenter.
  2. Live captions and translation: Attendees can turn on captions in their preferred language — Teams translates your spoken words in real time and overlays them on the presentation.
  3. Q&A: If the meeting organizer has enabled the Q&A feature, attendees can submit questions during the presentation without unmuting.
  4. High-contrast and text-size controls: Attendees with accessibility needs can adjust the presentation view on their own screen without affecting anyone else.

6. Present from the PowerPoint Desktop App into Teams (Alternative Method)

If you prefer to present from the full PowerPoint desktop app rather than from within Teams, you can connect the two.

  1. Open your PowerPoint file in the PowerPoint desktop app.
  2. Click the Slideshow tab in the ribbon.
  3. Click Present in Teams. This button appears only when you are in an active Teams meeting.
  4. PowerPoint starts the slideshow and shares it directly into the Teams meeting using PowerPoint Live — you get the same presenter view and audience controls.
  5. This method is useful when you need PowerPoint desktop features like embedded videos, complex animations, or add-ins that may not render fully in the Teams-native version.

7. End the Presentation and Share the File Afterward

When your presentation is finished, stop sharing so the meeting can continue normally.

  1. Click the Stop sharing button in the presenter toolbar (or press Esc).
  2. The meeting returns to the normal video/audio view.
  3. To share the file with attendees after the meeting:
    • If the file is already on OneDrive or SharePoint, paste the sharing link into the meeting chat.
    • If the file is on your local computer, upload it to OneDrive first, then share the link — this ensures attendees always access the latest version.
  4. If the meeting was recorded, the recording will include the slides as they were shown during the presentation.

Troubleshooting

PowerPoint Live requires the file to be uploaded to Teams. If you are on a slow connection, large files (50+ MB) may take a moment to load. Consider compressing images in your PowerPoint file before the meeting if you anticipate connectivity issues.
